Job Purpose

Vision Action seeks a highly dynamic individual for a one-year fixed-term contract, with the possibility of an extension. The position is part of the management team, and the post holder will be expected to lead on the financial accounting, management accounting, and budgeting for the organisation as well as taking forward some strategic finance and operations projects as we expand our programmes in existing countries. Functions / Key Responsibilities:

1. Finance

• Maintain a strong control environment, ensuring accounting records are complete and accurate.

Financial accounting

• Prepare annual statutory accounts in accordance with SORP 2015.
• Prepare for the annual external audit and host auditors ensuring the audit process runs smoothly. This includes supporting Vision Action’s country offices in hosting their respective audits.
• Ensure annual statutory accounts are finalised and submitted to Companies House and the Charity Commission by the appropriate deadlines.

Management accounting

• Coordinate the month-end process with the Finance Officer (UK) and Programme Finance Lead, and review transaction postings.
• Prepare monthly management accounts with cash flow forecasts, modifying the format as needed to suit the preferences of senior management and the Board of Trustees.
• Prepare the annual organisational budget and mid-year reforecast.
• Improve existing budget templates to enable straightforward and transparent budgeting for donors.

Support to country offices

• Collaborate with the Programme Finance Lead on a monthly basis to reconcile intercompany accounts, ensuring that reconciling items are cleared promptly.
• Support country office teams in fulfilling any reporting and financial compliance requirements.
• Conduct internal process reviews (internal audits) of country offices where required.
• Review the bi-weekly payment runs for the UK office and the monthly country office fund requests, ensuring cash flow planning is in place for these payments.

The Philharmonia Orchestra is seeking an organised, analytical and proactive Development Research and Operations Manager (DROM) to support the growth in fundraising activity of a busy and ambitious orchestra. The post-holder will deliver high-quality philanthropic research, pipeline and CRM management, the creation of donor briefings for individual, corporate and trust supporters, and horizon scanning for new and future opportunities. 

As the department’s research and CRM lead, the DROM will generate prospect research on those suggested by senior volunteers (Board, Development Board etc.) and those identified in our database, Tessitura. They will support fundraisers across giving streams to create engagement and cultivation plans, and act as the pipeline management champion for the team. The DROM will support fundraisers to ensure activity and contacts is logged consistently, working closely with the Head of Development to monitor KPIs, track and record income and maintain accurate donor and donation records. 

This position is central to ensuring that frontline fundraisers can focus on income generation, supported by robust operational processes, accurate data, and high-quality research. 

This role reports to the Head of Development and will work closely with the Senior Development Manager (Philanthropy) and Director of Development. The work of the Development team is actively supported by the Philharmonia’s Development Board. 

Key Responsibilities 

Research and Pipeline Development:

• Identify, qualify and research prospective major supporters, including individuals, corporates and trusts

• Prepare tailored profiles and high-quality briefings to staff and senior volunteers for meetings and events

• Maintain and refine the prospect pipeline, ensuring clear pipeline management stages and next actions for prospects

EarthPercent is growing and we're looking for a dynamic Head of Finance & Operations to join our small, passionate, and high-performing team. About the role

We need someone to join us as our Operations and Governance Manager to ensure London Funders, its projects and subsidiary Collaboration Circle, run smoothly. The ideal candidate will bring strong organisational skills, a collaborative and people-led approach, and the ability to turn strategic thinking into clear, effective action. 

We’re at a pivotal and exciting point in the organisation as we’ve grown from three to thirteen team members in the last few years. Alongside this, London Funders now has a subsidiary organisation in its infancy, Collaboration Circle, and the potential for a second one through our place based work with London’s Giving. This growth creates real opportunities to shape and deliver strong communications across the London Funders family. 

We’re now looking for someone who can help us build on that growth by identifying opportunities for operational efficiency and designing smart, people-centred processes. This role will lead on implementing new policies, ensuring compliance with charitable and regulatory requirements across finance, HR, and governance, and managing digital systems to streamline workflows.

You’ll work closely with colleagues across the organisation translating strategic conversations into practical actions, such as producing high-quality board papers and ensuring smooth governance by coordinating schedules, meetings, and deadlines that supports effective decision-making. Workplace Justice is a new company limited by guarantee that has been created to take forward the annual New Organising Conference. The New Organising Conference is unique in bringing together a diverse group of participants - trade unions established and new, community organisers, not for profits, academics, lawyers and journalists, with a shared interest in worker rights. In September 2025 60 people will deliver 40 different sessions to an audience of 135 people.

Background

Workplace Justice is the organisational home of the annual New Organising Conference, now in its third year, with support from the Network for Social Change The New Organising Conference, held over a weekend, is unique in bringing together a diverse group of participants - trade unions established and new, community organisers, not for profits, academics, lawyers and journalists, with a shared interest in worker rights and community organising. Participants learn, get inspiration and form new collaborations. In September 2025, 60 people delivered 44 different sessions to an audience of 130 people. To provide operational support for Workplace Justice and the New Organising Conference, focussing on marketing and communications including social media but with responsibility in addition for finance, the participant database and governance.

Key tasks

• Raising the profile of NOC and attracting participants and session leaders through social media, email communications and networking

• Responsibility for ensuring the website evolves in line with the needs of the Conference

• Maintaining and operating a database of participants, past and present

• Managing the registration of participants to the conference including taking payment and where necessary issuing invoices, and recruiting volunteers to assist at the conference

An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Operations Support Officer. The post holder will be responsible for Medair UK’s financial and office administration, including maintenance of the organisation’s CRM database and some fundraising support. You will ensure the accurate processing and timely delivery of donor and financial information and acting as first point of contact for the organisation, you will be responding to supporter enquiries. You will also provide general office, and IT support to the Head of Operations.

Medair is a Christian humanitarian organisation that responds to conflict, disease, and disaster so that the world’s most vulnerable and hard-to reach people can live with dignity and hope. Medair UK is an affiliate of the Swiss-based humanitarian organisation, Medair International.

Together, we work in some of the most remote and difficult places on earth, empowering people to build a better future. This year our teams in Sudan have remained operational, working under the most difficult conditions, and launched a new response in Chad to support those fleeing across the borders. In the Democratic Republic of Congo, we received global coverage as one of the first responders saving the lives of communities affected by Mpox – and no lives were lost amongst those we treated. We also scaled up in Lebanon supporting at displaced communities affected by the conflict. In 2024 through our experienced national and international teams we helped 3,743,021  people across 13 countries.

About you

You will have experience of working in an office administration role, including financial processing and have proven experience with databases. You will be comfortable working with and prioritising high volumes of work. In addition to your experience of completing routine, complex tasks accurately and systematically, you will be able to maintain quality and attention to detail. Confident, polite and professional with excellent communication skills and the ability to work as part of a team, you will have strong planning and organisational skills, with experience of maintaining office and administrative systems

Key Activities

      Donation Processing

• Responsible for the timely recording and processing of all incoming donations (including via our website, bank account, third party platforms and cheques) into the Medair UK CRM (Salesforce).
• Ensure all donors receive gift acknowledgements / thank you letters corresponding to each gift received.
• Maintain up-to-date records of donors, staff and other contacts in the Medair UK database.
• Process and record completed Gift Aid declarations and support in the regular reclaim of Gift Aid.

      Financial Administration

• Inputting of all financial data (income and expenditure) into Quick Books.
• Preparing and following up suppliers invoices for payment.
• Processing expenses claims.
• Managing the banking of income and supporter cheques.
• Support the Head of Operations to implement the month and year end reconciliation process for both Salesforce and Quick Books.

      Facilities & Office Management

• Act as first point of contact for the office and public enquiries, responding to incoming telephone calls and emails.
• Answer basic enquiries about Medair's work and distributing information to supporters and others as required.
• Manage and order office supplies, stationery and equipment.
• Maintain a clean, tidy and safe working environment, administrating risk assessments, H&S and fire safety procedures.

      Information Technology

• Ensuring the maintenance of the IT system and handling minor in-house IT technical issues for staff and volunteers. 
• Liaising with the Global Support Office IT Helpdesk team to ensure the timely set up of IT for new staff and volunteers – i.e. setting up email addresses, and relevant permissions.
• Ensuring that IT permissions are current, and that these are amended as and when staff and volunteers leave.
• Assisting with continuous improvements in Medair UK’s use of IT.

​    Engagement Support

• Supporting fundraising activities with data segmentation and the production of standard and custom reports in Salesforce
• Supporting the production and automation of email newsletter and appeals via Campaign Monitor
• Setting up new Salesforce campaigns with tailored reports and dashboards to track donations.
• Producing digital surveys and web-forms as required.
• Providing support to Medair’s virtual events, including the technical administration of Zoom and pre and post event attendee administration.           

      HR Administration

• Organising and co-ordinating staff and volunteer inductions ensuring that the induction checklist is completed.
• Supporting the Head of Operations with team training and organisational learning and development opportunities.

Qualifications - DESIRABLE
