The RSPCA Buckinghamshire South Branch

The RSPCA Buckinghamshire South Branch is one of the branches of RSPCA, but we are also a separately registered charity looking after animals in our local area. Much of the animal welfare work of RSPCA is carried out through local branches, which is run by volunteers who have the support of the National Society of RSPCA.

The main activity of our branch is specialised in the rehoming of small animals including cats, rabbits, birds, guinea pigs and hamsters. The animals come into our care from various sources such as those which are rescued, abandoned, neglected or given up by their owners. Each animal is medically and characteristically assessed to ensure it is fit and well before being available for rehoming. This all costs money, and could not be achieved without your support. 

Job Summary

This role is responsible for the development, implementation and operation of appropriate financial and business management tools to support the day-to-day business and financial administration of the Branch.

Reporting to and working closely with the Chief Executive Office (CEO), you will be expected to make use of the full capability of the Branch’s existing software systems (Google Workspace, and Quick Books) to improve the efficiency and effectiveness of service delivery and develop management information to aid the Trustees & CEO in decision making.

You will be responsible for all financial management across the charity. This includes bookkeeping; financial statements; financial planning; financial policies, processes and controls and budgeting. 

You must ensure that all activities are carried out in compliance with current legislation, Branch and Society policy, relevant Health & Safety regulations and any associated statutory or legislative requirements.

Note: Branch targets and budgets are agreed on an annual basis and these will inform the personal targets agreed at the annual performance review. Progress towards personal targets will be reviewed at regular one-to-one meetings with your line manager.

This role is home based, with occasional travel across South Bucks.

Principal Accountabilities

Financial Management & Operations

• Support the CEO as a key strategic and operational partner, acting as second-in-command and deputising in their absence where appropriate.

• Maintain all financial records and accounting systems (the Branch currently uses Quick Books accounting software), registers and statistics as required by the CEO & Branch Trustees.

• Work with the CEO and Branch Trustees to develop financial plans and an annual financial budget.

• Maintain close oversight of the branch’s budget in collaboration with the CEO, proactively identifying and addressing any discrepancies, overspend, or unplanned financial activity to ensure effective financial control and informed decision-making.

• Process, monitor, record and manage all receipts & payments to/from the Branch in accordance with the agreed procedures and in liaison with the appropriate staff and volunteers including weekly banking, cash handling, invoice creation and processing, Branch payments (including those made via credit cards and petty cash) and account reconciliation.

• Monitor, review and reconcile monthly receipts & payments on the Quick Books accounting system.

• Produce monthly management accounts which include bank reconciliations, balance sheets, Branch/departmental profit & loss statements, departmental comparisons and performance against budget and such other financial reports/management information as may be required including monthly reporting to the board of trustees.

• Coordinate bank accounts across the charity, including set-up and balance management.

• Prepare and submit quarterly VAT returns.

• Prepare annual financial statements and coordination of annual audit review.

• Support the staff and volunteers with day-to-day financial operations and ensuring departmental financial records are maintained and that monies received or expended are accounted for correctly.

• Work with the RSPCA Society National team regarding legacies, submission of care contribution funds, renewals of insurances etc.

• Ensure that strict protocols are followed for cash handling and that unbanked cash remains within the insured limit for cash held at each premises.

• Liaise with the Branch’s payroll provider to ensure staff hours are submitted and salary payments processed on a monthly basis and within the appropriate timescale.

• Process all staff and volunteer expenses in a timely manner.

• Manage all bookkeeping processes and functions, including the asset register, ensuring annual accounts are produced no later than the end of March each year.

• Develop, implement and maintain appropriate financial administrative procedures and processes.

Business Administration

• Responsible for day-to-day financial administrative support for the CEO and Trustees.

• Ensure that all administrative paperwork, including external correspondence is processed in accordance with Branch and Society procedures, including completion of all appropriate records for insurance and risk management purposes.

• Ensure financial data processing, retention and destruction conforms to the relevant policies such as GDPR.

• Ensure regulatory and legislative compliance of financial charity policies.

• Work closely with relevant operational staff to ensure appropriate responses are issued to all enquiries whether from members, supporters & volunteers, RSPCA colleagues or the general public.

• Liaise with staff and volunteers to facilitate the ordering of materials, supplies and equipment for the effective operation of the Branch, ensuring budgetary controls are maintained at all times.

• Work with the CEO and other staff to manage relevant licences, vendor relationships, service agreements and invoicing.

• Work with staff and volunteers across the whole charity on financial processes and controls.

Fundraising & Donations

• Identify, assess, and apply for appropriate grants and funding streams to maximise income for the branch, ensuring applications are timely, well-prepared, and aligned with funder criteria to support the branch’s strategic and operational objectives.

• Ensure that all donations (financial or otherwise) are acknowledged in a timely manner, receipts are issued for financial donations and the banking of all funds raised.

• Responsible for the accurate recording and banking of the funds raised.

• Develop, and manage relationships across relevant stakeholder groups, both within and outside the charity.

Gift Aid

• Ownership of the Gift Aid process.

General

• Attend meetings and training courses as required.

• Undertake such other duties as directed from time-to-time by your line manager.

Essential skills, qualifications and experience:

• A finance qualification or working towards level 3 AAT or ACCA with proven experience in charity financial operations.

• Good general level of education.

• Strong experience in financial reporting, budgeting and compliance.

• Demonstrable experience of managing small to medium size budgets (circa £400,000) & accounting systems (ideally with experience of Quick Books software).

• Proven experience of cash handling and financial management procedures. 

• Excellent communication and presentation skills.

• Proven ability to work to tight deadlines, be proactive and work autonomously.

• Proven IT literacy including use of business software and accounting packages (including Quickbooks), and Google Workspace.

We are the Wandsworth representative of the national City of Sanctuary (CoS) charity. This project will support the committee and expand our activities in the voluntary and community sector and elsewhere to build commitment to Sanctuaries in the Borough. Wandsworth has a small but active network supporting refugees. The existing sanctuaries include a theatre, cafe and shop. Our Wandsworth libraries are en route to become sanctuaries and there is active interest from schools and faith groups. The contract is initially for 62 days over one year. The Project is supported by Wandsworth Council as a Borough of Sanctuary and by Lewisham Refugee and Migrant Network (LRMN). Note that for the year 2025 Wandsworth is the London Borough of Culture.

Wandsworth Welcomes Refugees is a charity and operates primarily on a voluntary basis. We aim to make Wandsworth a welcoming place for those seeking sanctuary to feel safe, supported and part of our community.  WWR is part of the City of Sanctuary movement and is the accredited organization in Wandsworth. We work with voluntary and community sector (VCS) and other organisations to encourage and support those wishing to reach out to refugees. We liaise with those interested in finding out more, offering general support, offering general support, or seeking to become accredited with City of Sanctuary. 

Objectives of the project
The project will support the WWR committee activities and objectives. It will expand WWR reach and contacts in the VCS and other appropriate places and organisations. It will raise the profile of the sanctuary movement and encourage active participation by various organisations to create welcoming communities for people seeking sanctuary. Participation can range from an interest and small steps through to becoming accredited with City of Sanctuary.

Wandsworth and Sanctuaries
Sanctuaries include community groups, private organizations, public sector services, and individuals, united in their commitment to supporting those fleeing violence and persecution. Wandsworth is a Borough of Sanctuary, and the accredited organisations at present include a theatre, café and shop. Wandsworth libraries and some faith groups and schools are in the process of applying to become accredited. There is interest from other theatres, shops, sporting facilities and many others. 

Role of the Community Engagement Officer

• Assist the committee to increase its outreach and communication with interested organisations across the Borough

• Join monthly committee meeting to report and plan

• Meet and liaise with the key refugee support organisations in Wandsworth and a small number in other London boroughs 

• Organise an on-line Meet-Up for sharing and support ‘clinics’ (every 4-6 weeks); develop a launch for this event

You will be a Christian, qualified accountant with proven experience as an international finance leader, having implemented new systems and worked across multiple jurisdictions. Experience of the charity/humanitarian sector and an understanding of the complexities of in-country programme management would be beneficial. LTSB has ambitious plans to grow our income over the next few years. You will be joining our fantastic Fundraising team, which currently has three members of staff who work with trusts, foundations, institutions, companies and individuals to ensure the charity has the funds and key relationships necessary to achieve our aims.

This brand new role will support with developing and growing the number of trusts, foundations and institutions we are working with.

Income from trusts, foundations and statutory sources is an important income stream at LTSB, and you will work closely with the Fundraising Manager to develop and execute a strategy in order to grow and retain some of our existing funders, as well as bring new ones on board through effective research and prospecting.

This role would suit someone who has some experience of trust fundraising but is looking for the next step, therefore you must have experience of grant writing (five figure bids). You will have competent writing skills and experience of building and maintaining strong relationships and searching for new ones, whether online or in person. You will be enthusiastic, driven and creative with a can-do attitude. This role will have periods of high intensity. Being able to manage the highs and lows of trust and foundations fundraising is key.

As we all work remotely, you will also need to be a self-starter and be able to work independently. We would expect a thorough understanding and commitment to LTSB’s vision, mission, and work.

A part-time role developing, curating, delivering and finessing training for two distinct audiences – training for those who have low digital confidence, as well as young people, in how to use digital devices effectively and efficiently; and also training for those who may come into contact with, or wish to learn about, digital poverty, including staff of corporates and community providers. 

The former audience – learning about digital skills – will need to gain knowledge and understanding about the foundational elements of using laptops, tablets and smartphones.  This includes Essential Digital Skills such as setting passwords, connecting to Wi-Fi and using keyboards, as well as soft skills such as staying safe online, critical thinking and recognising fake news or AI generated imagery.

The latter audience – learning about digital poverty – will need to learn about the causes and impacts of digital poverty, what impact digital exclusion has on families and communities, and how to understand if someone is digitally included.

There may be other training requirements as well – such as training external users of our systems, training corporate volunteers, or a train-the-train model of supporting young people to work with those in their communities.

Key responsibilities

• Work with CEO and SMT to gain a strong understanding of the content we wish to deliver.
• Design a range of standardised training materials, developing curriculum plans, which are able to be tailored easily for cohorts.
• Work with the Head of Development to ensure training meets the needs of potential partners.
• Work with delivery and project officers to understand training requirements as they relate to specific programmatic requirements.
• Deliver training as the lead trainer for the charity, usually in person but sometimes online.
• Work with partner organisations to build strong relationships, especially when working with corporate volunteers.
• Create and implement monitoring and evaluation frameworks to assess the effectiveness of the training, gather feedback and finesse the training models you have created.
• Be able to run a train the trainer model for corporate volunteers, other staff, and young people on specific programmes, briefing them and ensuring consistency and quality.
• Work with the Head of External Affairs to produce high quality materials, including presentations, leaflets and other resources.
• Support marketing, project management, contract management and other functions delivered by other team members.
• Provide accurate reporting on the basis of feedback, participation and other indicators of current success.
• Take a self-sufficient approach to logistical management, whilst also working with colleagues where duties overlap.
• Keep up to date on developments in digital skills, maintaining subject matter knowledge.
• Maintain a strong understanding of the digital poverty landscape, including across policy, research and interventions, to inform training delivery.
• Work with colleagues to role model best practice in training.

The role is remote based - the whole team works from home - but you will need to be able to regularly travel across the UK including potential overnight stays and evening working.  You must feel comfortable being the person who sets up at a training event, and have a hands-on approach.  (The costs of travel are, of course, covered.)

With experience in funder plus support, grant-making, and stakeholder engagement, you’ll help legal advice agencies thrive. This is a high-impact role guiding the development of our sector support programmes to ensure we best meet the needs of organisations providing vital legal help to those most in need. About the PVRI
We’re a small charity with a global reach and an important purpose: to reduce the burden of pulmonary vascular disease (PVD) - a serious condition that can lead to heart damage and trigger symptoms like breathlessness, chest pain, fatigue, poor growth, fainting, and light-headedness. PVD can reduce both quality of life and length of life, but it isn’t widely recognised or well-understood.

Our aim is to improve clinical care, education, and PVD research. To do this, we bring together an international network of thousands of clinicians, scientists, academics, and industry partners supported by our small team based in Bermondsey, London. Together, we deliver conferences, e-learning, and an academic journal, raise awareness of PVD, and encourage collaboration in research.

About the role
We are seeking a Marketing Officer to help grow and service the charity's profile and international membership, increase the value of our membership offer, increase our income generation, work with the team to run successful events, and deliver our e-learning programmes. You’ll help ensure our members are informed about the latest developments and learning opportunities, and they’re valued for their contributions to the PVRI. No two days are the same. One day, you might be writing content for our website and social media channels, and the next, you might be welcoming respected speakers and attendees from over 30 countries to our scientific webinar.

We are looking for someone with excellent written and verbal communication skills and attention to detail. You’ll need to create successful marketing plans and grow our membership. You will also bring excellent organisational skills and the ability to co-ordinate high-quality webinars.

The Trusts & Foundations Specialist will play a key role in identifying and securing grants from trusts and foundations. You will lead on researching new opportunities, crafting compelling applications, and stewarding relationships with grantmakers. We’re looking for a diligent and thoughtful writer with a sharp eye for detail and a deep interest in our work, who is also keen to contribute to the wider life of the organisation.

RESPONSIBILITIES

Grant Prospecting & Pipeline Development

• Research and maintain a pipeline of trusts and foundations aligned with OSH’s mission and growth priorities.

• Work closely with OSH leadership to align fundraising priorities with programme plans and organisational growth.

• Maintain up-to-date records on potential and active funders in OSH’s CRM.
   

Bid Writing & Submission

• Write and submit high-quality, tailored applications that articulate OSH’s impact, values and plans.

• Ensure applications are accurate, persuasive, and meet deadlines and funder requirements.

• Collaborate with the team to gather supporting information, budgets, and case studies.
   

Reporting & Stewardship

• Prepare timely and engaging reports for successful grants, ensuring compliance with funder requirements and strong stewardship.

• Maintain excellent records and monitor deadlines for reporting and renewals.
   

Cross-Organisational Contribution

• Coordinate annual impact reporting, including data analysis, case studies, and visual storytelling.
