Key responsibilities
- Data-Driven Decision Making: Drive the organisation to use data in its operations, using first party and third-party data sources to facilitate more informed and reliable decision making. - Fundraising and Marketing Effectiveness: Provide detailed reporting on the effectiveness of our campaigns. provide data insights following the and recommendations for future and work with teams to develop testing and continuous improvement plans to improve future outcomes and
- Supporter Insights: Deliver meaningful insight into our supporter base to support our donor acquisition and retention objectives. Build segmentations to be used for targeting.
- Impact Reporting: With the Director of Data, develop comprehensive impact reporting frameworks, tracking the effectiveness of our charitable activity, and providing the Senior Leadership Team with actionable insights to drive improvements.

Our people:
We are currently a team of 44 people and growing. Since the pandemic, we have moved to a hybrid working model, with some of our team members working remotely, with occasional trips to our Leeds and Birmingham offices, and travel to events around the UK.

Key Tasks and Responsibilities
1. Client Support
●Carry out initial assessment of client needs to identify and plan the support needed to address issues and prevent any problems from escalating.
●Provide casework level advice on welfare benefits, housing and financial issues as appropriate.

Person Specification

They are seeking an experienced, strategic accounting professional to work with the Treasurer, Chief Executive and Managing Director, to devise and implement the Trust’s finance strategy, to ensure they have the resources they need to deliver their charitable objectives. The Finance Director will be responsible for ensuring an effective finance function; leading on the financial management of the Trust; overseeing financial compliance and governance; and the development and oversight of our Financial Strategy.

The key duties of the Director of Finance are as follows:
- Support the CEO and Senior Leadership Team in developing HET's organisational strategy and plans, ensuring they are financially sustainable.

Main purpose of the post
We are seeking to appoint a Business Development Coordinator to join a wider team that spearheads RUSI’s research fundraising efforts. Reporting to the Director, Research Business Development, the successful candidate will enhance the institute’s business development activities by providing administrative and coordination support for business development, contracts, and risk management. Working closely with research groups, central services teams, and the senior management team, the successful candidate will be responsible for ensuring that RUSI is well-placed to spot and respond to new funding opportunities and that our contracts are high-quality and executed efficiently.
This is a highly collaborative role that involves building very strong internal relationships at all levels of the organisation and managing competing priorities and deadlines. Key tasks
Tracking, identifying, and sharing new funding opportunities:

Conduct research to identify potential funders and grant opportunities, populate and maintain a prospects tracker. Ensure we have an accurate and current map of relevant funders at all times to draw from.

Manage the Business Development email inbox, ensuring we are registered to all relevant portals and that we are regularly checking funder portals that do not send notifications. Share summaries of relevant opportunities with the BD Director along with suggested dissemination plan, agree next steps and follow up with appropriate Research Groups.

Support research colleagues to identify funders to invite to RUSI events and draft outreach emails.
Providing administrative and coordination support on bids, contracts, and new business activities:

Assist the Bids Manager with compiling information about RUSI as an organisation, its registrations, policies, organisational structure, banking and insurance details, financial information, and other generic details to be included in bid submissions and for due diligence.

Support the Bids Manager/Director of Research Business Development with administration and coordination of specific components on large bids.
Maintaining and improving business development processes and systems:

Ensure the business development team trackers (action log, new funding opportunities etc.) are accurate and up to date.

Work closely with RUSI’s Legal and Contracts and Finance teams to finalise funder contracts and ensure that final copies are saved centrally, and key information is distributed to relevant teams. Ensure that relevant and accurate funder information is tracked by the finance system for ongoing analysis.

Review drafts of subcontractor agreements and work closely with RUSI’s Legal and Contracts team to manage the process for preparing, securing approval, finalising, and sharing sub-contracts.

Act as central point of contact for the research funding pipeline, ensure it is functioning as needed and respond to ad hoc questions.

Manage the team’s Sharepoint page, ensuring that it is useful and relevant for research colleagues, with high-quality templates and guidance.

In coordination with colleagues on the Communications team, update RUSI’s customer relationship management (CRM) system with accurate, relevant and up-to-date funder information and develop and promote best practice for CRM usage for BD.

Update RUSI funders on the website annually, ensuring that they are accurate and that we have appropriate permissions to acknowledge them publicly.

Assist in preparing training materials and internal presentations, including by conducting data analysis.

Schedule regular catch ups with research groups, take and share notes in appropriate formats, update trackers.

The Chief Operations Officer will lead day-to-day operations, provide additional capacity at a pivotal time, update policies and processes, and ensure the organisation runs smoothly and efficiently, and keeps improving. This is a small team, so leaders need to enjoy covering a wide range of duties, from the strategic to hands-on. The role will involve close collaboration with the CEO.

Apprentice Personal Assistant - Executive Director of Finance and Strategic Planning
Contract: 18 Months Fixed Term contract, full time, Level 3 Apprentice
Salary: £24,113 - £25,319 with excellent benefits
Location: London, UK
Hybrid Working: A minimum of 40% of working time is spent face to face, either in the London office or as a result of external engagement or travel for WaterAid. WaterAid is located at Canary Wharf, London, and this will be your location and contract base.

The WaterAid Finance and Strategic Planning team is a diverse and friendly team always ready to help each other and support WaterAid teams to deliver their aims and the contribute to the WaterAid mission.
About the Role:
The Apprentice PA will provide efficient and professional administrative and secretarial support to the Executive Director of Finance and Strategic Planning. The PA will provide support to the Director, in the following areas:
- Efficient coordination and support for the Director and the teams in both finance and stretegic planning.
- Assistance with the coordination for the Executive Director of Finance and Strategic Planning in their cross organisational and federation responsibilities, including Directors Team, Global Executive, Global Finance Executive, Audit Committee and Board of Trustees where necessary
You'll also:
- Act as business assistant and support for the Director, and their teams
- Proactively prioritise Director's time, forward planning of workload, travel arrangements, and diary management.
- Act with the Director's delegated authority whilst sensitively recognising and respecting the accountability and authority of others present.
- Proactively coordinate UK, and global, meetings where required
- Attend SMT meetings to take notes of the meetings, record and manage the completion the actions/priorities that arise
- Maintain relationships with key stakeholders across WaterAid.
- Provide cover for other PAs during annual leave, absence etc. (as part of the PA Team).
- Provide assistance with the inputting of the Director's expenses - budget allocation etc
- Assist with the Travel arrangements for the Director and the team.
- Pro-active, high attention to detail and pride in all outputs.
- Track priorities, flagging issues to Director, and proactively coordinating such items across SMT and other key stakeholders, to ensure timely actions are taken and issues dealt.
- Carry out research and prepare materials including presentations and written briefings as required.
- Maintain up to date secure and accessible team records (e.g. organigrams, JDs, etc)
- Commit to and complete apprenticeship training and development programme
About You:
- Accuracy and high attention to detail, to be able to produce written work of high quality and maintain accurate records
- Effective time-management skills; ability to manage multiple projects, priorities and deadlines
- Excellent interpersonal and communication skills; ability to deal with people at all levels of the organisation with confidence and discretion
- Excellent command of written English, to produce reports and communication materials to the highest standards
- Very good numerical skills
- Strong decision-making skills
- Ability to build and maintain strong relationships
- Active user of websites and digital tools and technology
- Excellent IT skills in MS Office (Outlook, Word, Excel, PowerPoint)
- Good organisational and project management skills; with the ability to organise and manage successful projects and events

Apprenticeship Requirements
- Have an A-C grade at GCSE or equivalent in Maths and English
- Have lived continuously in the UK/EEA for the last 3 years
- Not have a degree in any subject
- Not have done the Business Administration Level 3 programme previously
- Not have significant work experience of more than a year or so
