The Finance Manager will be providing bespoke financial management capacity-building support, ensuring compliance with statutory/funder requirements, and supporting operational/strategic management and planning resources. The role holder is also expected to support HQ Finance function.

This is an exciting opportunity to join our financial hub, you will be supporting the CFO, Deputy Director of Finance and our senior leadership team to set up the Financial Centre of Excellence dedicated to supporting Black and racially Minoritised community groups.

Key Duties and Responsibilities

A. Support the CFO and Deputy Director of Finance and senior leadership team to set up the Financial Centre of Excellence dedicated to supporting Black and racially Minoritised community groups.

B. Provide bespoke financial management capacity-building support to Black and racialized organisations in 8 London boroughs, including supporting groups to:

1. Conducting financial health checks and developing and implementing action plans.

2. Provide training, and guidance to groups supported on ensuring compliance with statutory and regulatory and funder requirements governing the sector, employer responsibilities training, and governance.

3. Support the development and implementation of financial strategies operational/strategic management and planning resources.

4. Provide training and guidance on risk identification and mitigation and annual reports and accounts.

5. Support the delivery of webinars/masterclasses to participants

6. Support developing effective online learning tools and platforms to cascade learning.

7. Support the delivery of a proactive finance service ‘Critical Friend’ providing financial advice, support, scrutiny, and challenge to the organisations.

8. Support groups to plan resources, assess the implications of service proposals, and provide financial modelling and analysis of service options for projects and initiatives.

9. Contribute to the provision of financial support across the Ubele hubs, in forecasting both in-year and future-year income and expenditure, ensuring these are accurate, appropriate, and supported  through activity and performance analysis.

10. Support the Deputy Finance Director as required on a range of financial and management accounting, budgetary, reconciliation, reporting, and payment tasks where relevant, for the designated  service area.

11.Support the Ubele senior leadership team and staff in the development and updating of the project organisational and annual budget to ensure that it supports the outcomes set out in our strategic plan.

We are an agile social enterprise looking for a qualified Finance Manager to manage and operate our existing finance function. Working flexibly from home, you will perform a core role in our small, friendly virtual team helping to maintain financial stability and control as we focus on our mission to deliver successful projects across a range of settings globally. Sibling Arts C.I.C. co-creates multi-arts projects with queer, trans, sex worker & migrant communities. Looking for a Finance & Administration Officer (FAO to lead on our financial and administrative needs, and grow with us as we do more ambitious projects with social impact at their core.

Our current projects:

• Delivering trans/non-binary hxstory via storytelling to young people KS3 & teacher training

• Organising an Arts Action Fair connecting grassroots artists, frontline campaigns, NGOs, demonstrating how community ownership makes better art

• Building on the success of our beloved musical theatre production Sex Worker's Opera to create a full-length feature film, branching into new artistic territory with new communities.

We are looking for a skilled, dynamic and conscientious individual to lead on our financial and administrative needs, and work with us to grow our organisation.

You will be one of four core staff roles in the organisation. After the first year there may be space for role to develop and expand.

You will lead on financial management, working closely with Directors to develop and execute a comprehensive financial strategy.

The role will also feature core administrative tasks, ensuring the smooth running of the organisation across contracting, insurance, monitoring equipment/assets and saving costs.

We are looking for someone excited to be part of an ambitious over-achieving, under-recognised young organisation in the arts.

Contract: Minimum 9 months, starting July 15th, with view to become permanent

Hours: Part time 2 days per week

Salary: £135 per day, £1,170/mo at £35k pro rata

Location: Stamford Hill office 1 day a week, remote other

Roles and responsibilities include, but are not limited to:

Financial Strategy and Management

• Co-creating and monitoring budgets, org-wide and for projects

• Monitoring multiple income streams inc. sales, grants, investments

• Co-designing core/project accounting ledgers to facilitate reporting and monitor metrics

• Streamlining and automating systems, training staff in how to use them

• Support the process of becoming a C.I.O. and adapting finance and reporting systems for new level of requirements

• Managing cashflow and reserves to manage risk.

Reporting

• Reporting to HMRC, Companies House and the Charity Commission

• Liaising with our accountant to get the best systems in place for ease and accuracy of reporting and accounting

• Reporting to multiple funders with different priorities and expense restrictions

• Creating an automated financial reporting system that tracks costs across core, projects, and different funding streams for each

• Overseeing compliance with HMRC including VAT, PAYE and accessing tax benefits such as Theatre Tax Relief (TTR) alongside our accountant.

Administration

• Compiling and digitising receipts and invoices

• Setting up staff and project producer expense accounts where necessary

• Liaising with banking and ensuring staff access to online and card payment

• Creating and using new reference administrative reference systems and filing systems.

Human Resources

• Communicating with our community members, artists and staff about invoicing requirements and payment details, mindful of individuals’ complex needs

• Overseeing setup and budgeting of employment benefits, bonuses, commission, freelance contracts and how to integrate these

• Overseeing creation of a platform for communicating financials transparently to our community of marginalised artists (longer term)

Funding Support

• Note: this is a support role as one of the Artistic Directors will spearhead new funding applications, you will not be applying independently

• Researching and identifying new funding streams, archiving applications, making templates

• Seeking advice from current funders and NGO partners about where to apply

• Tracking funding applications, reporting deadlines, meeting financial requirements

• Following-up on investors, scheduling regular communications with Artistic Directors.
   

Essential skills and requirements

• Proficiency with Mac and Windows 

• Right to work in the UK

• Three years’ experience in a similar role, ideally in the charity, arts, or activism sector

• Strong ICT skills including relevant accounting/reporting software and G-Suite

• An excellent eye for detail and consistency

• Experience of payroll processes

• Experience of reporting to funders and HMRC

• Autonomy and ability to work effectively under own initiative

• Strong verbal communications skills, able to convey financial information to a non-financial audience

Desirable Skills, Knowledge and Experience

• Proficiency with Discord/Slack/Teams/online working systems

• Knowledge of modern accounting platforms such as Xero, Quickbooks and also systems and potential apps for managing staff expenses

• Understanding and/or experience of marginalised communities

• Ability to work well within a team and manage others effectively

• Enthusiasm, flexibility and proactive approach

• Experience working with fast-moving, young start-up arts organisations

• UK/EU driving license for potential project-based work

Finance and operations manager – Job Description 

We are seeking a thoughtful, compassionate, and experienced finance and operations manager.  This is a new role in an expanding team that will contribute to the senior leadership of the organisation and be responsible for overseeing day-to-day operations of the charity, with a focus on financial management.  
Our new Finance and Operations Manager will work closely with the CEO to set and manage the organisation’s strategic plan, drive strategic initiatives, manage resources, and foster a positive and reflective workplace culture. 

Key Responsibilities 

1. Leadership and Team Management  

• Embody the values of The Magpie Project and support the CEO to maintain the core vision and principles of the organisation in all its activities. 

• Support the CEO in overseeing the day-to-day activities of the charity, including deputising for her when appropriate. 

• Cultivate strong relationships with stakeholders (donors, community partners, other non-profit organisations), and identify opportunities for collaboration and partnership to enhance the organisation’s impact and reach. 

• Represent The Magpie Project externally where appropriate. 

• Foster a positive and reflective workplace culture that values diversity, inclusion, and continuous improvement. 

• Implement best practices and internal systems to ensure efficiency and effectiveness. 

• Line-manage three staff members – Kitchen Manager, Donations Manager, and Fundraising Manager – in accordance with existing support and supervision structure. 

1. Financial Management 

• Oversee day-to-day financial operations, including all incoming and outgoing payments and invoices, and maintain accurate records in line with financial best practise. 

• Develop and manage the annual budget and produce management accounts to provide regular reports to the CEO and board of trustees throughout the year. 

• Prepare accurate and timely financial reports for donors. 

• Coordinate annual financial audits and ensure timely submission of annual accounts to the Charity Commission. 

• Maintain financial policies and procedures to ensure internal controls are compliant with relevant accounting standards, regulations, and reporting requirements. 

• Monitor and manage cash flow to ensure sufficient funds are available for day-to-day operations and strategic initiatives, identifying and mitigating potential risks. 

• Liaise with off-site payroll provider and make monthly payroll payments. 

• Oversee management of petty cash, including ensuring there is sufficient petty cash to cover travel money and emergency grants expenses at sessions.

• Develop and oversee processes for the distribution of emergency hardship grants, in line with donor expectations and best practice in record keeping. 

1. Operational Management 

• Support the CEO in the strategic direction and operational management of the charity, including planning, service design, programme management, HR, and workforce development. 

• Develop and maintain relevant internal policies. 

• Lead on risk management within the organisation, identifying potential risks and developing strategies to mitigate them.

• Maintain relationships with external suppliers including DBS service providers, insurers, telephone and internet, banking, and software technicians. 

Person Specification 

• Experience in a senior finance role in a charity, including budgeting, forecasting, and day-to-day financial management. 

• Specific knowledge of charity regulation and financial compliance with the charity commission and other regulators. 

• High level of interpersonal and emotional intelligence to enable a trauma informed, reflective and calm working environment. 

• Experience overseeing or supporting internal operations, including line-management, preferably within a charity. 

• Experience of strategic planning, with the ability to think critically and creatively. 

• Willingness to engage in co-production and co-design to include those with lived experience in all levels of planning, service design and governance, a bonus. 

• Ability to build positive relationships with external stakeholders at every level. 

• Commitment to The Magpie Project’s mission and values, with a passion for working in non-profit organisations to create positive social impact. 

Skills
