Job Title: Operations Manager

Reports to: Executive Director

Salary: NJC Scale SP SP27-31 £41,580 - £44,480 (starting salary dependent on experience)

Hours: Full-Time – 35 hours per week

Main Objectives

· To oversee the smooth running of the Law Centre

· To ensure we have the right systems in place to support staff to work efficiently.  

· To identify opportunities to use tech to support our mission.

Key Responsibilities

1. IT Coordination

• Oversee the Law Centre’s IT systems to ensure they are secure, efficient, and meet the organisation's needs.
• Manage and develop the Law Centre's case management system to ensure it supports the effective delivery of services and reporting requirements.
• Liaise with external IT providers to coordinate maintenance, updates, and troubleshooting.
• Identify and implement opportunities for digital transformation and improved operational efficiency.
• Complete the annual Cyber Essentials return, ensuring that the organisation maintains the highest level of data security.
• Ensure the Law Centre makes use of the most appropriate and cost effective equipment, systems and software.
• Providing basic training to staff on systems and tools
• Maintain the asset register.
• Maintain the organisation’s IT plan and update it annually

2. Systems

· Lead on our paperless working processes

· Ensure that our Sharepoint site is set up logically and with the correct permissions in place.

· Develop our Sharepoint site in order that it functions as an intranet for sharing information internally.

· Negotiate and manage our contracts with printing providers

· Maintain regular reviews of the systems we’re using, assessing whether they are fit for purpose or not and whether there are alternative products which represent better value for money.

· Manage the organisation’s telephony.

3.  Data and Reporting

• Maintain a clear overview of the data collected by the organisation.
• Prepare reports from the case management system and other data collection tools to feed into reports and funding bids.
• Develop new reports to feed into our billing and accountancy as well as various audits.
• Review and analyse the organisation’s data to understand trends and to assist with service development.
• Play an integral role in using data to communicate the impact of the organisation.

4. Data Protection

· Overall responsibility for the data protection obligations of the organisation.

· Keeping abreast of changes and updates to Data Protection legislation.

· Delivering regular training to staff on Data Protection.

5. Finance and Billing

· Support the finance manager and practice manager by ensuring all systems are optimised for efficiency.

· Liaising with our payroll provider, responsible for running monthly payroll accurately, including keeping track of new starters and leavers.

· Support casework staff with training and technical solutions to allow them to bill files efficiently.

· When needed, to work with the finance manager and practice manager to coordinate regular payment runs. 

· Attendance at regular meetings of the Finance Sub-Committee.

6. Support to Executive Director

• Member of the senior management team, contributing to strategic planning and organisational development.
• Provide operational insights and recommendations to enhance the Law Centre’s performance and service delivery.
• Coordinate and chair regular meetings of the IT Working Group
• Report regularly to the Trustees on operational issues

7. Regulatory Compliance

• Ensure compliance with all relevant legal and regulatory requirements, including health and safety and data protection (GDPR).
• Participate in and ensure the smooth running of the annual Lexcel audit as well as other regular audits.

8. Professional Development

• To attend regular support and supervision and appraisal meetings.
• To keep up-to-date and to meet identified learning and development needs as appropriate.

9. Teamwork and Service Development

• To attend and contribute to staff meetings

• To attend and actively participate in other meetings as required, and to take an active role in the planning and development of the Law Centre.

Person Specification

Essential

• Excellent IT skills with extensive experience working with Excel and other Microsoft Office products as well as database products.

This is an opportunity to join Refuge as an IGVA supporting women and children who are impacted by different strands of Violence Against Women and Girls (VAWG). The independent gender violence advocate will work closely with victims of gender-based violence from the point of crisis, to provide high quality independent advocacy and support to survivors of gender-based violence at the highest risk and their children.

The role will be part of increasing the ability of partner agencies to recognise, reject and respond appropriately and safely to all forms of gender-based violence (including domestic violence, sexual, financial and emotional abuse, female genital mutilation, forced marriage and honour-based violence). Your contribution to the team
You will support all financial aspects of budgeting, reporting, compliance and financial management of grants managed by ARTICLE 19, including all finance-related work with grant-receiving partners. The role is a key part of improving our programme delivery by supporting grant budget holders.

What you can expect in a typical day

• To support production of financial reports in compliance with donor and internal ARTICLE 19 requirements for a portfolio of projects managed by ARTICLE 19.
• To generate and review transactional reports and follow through as necessary with corrections and adjustments.
• To receive, process and account for expenditure by grant partners, including reviewing supporting documentation.
• To produce reforecasts where required by the donor, with input from grant budget holders.
• To work in conjunction with the fundraising and relevant project team during proposal development. Provide support on budgeting, ensuring budget is in alignment with the proposal, is realistic and provides ARTICLE 19 with favourable terms. Provide guidance on finance donor compliance that will inform the proposal and budget development.
• Ensure that proposals comply with ARTICLE 19’s internal policies, in particular full cost recovery principles and policies.
• To support compliance of grants with ARTICLE 19 financial policies where appropriate, e.g. anti-bribery and corruption, both internally and compliance by our partners, raising any concerns with the Grant Finance Manager.
• To monitor grant cash flow and ensure payment requests are made and processed in the finance system in timely manner to the donor.
• To review grant cash requests from Regional Offices.
• To business partner International Office teams who are majority grant funded. This includes producing monthly management accounts; supporting budget holders to prepare annual budget and coordinate responses to the budget holder.
• To consider how improvements can be made to procedures for processing transactions, reporting and any other issues which would contribute to the efficiency and effectiveness of ARTICLE 19’s finance function.

What you will bring to the role

Knowledge and Skills
• Qualified accountant with a CCAB recognised qualification (if UK based), or HBO or HBO + work and thinking level with a degree in Accounting (Registered Accountant, RA (Financial), Management, Business Administration, Controlling (if based in The Netherlands) or working towards qualification, or qualified through relevant work experience.
• Understanding of accounting for restricted income and expenditure in line with international nonprofit financial reporting standards and donor requirements.
• Understanding of double entry and how to make corrections and adjustments in accounting systems.
• Excellent Excel skills, including vlookups, sumifs and ability to self-learn in this area.
• Ability to work quickly, methodically with close attention to detail.
• Experience in partner due diligence and partner finance management, including reviewing financial capacity, assessing financial risk, and supporting partners to strengthen financial systems and compliance.

Course structure and requirements

The National Curriculum for High Intensity Psychotherapeutic Counselling within NHS Talking Therapies for anxiety and depression outlines the full details of the course structure. To summarise, the following outlines the key training requirements:  

· A 1-year core psychotherapeutic counselling foundation level training, which also introduces the chosen NHS Talking Therapies modality. Following sign off for readiness, trainees can begin to practice at West London Centre for Counselling with people with mild to moderate depression

· Followed by, a 2-year post-graduate diploma (PGDip) in psychotherapeutic counselling (minimum 120 credits at Level 7)

· A minimum of 450 supervised client hours gained within a NHS Talking Therapies service

· A minimum of 450 training hours (skills and theory)  

· A minimum of 50 personal therapy hours  

· A minimum of 90 minutes of training supervision to every six hours of client work (or the equivalent for group supervision), or 90 minutes per week if they have completed less than six hours of client work in the week

· NHS Talking Therapy services will be responsible for supervision on site, including oversight of case management, clinical governance and management supervision in line with the supervision requirements of the NHS Talking Therapies for anxiety and depression manual.

· An average of two to three days per week of clinical practice in NHS Talking Therapies services

· Individual accreditation (professional registration) with a professional body in line with the NHS Talking Therapies for anxiety and depression manual (see the manual for more details)

Founded in 1617, The Society of Apothecaries was set up as a members’ association specifically to support doctors, pharmacists, and other health professionals, with the purpose of furthering education, research and innovation in the medical field. About The Felix Project 

The Felix Project is London’s largest food redistribution charity. Our vision is a London where good food is never wasted, and no one goes hungry. We aim to reduce the negative impact food waste has on the environment by working with the food industry to rescue high quality surplus produce, that would otherwise have gone to waste. This food is sorted at one of our four depots or turned into meals in Felix’s Kitchen. It is then distributed to over 1,200 community organisations, such as food banks, homeless shelters and primary schools, all of whom are working within communities across London to feed people experiencing hunger.

Purpose of the Job  

We are looking for the Production Supervisor to play a key role in our brand-new Production team under project ‘Unit 17’.  

You will be the on the ground senior leading the teams in the daily tasks to be completed, working as the connection between the management team and the team members and volunteers. Working hands on within all the production lines, leading by example and supporting the team across the operation. 

This is an operational role, mainly based on the production floor but with a range of reporting and administrative tasks involved. You will report into the Production Manager and work closely with them on the day to day running of the unit as well as supporting covering their duties when they are away.

You will be supervising and supporting the teams to deliver on each day’s production targets as well as ensuring that all rules and HACCAP plans are followed correctly, providing real time feedback to the management team on any issues and resolutions taken.

More about Unit 17 

In early/mid 2025, we opened our second production facility as part of the Coronation Food Project. The Coronation Food Project was set up to celebrate His Majesty King Charles 75th birthday and seeks to bridge the gap between food waste and food need across the UK. 

We will be taking in surplus food from our supplier network and creating a range of products which have added value and extended shelf life.  A particular focus will be seasonal produce gluts, using ingredients which we may otherwise not be able to redistribute.  

Using four key processes (re-packaging, jarring / preserving, dehydrating and freezing), we will create a range of products which will be used in these three main ways:  

• Distributed to our partner community organisations as ‘ready to eat’ or ‘easy to use’ products for their service users - always delicious, achieving relevant safety standards and meeting the needs of the eventual end user. 

• Used in the East London Central Production Unit (CPU) to support creating Felix Ready Meals.  

• Used in Unit 17 in the creation of other products (for example frozen produce later used to make jarred sauces or preserves) 

A typical day at Unit 17 will likely include planning new product/s based on the ingredients available that day, agreeing relevant food safety requirements and working in line with this, working with the production team and volunteers to prepare, produce and package delicious products, planning for future products and project work.  

Duties and Responsibilities

• Day to day supervision of the operations team, with a hands-on supportive approach

Working closely with the Head of Communications and Marketing, key activities include supporting the updating of our content management system across three websites; rolling out a new marketing function within our CRM; and working with colleagues to ensure all digital marketing activity is integrated, value for money, agile by design and delivers against our strategic priorities. The role

The special events coordinator will report to the special events manager.

You will be instrumental in delivering bespoke, high-value experiences such as private dinners, small group tours, donor visits and our flagship annual event, The Marsden Lecture. Principal responsibilities

Event planning and coordination

· Develop event concepts and themes, create detailed event plans and coordinate all logistical aspects of events of events falling within the remit of this role.

· Work closely with the philanthropy and campaign team to design and implement special events that maximise fundraising potential.

Stewardship events

· Plan and manage events to acknowledge and appreciate donors, facilitating their continued support and engagement with the charity.

Engagement activities

· Organise and execute events that foster engagement and increase awareness of the charity's mission and goals.  

Supporting the new cancer campaign

· Prepare for campaign events in support of a £50m campaign for a ground-breaking cancer centre on the Royal Free Hospital site.

Vendor management

· Whether on-site at one of our hospitals or at an external venue, take responsibility for sourcing, negotiating and managing relationships with vendors, including caterers, suppliers and on-site partners.

Budget management

· Create and manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards.  

Communications and promotion

· Collaborate with the communications team to develop promotional materials and strategies to maximise event attendance and engagement.  

RSVP management

· Managing the RSVP mailbox, ensuring timely and accurate responses to event invitations and queries.

Database management

· Maintain and update event-related databases, ensuring accurate records of participants, donors and sponsors.  

Relationship management

· Act as the main point of contact for colleagues, donors and contractors, ensuring their needs and expectations are met throughout the event planning and delivery process.

Portfolio manager support

· Assist portfolio managers in engaging with prospects and donors effectively, providing event-related insights and facilitating meaningful connections.  

On-site coordination

· Oversee event setup, execution, and breakdown, ensuring all elements are in place and events run smoothly.  

Post-event evaluation

· Conduct post-event evaluations to gather feedback and identify areas for improvement.  

Oversight and responsibility

· Manage risk assessment, risk management and first aid training to ensure the safety and well-being of all event participants.

The team

Our dynamic fundraising department generated £4.5m through donations in 2023/24, and we are now preparing for an ambitious multi-million-pound campaign in support of a ground-breaking cancer centre on the site of the Royal Free Hospital.

Job Description
The Jewish Museum London has undergone substantial positive change over the past two years, moving out of our Camden site and moving to a ‘Museum without Walls’ model. With new leadership installed at both lay and staff levels and a consultation process underway for the development of a five and fifteen-year strategy the Museum is looking for a new member of the team to assist in running the day-to-day administration of the organisation.

Reporting to the Senior Legal Programme Manager, EMENA, and working closely with the regional Programme Manager and Officer, the Senior Legal Officer will manage legal pro bono projects from TrustLaw’s community of civil society organisations, social enterprises and independent media organisations, and support the team on thought leadership initiatives.

About the Role 

As a Senior Legal Officer at Thomson Reuters, you will:  

• Scoping legal pro bono requests from our community of civil society organisations, social enterprises and independent media organisations so that the requests clearly explain the legal needs for lawyers to advise on. 

• Managing pro bono requests, including connecting the pro bono client with lawyers, collecting feedback and following up with the parties involved.

• Designing, scoping and overseeing cross-border legal research projects, tools, resources and other content that address the most critical social and advocacy needs facing our members. 

• Proactive supporting of TrustLaw’s regional portfolio of law firms, corporations and other key stakeholders in EMENA to ensure TrustLaw regional quality and growth metrics are met. 

• Actively pursuing and cultivating relationships with law firms to secure their commitment to pro bono projects, employing persuasive communication strategies to highlight the impactful role they play in advancing social and environmental objectives through TrustLaw initiatives.

About You

You are a fit for the role of Senior Legal Officer if your background includes:

• Legal experience (preferably with at least 1 year post qualification experience) working either in a law firm, in-house legal team or non-profit organisation.

• A good understanding of the legal and NGO sectors in EMENA (and, in particular, the UK), and an understanding of the challenges and opportunities that pro bono opportunities bring to law firms and legal teams;

• Experience of project management or co-ordination is highly favourable. 

• Excellent time management and organisational skills including the ability to effectively and independently manage multiple matters and projects in a fast-paced environment.

• Excellent research, drafting and analytical skills, with strong attention to detail.

The AI Opportunity Fund:

The AI Opportunity Fund, led by the Centre for Public Impact with support from Google . org, is currently a  €16 million initiative aimed at empowering underserved workers across Europe with essential AI skills. The programme has selected 73 organisations from hundreds of applications to provide tailored AI training to 20,000 workers across 24 European countries. These organisations focus on diverse communities, including rural job seekers, underemployed women, and public sector workers, aiming to bridge the digital divide and promote economic resilience. The initiative underscores AI's potential to drive social mobility and equitable growth across the continent. We are also hoping to scale our work in this area in the future. 

Position Overview: 

At CPI we believe people are at the heart of our success. We are seeking a Grants Officer (Associate)   based in Europe to join our CPI Europe (CPIE) team. Your role is  critical  in ensuring the smooth delivery of the AI Opportunity Fund. This role is responsible for the effective administration of grants including ongoing due diligence and accurate record keeping, contributing to assessing proposals and organisations, stewarding and maintaining effective relationships with grantees and wider partners,  and ensuring compliance, timely reporting and payments. This role does not involve managing others.

Key Responsibilities: 

1. Grant Strategy & Development

• Contribute to shaping the strategy, design and execution of the AI Opportunity Fund.

• Support Management to ensure excellent donor stewardship of Google . org, building their confidence in CPIE as a thought and delivery partner.

• Work collaboratively with programme teams to gather necessary information, data, and insights for compelling letters of inquiry, grant applications and contract bids.

2. Grant Management & Compliance

• Oversee the implementation of awarded grants and contracts, ensuring adherence to donor guidelines, reporting requirements, and project targets and timelines.

• Actively manage programmatic risks and conduct ongoing due diligence on grantee and wider partners to ensure compliance. 

• Prepare and submit accurate and timely grant reports to key stakeholders in collaboration with finance and programme teams.

• Monitor grant budgets and expenditures, flagging any discrepancies or potential issues.

• Serve as the primary point of contact for grantees, fostering positive relationships,  triaging and addressing inquiries and supporting them to deliver effectively.

• Identify and escalate issues  in a timely manner, actively participate in proposing and implement solutions. 

3. DEIB & Collaborative Working

• Actively contribute to a diverse, equitable, inclusive, and belonging (DEIB) culture by embracing different perspectives and fostering an environment of respect.

• Support cross-team collaborative efforts to strengthen the grants administration and monitoring systems, processes and procedures.

• Share knowledge and best practices with the team, contributing to a culture of continuous learning and improvement.

• Engage in open and transparent communication, providing constructive feedback and actively listening to others.

4. Stakeholder Engagement & Relationship Building

• Cultivate and maintain strong relationships with current and prospective funders, grantees and wider partners, understanding their interests and priorities.

• Support the wider team to convene peer learning and knowledge exchange between grantees and wider partners.

• Represent the organisation professionally in interactions with external partners, demonstrating our mission and impact.

• Participate in relevant networking events and workshops to stay informed about trends in funding and government innovation  and to build connections.

• Experience of  implementing grants or project management systems and processes. 

• Experience of administering and managing grants including conducting due diligence and risk management.

• Strong organizational skills with the ability to multitask  and meet deadlines.

• Excellent attention to detail and high levels of accuracy, particularly in reviewing grant guidelines and preparing financial information.

• Proficiency in using Customer Relationship Management Systems or databases.

• Ability to work independently and as part of a collaborative team.

• Strong interpersonal and communication skills, capable of building meaningful relationships  with diverse stakeholders.

• Proven ability to problem-solve and think on your feet.

• Demonstrated experience of positively embracing and adapting to change.

• Intercultural competence and proven commitment to advancing DEIB.

The salary range for this role is £40,934 - £50,759, mapped to years of experience and region.
