The Role
Are you passionate about empowering volunteers to make a difference? We're looking for a dedicated and organised Volunteer Coordinator to support the operational delivery of our volunteer programmes at GFS. You'll provide hands-on support to volunteers delivering services for girls and young women across England and Wales, coordinate onboarding and training, maintain volunteer records, and ensure volunteers feel supported, connected and equipped to deliver impactful work.

Main duties & responsibilities
1. Oversee all client facing activities ensuring KPI’s are met, and staff, volunteers and clients are actively supported.
2. Recruit and line manage Client Services department inc. Paths to Success, Bridge the Gap and Safe Haven teams, and ensure staffing level meets funding requirements and client need.
3. Ensure all staff, volunteers and activity leaders have the appropriate DBS checks and training to safely support our clients.

5. Work closely with statutory providers and VCSE organisations to ensure service delivery and cohesive management of staff.
6. Assist with negotiations at all levels from venue hire to major funders in the development and provision of client facing activities.
7. Provide ad-hoc, on call, operational and clinical support to staff working out of hours.
8. Ensure reporting is completed on time and accurately to the Chief Executive, key funders and Statutory partners.
9. Maintain an awareness and in-depth working knowledge of challenges faced by Oakleaf clients’. Maintaining good working relationships clients and volunteers, ensuring Oakleaf services are in response to their needs.
10. Work closely with fundraising team to develop new services and regularly review and report on existing projects.
11. Maintain an awareness of project end dates and work with the senior management team to create a realistic, achievable and sustainable plans.
12. Ensure the client database is kept up to date and is regularly reviewed and adapted in line with different projects.
13. Work within the senior management team and play a strategic part in ensuring organisation wide decisions are in Clients best interests.
14. Work with accounts to ensure budgets are recorded accurately, all invoices are accurate and assigned to the correct funding stream.

Grant Finance Oversight

As part of the Mass Participation team, this is an exciting opportunity where we will look for you to develop the overall strategy for our DIY challenge events programmes. This covers all supporters who are taking on a sporting event through their own place. As Development Manager you will have the opportunity to shape the future of our Trusts & Foundations programme by cultivating new relationships and securing substantial funding from trusts, foundations, and statutory bodies. In addition, you will also play a key role in advancing our income generation from businesses and contribute to the development of our events and funder communications.

Your role will include:

Securing funding for diverse aspects of our work against Hubbub’s annual fundraising target, from core costs to specific roles, to scaling successful projects.

Contributing to the growth of the Trusts fundraising pipeline, nurturing new relationships with both solicited and unsolicited prospects, and supporting colleagues to do the same.

Working closely with Project Leads and Directors to deliver engaging and persuasive trusts and statutory proposals that expertly match funding criteria to Hubbub’s projects and priorities.

Identifying external networking opportunities for yourself and the wider team to increase our visibility amongst potential funders and build new relationships.

Undertaking regular prospect research to identify new Trusts that align with Hubbub’s strategy, focus areas and projects

Strengthening existing Trusts relationships by showcasing our impact through timely reporting, and delivering donor stewardship to high standards.

Updating our funder database (Pipedrive), with relevant funder information in a timely manner.

Keeping up with environmental and philanthropic developments and trends so you can join the dots between the urgent environmental challenges that we face, the sustainability ambitions of funders and our own strategic objectives.

You will also be expected to join in-person funder meetings whenever required, likely in and around London.

Who you are

You’re motivated and ambitious, with a tenacity to work towards targets. You will likely have contributed to and secured 5-6 figure grants from Trusts and statutory bodies. You’re open to taking risks and learning from failure.

You’re an excellent bid writer and enjoy converting complex projects into winning proposals with funders’ motivations and criteria in mind.

Your relationship building skills are top-notch, both virtual and IRL. You’re confident developing new funder relationships from scratch, whilst nurturing existing ones. You enjoy getting away from your desk and finding opportunities to network.

You have a deep understanding of how trusts and foundations work and are open to sharing your knowledge with colleagues.

You’re collaborative and able to work across all levels of an organisation, managing up and down when needed, to produce high quality bids on time and on budget.

About the Role
