Job Purpose:
Assuming the role of Executive Assistant, you will provide comprehensive support to Executive Director, the executives of the orginisation and the Hope Together shop. The primary responsibilities of this position will include serving as an Executive PA to Executive Director, administrative assistance to Ops manager, managing customer correspondence, managing online shop orders, upkeep and analytics reporting, as well as other general project administration.

Key Responsibilities:
- Manage Customer service (Phones, Office Email, and Admin email) ensuring prompt and accurate responses to inquiries, complaints, and requests for information.
- Funder and partner relational correspondence and maintenance.
- Provide general administrative support for the Hope office team including, but not limited to, record keeping, filing, meeting hosting, and monthly prayer emails.

This role is responsible for providing high-level support, managing complex projects and engaging with a wide variety of people on behalf of the Chief Network Officer. Role responsibilities

· Acting as a project manager / stakeholder on behalf of the Chief Network Officer to ensure outcomes are achieved and information is communicated.
· Creating supporting materials for presentations, talks, conferences and planning meetings, including sourcing and preparing collateral, and formatting presentation slides etc.
· Curating and updating relevant information systems on behalf of the Chief Network Officer, including HR systems, finance systems, impact / performance systems and file storage.

About you
We are seeking an enthusiastic and self-motivated individual who is confident in being able to provide office operations and finance administrative support to the Society and to the CEO.

The successful candidate must have demonstrable experience in working within a substance misuse treatment and recovery setting, must have specialist training and supervision in one or more complexities alongside substance misuse. This may be mental health, long term conditions, criminal justice, offending behaviour, homelessness, motivational interviewing, safeguarding, family work. Have an understanding of risk and risk management, as it applies to substance misuse and complexity. Have a working knowledge of Safeguarding of Vulnerable Adults framework, the ability to follow procedure and development of a culture of safe practice. Ability to work under pressure and have significant experience of working in health and social care.

Responsibilities of the role
Co-ordinator – 70%
Day-to-day support across the charity including, but not limited to:

Providing personal assistant support to the Director of the charity

Support wider team with meeting bookings, arranging travel, charity guests, booking rooms etc.

Support internal communications, ensuring good information dissemination and management.

Improve internal onboarding processes, hold ownership over key GMSN starter assets (e.g. Organigram, joiners handbook)

Look after shared email inboxes, ensuring all queries have an appropriate response in a timely manner.

Support the team with basic finance reporting and updating trackers, including setting up and maintenance of a variety of fundraising platforms.

Posting out materials and prizes, and hold ownership over the organisation of stock and materials in the storeroom.

Liaising with charity supporters via email, phone and at Global, including the support line.

Provide cover to the Finance and Grants Assistant in periods of absence (training will be provided)

Support with fundraising and events teams in busy periods.

Co-ordinate diary entries for quarterly Trustee and Finance Committee meetings, prepare Board packs, attend meetings, take minutes and ensure minutes are distributed in a timely fashion.

Ensure all Trustees are stewarded, inducted and supported in their role with the charity.

Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

Ensure collection of annual related parties records and ensure all documentation is filed electronically.

Collate monthly quarterly Global Board updates, liaising closely with SMT.
