Purpose of the role

As the Board Secretary to the Board of Trustees, you will be responsible for administration support, diary management and meeting organisation of the Board and Board Committees including being responsible for the compiling and distribution of Board packs by co-ordinating input from relevant staff.

Administration support will include assistance with developing and recording annual workplans, minute-taking, action management and support with forward planning for meetings and key events. You will take ownership of the annual meeting schedule and calendar of Board and Committee meetings; you will also be responsible for organising other trustee and CEO related meetings at the discretion of the Chair of the Board.

As Executive Assistant, you will provide high quality administration support to the CEO and Senior Leadership Team (SLT), to ensure the smooth operation of CEO and SLT responsibilities and co-ordinating efforts of various parties to ensure completion of key tasks and actions. 

You will have significant experience of providing accurate proactive and responsive administrative assistance to senior staff and be able to demonstrate experience of developing and managing effective administrative systems.  Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.

You will be highly organised and responsive to others in a way that is both timely and professional, with well-developed time management skills and able to evidence completion of activities. A high level of accuracy and attention to detail is critical to this role, as is the ability to handle sensitive and confidential information with care and integrity.

Key responsibilites

Board Secretary 

• Develop and maintain annual workplans for the Board and Committees in conjunction with the Chair of Trustees, Committee Chairs, CEO and SLT to ensure agendas are structured and tasks are delivered and completed.

• Set Board and Committee meeting dates in conjunction with the CEO and Chair and organise all meetings which may be in person, online or hybrid.

• Produce Board and Committee meeting agendas in liaison with CEO and SLT, ensuring that committee and board workplans are adhered to, and action logs followed up in a timely manner. 

• Co-ordinate the collation of Board packs with input from SLT, the Governance Manager and other members of the Extended Leadership Team to support the agenda items.

• Oversee the timetable for production of Board packs and using the board portal (Team Engine), distribute agendas and the Board pack for all board and committee meetings on a timely basis. 

• Clerk all board and committee meetings, producing minutes and action logs in a timely fashion and ensuring they are signed off by the CEO, SLT lead and Chair. 

• Keep the board portal (Team Engine) up-to-date with meeting papers, policies and other relevant documents. 

• Administer all board appointments and reappointments, producing the induction plan and checking all paperwork is complete to ensure compliant appointments. 

• Support the production and delivery of Board business including the Annual Report and Accounts, recruitment and selection of trustees, and Board development activity where required. 

• In conjunction with the Company Secretary and Governance Manager, ensure adherence to submission with various regulatory and statutory documents to Companies House and the Charities Commission.

• Liaise with the Governance Manager and Chair on the administration of compliance and governance matters related to the Board and longer-term Board projects e.g. skills audits and Board development.

Executive Assistant 

• Provide proactive and responsive administrative support at an executive level to the CEO and SLT, including diary management and ad hoc administration tasks. 

• Develop, plan and maintain an organisational calendar and scheduling meetings and events in a co-ordinated and manageable way. 

• Liaise with SLT to plan an appropriate schedule of work for the organisational calendar to maximise collaboration and the efficient use of time and resources. 

• Provide executive and secretarial support including action logs at the weekly SLT meetings in an efficient and effective way e.g. using note taking software.  Assist with following up actions and meeting outcomes by the agreed deadlines. 

• Collate and distributing of agendas, actions and annual workplans for the SLT meetings in a timely manner. 

• Organisation and administrative support of charity wide events including internal quarterly whole organisation meetings, both in-person and virtual, to ensure the smooth and efficient running of these events. 

• Lead on the organisation and administration of specific project or task groups to ensure that agreed targets, objectives and deadline are met. 

General 

• Build awareness of the charity’s purpose through building strong and effective relationships with external stakeholders. 

• Be prepared to travel across the region and, on occasion, to other sites and national meetings as required. 

• Willingness to undertake continuous development and training for the role, including mandatory Day One and role specific training. 

• Additional ad hoc duties as and when required.

You will be capable of producing accurate work and having an eye for detail. You will have excellent communication skills and be able to work with a wide range of people. 

Who you’ll be working with 

You will be part of our Finance and Resources team and report directly to our HR Manager. Your day-to-day working relationships will be with the CEO, Senior Leadership Team and Board of Trustees.

Purpose of the role

To support the communications team in raising the profile of Day One, primarily on social media and with a focus on short-form video content. 

As a staff ambassador for Day One, championing our values and behaviours and being committed to the difference that Day One makes is essential. The role sits within our Fundraising and Communications Department and will support the wider team.

Key responsibilities 

The post holder’s primary duties and responsibilities are as follows: 

• Lead the day-to-day management of Day One's social networks 
• Create content for Day One’s social media accounts, website and email marketing 
• Create video content for Day One’s social media channels and YouTube 
• Work closely with Day One’s Services Team to identify patient stories which demonstrate the charity’s impact 
• Write case studies and ‘stories of recovery’ based on the experiences of our service users and volunteers 
• Support the management of Day One’s paid advertising campaigns on social media 
• Assist the communications and fundraising team with various tasks including: 
• Assisting with events marketing 
• Assisting with website content creation 
• Supporting digital fundraising 
• Support the wider Day One organisation with effective communications 

What we’ll need from you

This job is all about supporting the communications team in raising the profile of Day One, primarily on social media and with a focus on short-form video content. You’ll need to be a great communicator and creative thinker with a passion for making great digital content. You will work closely with our service users, volunteers and staff to make compelling content for social media in both written and video form. You will need to be creative, proactive, empathetic and adaptable. Working closely with our fundraising and communications team, you’ll ensure people remain at the heart of our work by telling powerful stories that resonate with our audiences and effectively communicate the impact of major trauma and the support Day One provides. As we are a small organisation, you will need to be ready to support the wider team with fundraising and service delivery projects.

Who you’ll be working with

You’ll work as a key member of our friendly, experienced and enthusiastic communications and fundraising team. We're a small, hard-working team with big ambitions, but we still make the time to support each other. You’ll be line-managed by me (Digital Communications Officer), and work alongside our Communications Manager Dave and Marketing and Communications Officer Harriet. You’ll be supported by our Fundraising and Communications Director, a supportive SLT and board of trustees, and work alongside six fantastic fundraising colleagues. This position is new for the charity, so there is lots of scope for you to carve out the role and make it your own. We’ll support you, so together we can become the charity that communication professionals want to work for: because of the impact we have on the lives of major trauma patients and their families, our inclusive culture, professional development opportunities and exceptional communications.

The interim Chief Executive is an executive leader, who co-leads the Belgrade with the Artistic Director, reporting to the Board. They are responsible for driving strategic planning with SLT, programming, advocacy and fund-raising, stakeholder management, and overseeing the finance and operations of the organisation. They are one of the public faces of the Theatre, alongside the Artistic Director.

The interim CEO works in close collaboration with the Artistic Director to:

• curate a high quality artistic programme and support the organisation to deliver the artistic strategy.
• provide effective and inclusive leadership for the staff team, drawing on the collective strength of the SLT in their decision making.

The interim CEO drives the income generation for the Theatre, to achieve the balanced budget, and is chiefly responsible for the Main Stage visiting work programme.

The interim CEO line manages an SLT including a Chief Operations Officer (who in turn oversees finance, HR, production and operations); Director of Audiences and Growth, Director of Producing and Co-Creation and Head of Business Support.

What You Will Do

Leadership & Management​

• In collaboration with the Artistic Director;​
• Provide inspirational leadership and a clear sense of direction to the senior team and wider organisation​
• Drive and oversee SLT in the development and delivery of the Belgrade’s story of change and business plans that support the Vision, Mission and Values of The Belgrade, communicating these internally and externally.​
• Take an inclusive approach to line management of the SLT which fosters a culture of clear timely decision making and communication. ​
• Oversee the SLT to ensure the experience all artists, audiences, visitors receive from the Belgrade is inclusive, informed and enriching; and the building provides a welcoming, safe space.​
• Ensure a commitment to equality, diversity, inclusion, and environmental sustainability throughout the organisation.

Programming ​

• Work closely with the Artistic Director and SLT to curate and deliver a high-quality and relevant programme which balances artistic, financial and operational needs, taking chief responsibility for the visiting work.​
• Develop strategic relationships with a wide range of commercial producers and visiting companies to secure appropriate visiting work and negotiate the deals maximising the benefits of these partnerships for the commercial benefit and artistic reputation of the Belgrade.​
• Support the Artistic Director to shape the artistic strategy and creative direction of the theatre. ​
• In collaboration with the Artistic Director,​
• agree lead productions and secure co-producers​
• Bring in co-productions that enhance the programme.​

Governance​

• Work closely with the Chair and Board of Trustees to ensure best practice in governance, maintaining effective working relationships with all Trustees.​
• Support the implementation of the Board Effectiveness plan.​
• Develop and maintain robust and effective risk management systems with SLT.​
• Work closely with the SLT to ensure full compliance with all legal obligations and statutory requirements, including the preparation of Annual Report and Financial Statements, and annual returns to Companies House and the Charity Commission.​
• Carry out any other tasks that may be allocated by the Board of Trustees.​

  External Relations​

• Nurture excellent working relationships with key stakeholders, partners and supporters, including Arts Council England (ACE) and Coventry City Council (CCC); specifically, leading on NPO applications, and working to meet the objectives of CCC’s Cultural Plans.​
• Continue to develop The Belgrade’s role as a strategic partner and cultural leader locally and regionally.​
• Act as advocate and ambassador for the Belgrade, representing the organisation publicly, seeking out opportunities to raise the profile of the Belgrade. ​
• Lead on the Reporting to Funders, with support of Head of Business Support, and in collaboration with the AD.​
• The Interim CEO will represent the theatre in strategic and cultural development forums including Culture Works, and UK Theatre, in collaboration with the AD

Financial and Operational Overview​

• Oversee the Chief Operating Officer to ensure;​
• Robust financial management of the organisation, ensuring expenditure and commitments are made within available resources, risk is managed effectively.​
• Budgets are appropriately set and monitored.​
• Accounting information supplied in a timely manner and ensuring there is a strong cash-flow position at all times.​

​Income Generation​

• Take a pro-active approach to the continuing growth of the Belgrade’s commercial capability, ensuring all opportunities for generating income are maximised through;​
• Oversee the Director of Audiences and Growth and COO in driving the Belgrade’s commercial capacity, ensuring the commercial potential of the building is maximised, particularly through catering and conferencing.​
• Oversee the Director of Audiences and Growth in the delivery of The Belgrade’s fundraising strategy, playing a visible leading role in fundraising events as appropriate.

What Are We Looking For ?

Essential: You will be able to demonstrate this range of skills and experience:​

Commitment to the vision, mission and values of The Belgrade.​

​Either: significant senior management experience in a theatre of a similar scale to The Belgrade​

Or: significant experience of leadership at a senior level in the cultural industries, in an organisation of a similar scale to the Belgrade.​

• Considerable experience in financial management of complex, large scale budgets, and a proven track record in balancing Artistic risk and ambition with sound financial management.​
• Proven track record in programming commercially and artistically successful seasons of work.​
• Ability to nurture a diverse network of industry contacts nationally and internationally. ​
• Understanding of the UK arts and theatre scene; knowledge of the issues facing subsidised theatre.​
• Track record of negotiating and maintaining effective partnerships for theatre productions. ​
• Experience of developing and implementing strategic business plans.​
• Strong leadership skills with the ability to provide clear strategic direction and manage a large team.​
• An innovative approach; the ability to recognise and exploit commercial opportunities with energy.​
• Excellent interpersonal and communication skills with demonstrable ability to build trust-based relationships with a wide range of people both internally and externally. ​
• Commitment to learning, engagement, talent development and inclusivity.​
• Ability to act as spokesperson in a range of settings; experience of senior stakeholder management​
• Ability to articulate the role of The Belgrade in ACE’s Let’s Create strategy​
• Leadership of the Belgrade Brand Values to be the people who know and care. ​

Desirable ​

• Experience of carrying financial responsibility for an organisation of a similar scale.​
• Detailed knowledge of marketing & audience development; knowledge of the regional theatre context.​
• Experience of effectively managing a fundraising and individual giving strategy.​
• Experience of working with a voluntary Board of Trustees. ​
• Experience of working collaboratively with an Artist/Artistic Director. ​
• Experience of managing Arts Council England NPO relationship.​
• Understanding of Theatre Tax Relief.

Other Information

• The Belgrade operates a House Agreement based on the UK Theatre (formerly TMA)/BECTU (Broadcasting, Entertainment, Cinematograph and Theatre Union) Agreement and its Staff Handbook outlines the terms on sick pay, maternity leave and pay, paternity leave and pay, grievance and discipline and other relevant staff matters​
• Employees’ health and safety is of paramount importance, and Management insists that an employee obtains written express permission to take on any paid work or other employment during periods of TOIL (Time Off In Lieu) or holiday. No permission will be given for the first 28 days of holiday as this is a statutory requirement​
• On appointment the successful candidate must be able to provide the correct documents as proof of their right to work in the UK​​
• The candidate’s contract of employment with the Belgrade Theatre does not come into force until the first day of work​
• Staff are entitled to tickets for shows at the Belgrade Theatre, subject to particular conditions and 10% discount at the Theatre’s Café and Bars

• Working Hours: Your normal hours of work will be 39 hours per week over Monday to Friday, but we are flexible to those considering a 32 hour week post. There will be occasional evening and weekend work. You are expected to offer reasonable flexibility in your working arrangements where it is considered necessary to undertake the duties you have been employed to perform and in the interests of the Theatre. There is no provision for payment of overtime​
• Overtime: Is not payable but 6th day working and excessive additional hours will attract TOIL (time off in lieu) if agreed in advance with the Line Manager​
• Pension: Auto-enrolment, with Belgrade currently making 3% employer contributions which will rise in line with legal requirements. The Theatre’s appointed pension provider is NEST. Further details are available​
• Holidays: 25 days a year plus 8 Bank Holidays, increasing by a day per year to a maximum 28 days plus 8 Bank Holidays​
• Location: This role is based at the Belgrade Theatre in Coventry. Short term relocation / accommodation can be considered as part of the renumeration package.

• Confident communicator with the ability to work with editors, suppliers and internal teams with professionalism.
• Familiarity with web publishing, content management systems and, ideally, tools such as InDesign and databases for analysis or reporting.

We are seeking a motivated and efficient Events Assistant to join our growing and welcoming organisation. About the role

Managed by the Head of Public Policy, this is a role which is designed to work across our small team, supporting the management of a wide range of events (online and in person) as well as providing some support for communications, meetings and other areas as they develop.

We organise and host a wide variety of events from large public lectures to small networking events, in-person dinners to online seminars and meetings. Some of these are established annual events and some are one-off.  At these events and meetings, we host stakeholders from across Welsh political and public spheres as well as engaging and involving our 700+ Fellows who represent excellence across academia and beyond.

This role will focus primarily on events relating to LSW’s Strategic Priority 1: “Contribute to major policy solutions by providing independent advice and facilitating knowledge exchange”.  These events typically relate to one of the following five topics:

1. Facilitating the provision of evidence and expertise to inform public policy, with stakeholders including Welsh Government, the Senedd, the UK Government Wales Office, and the Westminster Welsh Affairs Committee.

2. Convening discussions on policy matters impacting research and innovation sectors, such as EDI, research culture, funding, open research, and civic engagement.

3. Advocating for the importance of all research, innovation, and knowledge in and for Wales.

4. Supporting and advocating for Wales Studies, i.e. research about Wales.

5. International engagement to raise Wales’s profile among science and research stakeholders internationally, and give Wales a voice in key conversations in the global science and research world. (Most current work is in Scotland and Ireland, with increasing European engagement)

You will also provide support across the team – including for the CEO, President, Head of Equity and Engagement, Communications Officer, and Events and Awards Officer where they require assistance with meetings, events and communications.  You will be working with different members of the team depending on the particular event or activity so you will manage your own time – with support from your line manager.

About the Role

This is an exciting opportunity for the right person to join the Refugee Migrant Centre as its Finance Assistant. RMC is an established, award winning, regional charity, renowned for its work with refugees and migrants.

For over 23 years, RMC has assisted thousands of refugees and migrants from 162 countries. It has helped to remove the barriers to integration, helping its clients become equal citizens, using a whole-person approach to the delivery of services from specialist legal advice through to education and employment programmes. ​

With the organisation expanding the finance department is also expanding and there is need for a Finance Assistant who will work closely with the key members of the finance department. Purpose and Scope of the Role

Job purpose:   

To support the Finance Officer in all aspects of the finance function and be responsible for the Financial Administration side of the the team's daily activities. Maintaining accurate records and assisting with the production of financial reports for month end proceudres as required by the finance Manager. Must also be able to communicate effectively with internal and external staff and be able to work on using your own initiative within a team as well independently. The role requires excellent attention to detail.

Main duties and responsibilities of the role

The post holder will have at least 2 years’ in-depth Admin & Book-keeping experience which includes:  

· Excellent book keeping, including bank reconciliations, sales and purchase ledger maintenance.  

· Assisting the Finance Officer to record and monitor and track income and expenditure and maintaining balanced and highly accurate records using QuickBooks. 

· Regular use of Excel to assist with maintaining and updating financial documents.

· Maintaining petty cash and reconciling monthly for the petty cash. accounts for Volunteers' expenses and general petty cash accounts for all 4 sites.  

· Ordering equipment and stationery using the correct process and negotiating with suppliers as well as matching invoices to delivery notes.  

· Monthly supplier statement reconciliations as well as liaising with suppliers to deal with any discrepancies.  

· Analyse staff expenses in line with the organisation's policy.  

· Assisting with the pension scheme reconciliations each month. 

· Assist in the weekly payment runs to suppliers through faster payment matching, batching, coding, and posting supplier invoices

· HMRC and Pension Journals.

· Filling and scanning documents

· Assisting in any other tasks required for the position

Flexibility 

In order to deliver the stated aims of for this post, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above, such duties will fall within the scope of the job and be directly related within the appropriate pay grade. You will develop and manage existing and new supporter communication programmes growing loyalty in our supporter base. CSAN is the official agency of the Catholic Bishops’ Conference, tackling the root causes of poverty and injustice affecting people in England and Wales. As our Senior Officer for Migration, you will help to raise awareness of migration issues from the perspective of Catholic Social Teaching and lead on our Ambassadors Programme against Human Trafficking and Modern Slavery, as well as prepare briefings and campaign responses to Government legislation.

Over the last 20 years, CSAN has established a network of 50 diocesan and direct service charities, with a combined annual expenditure on social mission estimated at £400m, excluding the work of schools and religious congregations. The key responsibilities of the Senior Migration Officer are:

1. To provide timely information to the CSAN team and the network on UK Government resettlement programmes and legislation on immigration.

2. To support CSAN’s work to improve public policy and practice on immigration, with compelling evidence from our network, and enabling effective participation in advocacy for a humane system.

3. To work closely with the Catholic Bishops’ Conference of England and Wales on issues of migration and human trafficking.
