Job Title: Links Project Coordinator

Hamelin exists to reimagine life for individuals with learning disabilities and autism, enabling limitless possibilities. Hamelin is seeking a confident coordinator to support our expanding Links Project. In this diverse role, you'll play a pivotal part in ensuring our individuals meet their goals and create a lasting impact in our communities as well as being the first point of call for new individuals accessing the service.

Links Project: This initiative focuses on enabling adults with learning disabilities to engage in community activities through befriending, mentoring, and peer-led programs, all supported by our dedicated volunteers. As the Project Coordinator, you will support the key administrative tasks that keep this project running smoothly.

The Project Coordinator will support referrals with specific aims and objectives within the project scope – for example traveling to meet a friend, accessing sports, increasing confidence and ensuring isolation is reduced.

In your day-to-day role, you will be striving to build, expand and strengthen the project whilst working closely with the Project Lead ensuring all key performance indicators and any project targets are met. The role is responsible for onboarding individuals into the project as well as completing ongoing assessments and gathering feedback.

This role is crucial in making sure we deliver exceptional service, stay compliant, and run our project efficiently— whilst ensuring our mission, vision and values are not compromised. 

Project Skills:

• Support with the daily operations of the project scope.
•  Adhere to the strategies to grow and enhance the projects, meeting the ever-changing needs of those we support.
• Awareness of resources and volunteer efficiency to ensure we get the best possible outcomes for the individuals we support.

Teamwork:

• Work in partnership with Hamelin’s Volunteer Manager.
• Ensure the project remains a motivated team that aligns with our values and goals.
• Report on the performance of the current project, providing feedback and support to ensure high standards of care and efficiency.

Compliance and Quality Assurance:

• Follow Hamelin’s policies and procedures to maintain best practices and regulatory standards.
• Implement and oversee quality assurance processes, including gathering feedback from project participants and colleagues to keep improving our service delivery.
• Engage with and become involved with continuing self-development.

Stakeholder Engagement:

• Identify, build and maintain strong relationships with project participants, families, local and health authorities’ representatives, and other key stakeholders.
• Represent the Charity and service at meetings, events, and forums, advocating for the needs and rights of those we support.
• Work closely with other teams and services within the Charity to ensure a unified approach to care and support.

Business Development:

• Identify and exploit opportunities for expanding the service, from new partnerships and funding sources both inside and outside health and care to innovative care models.
• Prepare and present feedback and data when required to the project lead.
• Lead marketing and promotion of the service, boosting awareness, interest and attracting new project participants.

 Other Requirements:

• Be ready to work flexibly, which could include weekends and bank holidays. You might also be asked to work in different services as needed.
• Complete all required training, whether through e-learning or in-person courses.
• Adhere to our published policies, procedures, and standards.

 About you

 It’s essential that:

• You have at least two years’ experience within a coordination/administration service for individuals with learning disabilities and/or autism.
• You have a proven track record of successful project administration.
• You hold a valid driver’s license and have access to a vehicle.
• You can work flexibly across locations in Essex to fulfil the requirements of the role.

Project Administrator

We are looking for an experienced Administrator to join the team.

Position: Project Administrator

Location: Huddersfield/ Hybrid

Hours: Part Time – 22 hours per week

Salary: £24,242.40 pro rata

Contract: Temporary until August 2027

The Role

You will be responsible for organising the logistics and administration of delivering projects and contracts  within the project delivery team.  This includes supporting customers on their journey through the Champions programmes, progress logging, financial administration and post-delivery evaluations.

Key duties include:

• Collate, update and maintain data and records
• Provide administrative support for the monitoring of organisational and contractual targets.
• Maintain and manage emails and outlook calendar
• Support the wider team with the co-ordination of the project
• Handle and answer incoming calls and emails about projects and contracts
• Maintaining regular contact with programme settings to ensure ongoing support and progression.
• Support the department in conducting post-delivery evaluations and assessing impact of delivery, reporting feedback to line manager.
• Work with Programme Early Years Advisors to update contact logs and records.

About You

You will have previous experience of general administration in a service / customer focussed environment with experience of team working, data collation, input, recording and processing. You will be comfortable using video conferencing technology and systems for processing payments and ideally have experience of customer care.

The Opportunity

We are expanding our operational team and so we are looking for a Projects Administrative and Events Assistant. This is an entry level post. This hands-on role would suit a responsive, dependable implementer who is willing to step up  when something is needed and determined to see things through, even if problems surface. Responsibilities

Working closely with the Warm Welcome Operations Director and wider team your primary responsibility will be to provide administrative  and event support to our team, taking ownership of specific tasks as required, including;

Administration support:

• Monitoring email inboxes, responding to and fielding enquiries as appropriate

• Taking meeting minutes

• Collecting and entering data for various spreadsheets and documents efficiently

• Maintaining and updating information on our CRM tool

• Ensuring project documents are responsibly and securely stored and updated on the GDrive

• Chairing internal meetings

• Administrating a small grants programme to spaces

Communication support:

• Supporting with communications e.g. storygathering at events or space visits and managing the story/ photo archives

• Creating presentations for meetings and events

• Liaising with stakeholders and funders in a timely manner as required

Event support:

• Organising meetings/events, including booking venues, creating invites, monitoring responses, recording and managing the technical aspects of online events, sending out feedback forms etc.

• Ensuring the smooth running of in person events

Teamworking:

• Supporting the work of the wider Warm Welcome/Good Faith Partnership Team as capacity and need allows

About Woman's Trust

Woman’s Trust was established almost thirty years ago and is the leading specialist in mental health services for women. Led by and for women, it aims to ensure that women affected by domestic abuse can live a safe and healthy life, free from further harm. As a Counselling Project Administrator, you will be responsible for the smooth and efficient project administration of Woman’s Trust Counselling services.

Role Overview

Reporting to the Senior Technology Advisor, the Salesforce Administrator will play a crucial role in the successful implementation, development and ongoing support of the new Salesforce system and structure across our network.

Key Responsibilities

• Administer and configure Salesforce, including workflows, Flows, fields, page layouts, record types, dashboards, and reports.

We are seeking an enthusiastic and detail-oriented Project Officer to support the delivery and evaluation of our mental health services in schools, as well as our nursery and family centre. Duties and Responsibilities

Service Analysis and Quality Assurance

• Support the collection and analysis of accurate, timely and high-quality data on our services via Salesforce CRM (training provided, with the opportunity to become a qualified Salesforce Administrator).
• Assist Service Managers in delivering mental health training for school staff and parents/carers, including managing bookings, invites, attendance lists, and queries.
• Coordinate, monitor and support the evaluation of whole school services, including training and wellbeing interventions.
• Maintain effective and up-to-date digital filing systems.
• Build strong relationships with colleagues and external contacts, developing a deep understanding of our services and their impact on children’s lives.

Family Liaison and Support

• Undertake office and reception duties from 4pm – 6.30pm, including liaising with parents, answering calls, and welcoming visitors.
• Support the recruitment and onboarding of new families to our nursery and family centre, including reviewing statutory childcare funding options.
• Help develop a programme of workshops for parents/carers, assessing needs and tailoring support.
• Assist in the delivery, evaluation and monitoring of mental health and wellbeing services for families using the nursery.
• Collaborate with the Centre Coordinator to plan and deliver family activities, including day trips to safari parks and the seaside.

Carers Manchester is a partnership of Statutory and Voluntary Sector organisations who work together the plan, enhance and deliver advice and support services for unwaged carers in the city. Following the recent award of an extension to our current contract we are looking for an administrator to support us in managing a number of workstreams which will enhance the provision of services for unpaid carers in the city.

Main Duties and Responsibilities

The Company seeks an experienced Project Manager to work with our Founder Fiona Laird to manage the Regeneration Theatre Company through its next stages of fundraising and delivery.

This is a newly created part-time, fixed term freelance contract for an experienced, motivated and committed manager.

Key responsibilities

1. Outreach Offer:  To build and develop our Outreach Offer with engaged key delivery partners; to pursue new outreach partner possibilities; and to manage the development of the outreach offer and delivery methods with the Outreach Lead, Principal Actor, and Artistic Director.

2. Fundraising:  To raise funds in conjunction with the Director and freelance Fundraiser, and in particular manage the P/T freelance Fundraiser in planning and delivering donor approaches and fundraising events; any grant applications and other funding opportunities.

3. Donor Network: To maintain positive and appropriately timed communications with current - and incoming -donors and supporters to ensure they remain committed, and develop them as ambassadors for the project.

4. PR and Communications:  To ensure high quality social media and website comms around the project and its activities.

The Role

Working with the Project Delivery Team, you will be responsible for the day-to-day co-ordination of the Champions programmes in line with the Organisation’s quality processes. You will have strong communication skills to support project execution while playing a key role in telephone-based promotional activities.  You will be responsible for the recruitment and tracking of participants, ongoing monitoring and achievement of objectives set by the Project Officer in line with project objectives to ensure all contractual obligations are delivered successfully. 

Main duties include:

• Assist in the planning, execution, and monitoring of projects and all associated administration
• Coordinate internal meetings and virtual events
• Conduct outbound calls to prospective nursery settings, participants or partners as part of recruitment activities
• Recruit nursery settings to programmes via email, telephone calls etc.
• Support marketing and sales efforts by gathering feedback and identifying potential leads
• Assist in campaign execution, including scheduling calls and reporting outcomes
• Prepare and dispatch project/contract materials and documents, ensuring customers receive materials within allocated timescales

About You

You will have strong communication skills to support project execution while playing a key role in telephone-based promotional activities. 

Successful candidates will have experience of:

• Project co-ordination, administration or similar role
• Development and monitoring of project processes and systems using online technology
• Maintaining relationships with contract participants
• Dealing with and maintaining relationships with external delivery partners
• Conducting professional telephone calls

With knowledge of:

• Data management
• Comfortable using video conferencing technology
• Processes and best practice of contact initiation to successful completion

The role:

Project Administration

• Provide administrative support for specialty projects, ensuring key deadlines and milestones are tracked.
• Assist with project documentation, including maintaining records, updating trackers, and organising files.
• Schedule project meetings, prepare agendas, and take minutes, ensuring follow-up actions are recorded and monitored.
• Support project reporting by collating data and preparing summaries for stakeholders.
• Liaise with internal teams and external partners to coordinate project activities.

Administration of examination database and systems

• Maintain digital question banks in line with policy and procedures
• Process examination candidate applications
• Process examination candidate requests and complaints/appeals
• Proof-read examination materials

General administration

• Manage the specialty team mailbox and act as first point of contact for queries
• Maintain up to date records on Customer Relationship management system (CRM) and ePortfolio, ensuring accurate and accessible information
• Provide administrative support for Specialty Training Board and its sub-committees, including managing meeting attendance, circulating papers, taking minutes and tracking actions.
• Maintain accurate version control of documents by systematically updating and tracking revisions, ensuring proper documentation of changes and adherence to version control protocols
• Assist in organising online and in-person events, workshops, and training as needed
• Assist with diary management and scheduling of meetings for team members.
• Maintain assets and resources on Training Hub and website
• Provide ad hoc administrative support throughout the year, across the portfolio

We are looking for an administrator to join our Age Well Together Service to support the Home Together Coordinator to facilitate our Home Together Project.

The Age Well Together service offers a range of assistance to support clients at home and in their local community to prevent decline; maintain independence; reduce social isolation; and promote health and wellbeing with care, friendship and understanding. The Home Together Service will provide both reactive assistance for up to six weeks from a clients return from hospital and remote ongoing support thereafter.

The purpose of this role is to assist the Home Together Service Coordinator to deliver an outstanding range of practical and emotional support to people who are having difficulties, this may be because they have recently been discharged from hospital and/or recovering from illness or injury, and/or are socially isolated and need support to stay healthy, connected, and independent.  This busy and varied role will involve working with the service volunteers, the staff team, voluntary partners, and health and social care providers, with the client at the centre of everything we do.
