The Opportunity

This role offers an exciting opportunity for an organised and proactive individual to contribute to high-profile events such as the prestigious Whitley Awards Ceremony, conservation summits and fundraising receptions, while also supporting office management, operational and administrative functions at the charity’s London office.

EVENT SUPPORT

Whitley Awards Ceremony

The Whitley Awards are the result of an international search to find, fund, train and put a spotlight on outstanding grassroots leaders and their conservation projects. Finalists are invited to London for a week of training and events, culminating with the Whitley Awards Ceremony, where winners receive their Awards from WFN Patron, HRH The Princess Royal in front of 400 guests and many more tuning in via our livestream.

The Events and Office Assistant (EOA) will assist in the planning and delivery of the annual Whitley Awards Week, including the Ceremony, Friends Reception, NGO Reception, and related activities, particularly in the following areas:

• Arrange team and visitor travel, accommodation, and hospitality logistics
• Manage event guest lists and RSVPs using Salesforce and other platforms; help coordinate mail-outs and e-invitations
• Provide on-the-day event support including set-up, guest registration, and general assistance
• Support event logistics such as venue liaison, catering, AV, décor, merchandise, and materials, assisting with supplier coordination
• Champion WFN’s Event Code of Conduct.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme, and major initiatives such as Royal dinners, Galas and Biodiversity Summits which will require the EOA’s assistance.

• Manage ticketing and Q&A platforms and associated activities
• Coordinate volunteer involvement where required
• Support the organisation and logistics of fundraising and engagement events, including acting as venue liaison, arranging catering, managing guest lists, etc
• Assist with production of event materials as needed (signage, name badges, merchandise).

 OFFICE ADMINISTRATION AND OPERATIONS

Smooth running of the WFN office and systems is vital for the charity to work effectively, with this role helping to support the team. The WFN office is a busy and welcoming environment, with regular visits by winners and supporters.

Office Management

• Ensure the office is a welcoming, tidy, and well-functioning space
• Greet visitors and manage incoming calls, emails, and enquiries
• Liaise with team and suppliers to order office materials and manage contracts (utilities, cleaning, stationery, refreshments, merchandise etc.)
• Manage post, deliveries, and waste removal procedures
• Oversee and liaise with the office cleaners to ensure they have the products they need and are paid in a timely manner.

Administrative Support

• Assist with diary management and scheduling meetings (in person and online)
• Arrange team and visitor travel, accommodation, and hospitality logistics
• Draft routine correspondence, thank-you letters, and other administrative communications
• Review and respond to general email enquiries (info inbox)
• Support the Head of Finance with basic administrative and data entry tasks
• Help maintain and update WFN’s CRM database (currently Salesforce) with contacts, donors, suppliers, event attendees
• Support the team with data entry, filing, record keeping, and maintaining digital and physical systems.

GENERAL DUTIES

• Represent WFN professionally at all times
• Adhere to WFN’s financial and operational procedures

JOB DESCRIPTION 

Noah’s Ark Children’s Hospice helps babies, children and young people who are seriously unwell, and their families, make the most of every day. The charity aspires to become a centre of clinical excellence for children with life-limiting or life-threatening conditions.

We’ve been on a major upward trajectory in recent years, with more children being supported, more major hospitals being partnered with and more supporters donating. We’ve transformed from being an enthusiastic start-up delivering care in the community, to a serious player delivering major impact both in the community and at our state-of-the-art hospice building, The Ark, opened in 2019.

Philanthropy, which covers Grants, Trusts & Foundations and Major Donor fundraising streams, is pivotal to Noah’s Ark, typically accounting for around 50% of the charity’s voluntary income. This is an area of real expertise for Noah’s Ark, with much scope for further refining. The successful candidate will therefore enjoy opportunities to manage and add to an exciting portfolio and gain further training and support, working as part of a high-performing and super supportive team, ready for its next exciting growth phase.

The Philanthropy Officer will work closely with and report to the Grants, Trusts & Foundations Manager and Head of Philanthropy to develop the Trust and Major Donor pipelines, along with instrumental cross-team work on applications and reporting processes for other income streams. Whilst we work towards developing a more diverse funding model and navigate changes to the external Trust and HNWI environments, sustaining and growing income from both of these income steams will remain vital.

The post-holder will be key in taking the Trust and Major Donor programmes to the next level, securing new grants, building relationships, increasing multi-year gifts and improving both quality and volume of applications. They will also support the Grants, Trusts & Foundations Manager, and the wider team, to the same end with their respective portfolios.

The Unifrog platform

Over the last 12 years, the Unifrog platform has grown enormously from its starting point as a simple tool to help students pick their UK university courses and apprenticeships. It now helps young people from 4 years old up to explore their interests, record the great things they’ve done, compare every post-16 and post-18 course in the UK and every undergraduate programme taught in English in the world, find and organise work experience, and draft their application materials. The platform also helps teachers and career advisers to guide students every step of the way, makes it easy for parents to explore the platform via their own accounts, and helps employer and university recruitment teams to interact directly with students. 

We have a long list of exciting projects for the platform, always aiming to achieve our mission. We are looking for someone to join Unifrog’s team to help us continually improve the platform’s existing tools, and to also develop new ones. 

What you’ll do

You’ll work on improving the platform itself, from how things work behind the scenes, to the user experience and how the tools work and look.

This role does not involve coding - instead you’ll develop and design clear ideas and plans with Unifrog’s two co-founders, and with other colleagues involved in platform development, and then you’ll work with our lead programmer to make them happen.

You will become an expert in:

• The needs of all our different user types, including students, teachers, school groups, universities, employers, and parents

• How to navigate the platform as a user of each type

• How the Unifrog platform works behind the scenes

You’ll be part of the team that:

• Collates feedback on the platform, deciding which changes to move ahead with, and how
   

• Comes up with and designs ideas for platform improvements

• Develops and designs completely new tools

• Investigates potential bugs and comes up with suggested solutions

• Communicates platform changes to the Unifrog team

• Answers queries about the platform from colleagues

 

Working together

You’ll regularly be working with:

• Unifrog’s two co-founders and other colleagues involved in maintaining and developing the platform – in particular our data and content teams – to come up with improvements to the platform and to develop new projects

• Our lead programmer to implement ideas

• User-facing colleagues to understand what our users are asking for, as well as communicate to them what things have changed on the platform

• (More occasionally, but especially at the beginning) our users, when you need to have a greater understanding of a particular topic

You will be line-managed by Unifrog’s two co-founders.

 

Skills and characteristics

We are looking for an independent worker with design skills, who is a great problem solver and is motivated to find an elegant solution, whatever the issue.

Design

You’ll be producing the designs that go to our lead programmer, and which he’ll use as the basis for his work. You should have experience with UX design, and we can accommodate whichever application you prefer to work with, eg Figma or Sketch.

We’ve developed and plan to keep developing a large range of tools on the platform, like:

• Quizzes

• Tools to make large banks of information easy to search and understand

• Tools to simplify complex workflows

• Integrations with other platforms

• Document creation that involves input from multiple people

• Data visualisation

The problems we come up against can involve:

• Different users handling the same processes in different ways from each other

• Different groups of users having competing wants

• A data provider changing the way they structure their data

• Users not completing an important action on the platform

• A change on one tool having a knock-on effect on several other tools

• Users expressing their needs and ideas in uncertain or ambiguous ways
   

Your challenge is to design concrete solutions that work for everyone, which are as simple as possible to implement, and which are immediately understandable by a user who’s never seen them before.

Independence and initiative
 

You will work closely with Unifrog’s two co-founders. While colleagues from the wider team will be involved in coming up with ideas and telling you what they need, you will be the only team member, apart from the co-founders, in the product development team.

Because Unifrog’s co-founders work remotely and are also involved in other areas of the business, this will require you to be a good independent worker:
 

• Able to plan a project and stick to timelines, even when you need to get input from other team members

• Confident to come up with your own ideas, sort out good ideas from less useful ones, and make decisions based on information you’ve researched or been given by other team members

• Open when getting feedback

• Able to adapt to a team used to working in an informal way with few processes, allowing for flexibility and rapid advancements

• Driven to get projects finished and signed off

• Communication

You will need to understand and translate the issues that a user is facing to our lead programmer, and tell him your ideas for solutions and explain your designs in a way that will allow him to get working without needing lots of clarification.

You will need to communicate what development work is happening to the rest of the Unifrog team, and you’ll need to help your colleagues find the best way to tell users about it in turn.

Finally, you will need to be able to adapt your communication style depending on the person you are communicating with, including our lead programmer, other Unifrog team members, or partners and users.

• Circulate applications, minute meetings, draft correspondence, and organise virtual evaluation meetings
• Provide guidance on regulations and legislation for specialist registration
• Draft and update guidance and training materials for assessment panels and applicants
• Track application progress and ensure contractual deadlines are met
• Maintain accurate records and databases
• Support and deputise for the Head of Specialist Applications, including appeals preparation
• Attend meetings with internal and external stakeholders, sometimes deputising as needed
• Contribute to process reviews and regular reporting

In this role you’ll help the Action Against Hunger International Network to access, secure and manage institutional funding from UK donors. You won’t be alone; you’ll support the Head of Programme Funding and manage members of the programme funding team.

You’ll play a key role in helping Action Against Hunger to achieve our vision of a world free from hunger by maintaining the funding from key UK institutional donors and making sure we deliver high quality programmes. You’ll be in the exciting and important position of working with country, regional and global funds, and collaborating with colleagues both inside the international network and beyond. You’ll help raise Action Against Hunger’s profile and engagement with the UK Government and UK sector to inform, influence and collaborate on all areas of our work.   

You’ll work closely with our Network HQs and country teams to develop opportunities, increase the number and value of new grants and contracts, and ensure effective delivery. But you’ll also be a key person in engaging with institutional funders too. So how will you do this? You will work at an operational, tactical, and strategic level – making the most of the links between funders strategies and the Action Against Hunger’s network own strategy and trends we observe.
