The Opportunity

This role offers an exciting opportunity for an organised and proactive individual to contribute to high-profile events such as the prestigious Whitley Awards Ceremony, conservation summits and fundraising receptions, while also supporting office management, operational and administrative functions at the charity’s London office.

EVENT SUPPORT

Whitley Awards Ceremony

The Whitley Awards are the result of an international search to find, fund, train and put a spotlight on outstanding grassroots leaders and their conservation projects. Finalists are invited to London for a week of training and events, culminating with the Whitley Awards Ceremony, where winners receive their Awards from WFN Patron, HRH The Princess Royal in front of 400 guests and many more tuning in via our livestream.

The Events and Office Assistant (EOA) will assist in the planning and delivery of the annual Whitley Awards Week, including the Ceremony, Friends Reception, NGO Reception, and related activities, particularly in the following areas:

• Arrange team and visitor travel, accommodation, and hospitality logistics
• Manage event guest lists and RSVPs using Salesforce and other platforms; help coordinate mail-outs and e-invitations
• Provide on-the-day event support including set-up, guest registration, and general assistance
• Support event logistics such as venue liaison, catering, AV, décor, merchandise, and materials, assisting with supplier coordination
• Champion WFN’s Event Code of Conduct.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme, and major initiatives such as Royal dinners, Galas and Biodiversity Summits which will require the EOA’s assistance.

• Manage ticketing and Q&A platforms and associated activities
• Coordinate volunteer involvement where required
• Support the organisation and logistics of fundraising and engagement events, including acting as venue liaison, arranging catering, managing guest lists, etc
• Assist with production of event materials as needed (signage, name badges, merchandise).

 OFFICE ADMINISTRATION AND OPERATIONS

Smooth running of the WFN office and systems is vital for the charity to work effectively, with this role helping to support the team. The WFN office is a busy and welcoming environment, with regular visits by winners and supporters.

Office Management

• Ensure the office is a welcoming, tidy, and well-functioning space
• Greet visitors and manage incoming calls, emails, and enquiries
• Liaise with team and suppliers to order office materials and manage contracts (utilities, cleaning, stationery, refreshments, merchandise etc.)
• Manage post, deliveries, and waste removal procedures
• Oversee and liaise with the office cleaners to ensure they have the products they need and are paid in a timely manner.

Administrative Support

• Assist with diary management and scheduling meetings (in person and online)
• Arrange team and visitor travel, accommodation, and hospitality logistics
• Draft routine correspondence, thank-you letters, and other administrative communications
• Review and respond to general email enquiries (info inbox)
• Support the Head of Finance with basic administrative and data entry tasks
• Help maintain and update WFN’s CRM database (currently Salesforce) with contacts, donors, suppliers, event attendees
• Support the team with data entry, filing, record keeping, and maintaining digital and physical systems.

GENERAL DUTIES

Operations & Finance Manager

STOP THE TRAFFIK prevents vulnerable communities from being recruited, trafficked, and exploited. Our targeted prevention efforts disrupt the criminal business of human trafficking, making it too high-risk and low-profit to be viable.

This role will sit within the Development Team to support the smooth and efficient operation of the charity. This role will assist in managing financial processes and lead on key people operations to maintain a transparent, inclusive, and positive working environment.

This position is ideal for someone seeking part-time work who holds previous experience working in a finance team, but is seeking a more diverse role that also includes opportunity to enhance operating systems, policies, and practices of the organisation for smooth running.

Finance Operations

· Oversee the Operations Officer to reconcile transactions, issue invoices, process payments, and file quarterly Gift Aid claims ensuring accuracy.

· Prepare regular budgets, cash flows, and clear financial reporting for the Senior Leadership Team to support data-driven decision-making.

· Manage STOP THE TRAFFIK’s bank accounts, ensuring the safe handling and ethical investment of reserves.

· Produce quarterly financial papers for the Board of Trustees and lead on the annual audit process, preparing all necessary documentation for external auditors.

· Liaise with the Oasis Finance Department who support STOP THE TRAFFIK to ensure smooth coordination of accounting processes and compliance with organisational standards.

People Operations

· Review organisational policies annually, ensuring they reflect current legislation and best practice, with support from the Operations Officer.

· Serve as the organisation’s Data Protection Officer (with access to pro-bono legal and data protection advisors).

· Oversee recruitment processes, supporting hiring managers to ensure equitable, transparent, and inclusive hiring practices.

· Coordinate quarterly team surveys, analyse feedback, and make recommendations to strengthen workplace culture and wellbeing.

· Maintain our network of pro-bono legal advisors and support staff in accessing timely advice on contracts or compliance matters.

· Manage the internal legal sign-off process and maintain clear records and documentation.

Note, this role will be supported by our parent company’s financial team who will continue to manage payroll, HR records, and sign-off all accounts.

About the role

Reporting in to the Strategy & Performance Lead, the Business Planning & Performance Specialist will co-lead the corporate planning and reporting cycle, cascading the global strategy into annual corporate plans and OKRs, while fostering a culture of continuous learning and improvement.

About the role

The Impact and Learning Consultant will play a central role in advancing how the Vitol Foundation understands, measures and deepens its impact. They will build on existing frameworks, tools and processes developed by our Head of Impact, Learning and Strategy who is due to go on maternity leave, as well as bring their own expertise to further strengthen our approach to impact and learning, embedding it into our day-to-day decisions. As our lead expert in this area, the Consultant will ensure that our strategy and grantmaking are guided by emerging data and evidence, and support continuous learning across all our work.

The ideal candidate will have deep expertise in the field of measurement and evaluation, combining strategic leadership experience with strong hands-on technical skills to support Foundation colleagues and nonprofit partners. They will have experience with a wide range of quantitative and qualitative research methods and working in global settings, especially to support local partners operating in low-resource and/or emergency environments. This role requires someone with excellent communication skills, translating complex findings into clear, actionable insights tailored to different audiences, including Vitol Foundation colleagues, our board and non-technical external stakeholders.

Above all, the candidate must demonstrate a strong commitment to the vision, mission and values of the Vitol Foundation and improving people’s lives. They will report directly to our CEO and be part of a small but enthusiastic team of people committed to making a difference. Key responsibilities

Impact measurement and reporting

• Continue rollout of the foundation‑level impact framework across our grant portfolio, making ongoing adjustments and clarifications as it’s being road-tested with a growing number of grantees.
• Design and refine grant‑level impact measures. Develop impact indicators for new grants and review existing ones, working closely with programme managers and partners to ensure alignment with project goals, partner capacity and the foundation‑level impact framework.
• Review and strengthen data quality of incoming partner reports to ensure that progress is meaningfully captured through quantitative and qualitative indicators. Check for clarity, completeness, consistency and data quality, and provide feedback or make revisions as needed.
• Support uptake and adjustments to our impact dashboards in Salesforce to ensure clarity and usefulness for Foundation colleagues. Work with the Operations Manager and external developers to implement changes where needed.

Learning and strategy implementation

• Regularly synthesise and share lessons learned from across our grant portfolio as well as from the wider international development sector. Highlight emerging data, evidence and findings, and their implications for the Foundation’s strategy and grants.
• Conduct rapid evidence reviews to inform sector‑level strategies and individual grants as they are developed or revised. Work closely with programme leads and partners to ensure emerging evidence is reflected in design and implementation, and to identify ways to build credible evidence to strengthen the impact of our grants.
• Serve as a technical expert for externally-led evaluations of our grants, including reviewing research protocols, data collection tools, analysis plans, and consent and safeguarding processes. Note: evaluations will be commissioned by external parties, this role will not manage evaluation contracts or teams.

Internal and external communications

• Draw out insights from impact data, other programme documents and external sources to inform management and board reporting, including regular tracking of portfolio‑level outcomes, key trends and lessons learned.
• Work with the Head of Communications to draft content for internal and external audiences, using relevant data and statistics and creating compelling visualisations that reinforce key messages.
   

Qualifications

Essential

• Educational background: Advanced degree in a relevant field (for example, public policy, global development, business administration).
• Professional experience: 10+ years of progressive experience in impact measurement, strategic learning, or programme evaluation in philanthropy, non-profits or social impact sectors.
• Analytical rigour and insight: Demonstrated ability to synthesise complex data and strategic insights; proven record of shaping high-level organisational strategies.
• Facilitation and communication: Strong skills in facilitating discussions, presenting insights to senior leadership, and translating complex data into accessible, strategic information.
• Project management and adaptability: Track record of managing complex research and evaluation projects with multiple stakeholders; able to balance strategic oversight with hands-on problem solving.
• Must have the legal right to work in the UK.

Desirable

• Familiarity with using Salesforce as a grant management system.
• Experience working or living in one or more of our priority countries: Afghanistan, Bangladesh, Burkina Faso, Democratic Republic of Congo, Ethiopia, Guatemala, Haiti, Madagascar, Malawi, Mozambique, Myanmar, Pakistan, Senegal, Sudan, Syria and Tanzania.

Job purpose

To coordinate and support the delivery of marketing, events, and outreach activity across Toynbee Hall’s Advice Services, with a particular focus on the Debt Free Advice partnership. About Us

The Children’s Trust is the UK’s leading charity for children with acquired brain injury, providing expert rehabilitation, education, therapy, and care at our national specialist centre in Tadworth, and to children and their families across the UK, via our Brain Injury Community Service.

Boasting a beautiful 24-acre site in Surrey, we are located just outside of London, close to the M25 (accessible via Junction 8, A217 to Tadworth) and easily accessible via National Rail, by way of: Clapham Junction, Sutton, and Epsom.

Rehabilitation of Offenders

Many roles at The Children’s Trust are exempt from the provisions of Section 4 (2) of the Rehabilitation of Offenders Act 1974, by virtue of the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (as amended in 2013 and 2020) and as such, are subject to an Enhanced DBS check.  Successful applicants will be required to complete an Enhanced Disclosure & Barring Service (DBS) check, which will disclose all unspent convictions and adult cautions and any spent convictions or adult cautions that would not be protected.  The exceptions to this are our retail roles within The Children’s Trust shops, which are subject to Basic DBS checks which will disclose unspent convictions or adult cautions.

Online Searches

In accordance with statutory safeguarding and child protection guidance, online searches will be conducted for shortlisted candidates before interview. The online searches will be conducted by a person who is independent of the interview and selection process and will focus on relevant information returned via searches of the candidate’s name (and variations thereof). Any concerns relating to suitability for work with children and young people will be forwarded to the interview panel, for discussion during the interview.
