About the job

Over the past decade Pembroke House’s activities in Walworth have grown considerably, with annual turnover rising from £200k to £1 million. Further growth is expected as a result of a new strategy anchored around five 10-year commitments to the neighbourhood, consolidation of our activities across two community buildings and continuing to build wide-ranging partnerships in Walworth.

We are looking for an experienced and skilled financial professional who can steward us through this crucial period of development.  You will be someone who combines a passion for our mission, a keen eye for detail and a flair for interpreting financial information and supporting non-specialists to make sound financial decisions. 

Days will be varied spanning everything from helping budget holders report to funders; preparing accurate financial reports and management accounts; to creating the budgets and frameworks for long-term financial planning. The rest of the core finance team comprises a Bookkeeper and a pro bono Payroll Officer based in Pembroke College, Cambridge. Other members of the team manage petty cash, look after the room hire business (including invoicing and credit control) and administer pensions. 

The trustee’s Finance and Risk Subcommittee formed two years ago and a new trustee position of Treasurer is currently being recruited. The Finance Manager will service and attend the subcommittee’s quarterly meetings and be the main contact point with the Treasurer between meetings.

As a new role there will be plenty of opportunity to mould finance operations across the organisation. Finance systems are currently in place, and have satisfied the auditor over the past few years, but there remains scope for improvement, including through automation and upskilling of the wider team.

Key duties and responsibilities

• Foster a culture of financial responsibility, in conjunction with the Leadership Team.

About the Role

Accounting (40%)

 About The Felix Project 

The Felix Project is London’s largest food redistribution charity.
 Our vision is a London where good food is never wasted, and no one goes hungry. We aim to reduce the negative
 impact food waste has on the environment by working with the food industry to rescue high quality surplus produce, that
 would otherwise have gone to waste. This food is sorted at one of our four depots or turned into meals in Felix’s Kitchen. It is then distributed to over 1,200 community organisations, such as food banks, homeless shelters and primary schools, all of whom are working within communities across London to feed
 people experiencing hunger.

Purpose of the Job

To be the driving force and manager of this new operation, Felix Bakes, designed to help us rescue more surplus food and turn it into high value baked goods. The baked goods will be provided to our brand-new West London Depot, based on the same trading estate and then delivered to some of the 1,200 Community Organisations we support across London.

Focused on seasonal produce gluts such as carrots, courgettes, potatoes you will be able to demonstrate your creative flair helping to ensure this produce does not go to waste and adds excitement to the regular food orders prepared for our community organisations to offer to people in need across London.

As a brand-new operation you will get the opportunity to put your stamp on it and shape its development. 

You will be supported by the wider Felix Production teams in Felix’s Kitchen and Felix Food Factory. The Factory will also process and/or freeze seasonal produce to create easier to use ingredients for you. 

As manager you will have overall responsibility for the day to day running. It is a hands-on role with most of the working day spent in the kitchen and running the bakery unit. At the beginning of the operation, you will be the only permanent employee there, but this team will expand to add an additional junior baker once fully operational.  On the same estate you will also have support from our West London depot team. As a volunteer lead organisation, you will have volunteers working alongside you to support the operation.
We are launching this operation in partnership with Deliveroo, who have gifted us the use of this space. The Felix Bakes Kitchen is a unit within a wider “dark” kitchen site. 

Duties and Accountabilities

• Be the lead manager of this new operation

About the role

We are looking for a self-driven, highly motivated team player to join our HR department. Reporting to the Director of Human Resources, this postholder will work closely with the two HR People Partners. The post holder will lead and manage all formal employee relations cases whether it be disciplinaries, grievances or complaints. They will also Project manage and deliver on HR projects including the development of new initiatives and HR policy updates.

Responsibilities

• To lead and manage employee relations activity across the charity by working closely with the key stakeholders.
• To provide guidance and advise senior managers in line with MSSC policies, employment legislation and ACAS Code of Practice regarding complex HR situations.
• To lead and take notes at all MSSC disciplinaries, grievances and formal complaints to support the process. These could include conduct, performance management/capability, absence management. grievances, bullying and harassment, discrimination, whistleblowing etc. 
• Ensure appropriate documentation of cases including file notes, correspondence, accurate meeting minutes etc, ensuring their employee file is kept up to date and organised.
• To provide support to the HR People Partners on broader ER issues, if necessary, such as absence management/OH referrals, performance management/PIPs.
• To support and assist the Director of HR and the team on a range of HR projects and initiatives.
• To develop, review and implement HR policies, procedures and guidance documents, ensuring legal compliance and best practice.
• Manage the appraisal process including launch communications, monitoring completions and reviewing forms for any ER issues and logging training needs.
• Lead the annual staff survey launch and collation and analysis of data.
• To cover for the Director of HR and other team members as required.

This will involve identifying and engaging partners in geographical ‘cold spots’ for the network (utilising our mapping tool developed with UCL), as well as forming partnerships to unlock new or under-represented types of Warm Welcome Spaces (e.g. Housing Association Community Spaces, cinemas, community spaces created by new housing developments etc).

● Leading the development of our Local Co-ordinators Cluster which brings together Local Authorities and others who are leading place-based networks of community spaces.

● Overseeing and developing the Champions Programme, providing more intensive support and connections to a smaller cohort of Warm Welcome Spaces.

Engagement and Inclusion

● Developing our Inclusion Strategy to identify and engage the best potential partners to diversify our Coalition and support local Spaces to become more accessible and inclusive.

● Working with the team to develop regular engagement activities for Warm Welcome Partners.

● Producing compelling communications (written and verbal) to promote the work of the Warm Welcome Campaign and grow the depth and breadth of partnerships - to include but not limited to partnership proposals, pitches and reports.

Good Practices, Standards and Systems

● Supporting, maintaining and developing existing partnerships and manage the systems (including CRM use) needed for excellent partnerships delivery, stewardship and development.

● Leading Warm Welcome Space good practice and driving up quality standards across the network, including through developing a Warm Welcome Awards programme.

As the Adult Carers Activities Coordinator, you will directly deliver our leisure break activity and training programmes. You will plan, deliver, promote and review a programme of activities for adult carers, including outreach activities and leisure events, as well as group work to help enhance carers’ health and wellbeing.
