As a Programme Co-ordinator, you will be responsible for managing the logistics of a range of different courses and programmes. You will work closely with the Programme Directors, who design and deliver the course and programme content.

You will be skilled at working across a suite of programmes and balancing multiple deadlines. You’ll enjoy taking personal responsibility for your own portfolio and also working with the team of Programme Coordinators to support each other’s work and drive continuous improvement.

Job Summary
The Safeguarding Administrator provides comprehensive administrative support for meetings and safeguarding activities to aid the smooth running of the safeguarding team. To support the Programme Finance Manager in running efficient and effective programme financial accounting, programme financial management and programme financial reporting processes in relation to AKF (UK)’s programmes and grants. To provide support to the full life cycle of grants: from donor concept notes/proposals to final reports. To maintain a close working relationship with AKF (UK) finance and programme teams and relevant staff from across the Aga Khan Development Network (AKDN) agencies and external donors as required.
Programme financial planning, management and reporting
In close consultation with the programmes/partnerships team:
• Support the design and implementation of effective quality controls to ensure compliance with donor requirements and to maintain appropriate donor stewardship, including through manuals, checklists, templates, and other tools
• Monitor spending and activity implementation and ensure regular scheduling of grants management meetings, alerting the Programme Finance Manager and Programmes/Partnerships team about significant under or overspend on a timely basis
• Maintain internal tools that track active grants, cost recoveries and cash balances and ensure they are kept up-to date
• Maintain internal tools tracking pipeline and secured funding (Awards Information Management System -AIMS) and ensure they are kept up-to-date
• Prepare financial information for internal reporting purposes, including (but not limited to) the quarterly CEO report, monthly dashboard and quarterly cash balances (co-finance) report.
Grants management and compliance
• Maintain the grants management tracker so that grants are properly recorded and monitored, ensuring that input from the Programmes/Partnerships team and the Programme Finance Manager are incorporated on a timely basis
• Undertake administrative tasks related to grants, including setting up of grant codes (pipeline and secured), collecting and forwarding information to different units and executing follow up tasks as required
• Review budgets for concepts/proposals, ensuring the inclusion of AKF(UK) costs, make recommendations for improvements and liaise with the programme/partnerships team and field units to ensure these are complete, accurate, consistent with the narrative, compliant with donor requirements, and correctly formatted for presentation to donors
• Support the preparation, review and submission process for donor financial (and narrative as relevant, e.g. ECHO) reports to ensure compliance with donor requirements; ensure reports are produced on time to a high standard and are consistent with the narrative

LST is seeking a detailed-orientated and highly organised professional with a real willingness to support people for the role of Programmes Administrator
This is a crucial role where the postholder will join a small and friendly Registry team supporting Faculty and students across the organisation.
The responsibilities of the post-holder are designed and divided into two main areas: Registry activities and Programmes activities. We are looking for a Giggle Doctor Programme Administrator to join our busy programme team, to support the day-to-day operations of our Giggle Doctor programme for hospitals.

Key Tasks and Responsibilities
Administration
· Act as first point of call for artists regarding their visits to hospitals, overseeing sickness, cover and changes to their schedules
· Support artists with hospital administration and contracts

Accountabilities
There are three main activities within the France team:

The Programme Coordinator will serve as the administrative officer for the team. We are currently recruiting a Programme Assistant and Executive Assistant to manage a portfolio of grants and contribute to the implementation of the IAWP strategy. In addition, this Programme Assistant and Executive Assistant will support London-based Trustees by managing their schedules, arranging travel, and processing discretionary grants. The role of the Programme Assistant and Executive Assistant is essential in maintaining the seamless operations and success of our foundation.
Executive Assistant to London based Trustees (approximately 30%)
- Processing discretionary grants for Trustees by liaising with the organisations identified to receive grants, collecting necessary documentation, and coordinating with Oak grant management team
- Assisting the Trustees with external contacts, including prioritising correspondence and phone inquiries, drafting responses as necessary, and managing workflow emerging from these contacts
