As our Medical Operations Officer, you’ll play a key role in ensuring our operations run efficiently and strategically enabling our medical teams to deliver maximum impact in cardiovascular science and patient care.

You’ll plan and coordinate high-level meetings, manage logistics, and work closely with the Portfolio Manager to support strategic planning and performance reporting. Your work will directly contribute to the success of our research and health programmes, helping us save and improve lives.

Key responsibilities

• Operational Delivery: Lead the coordination of key meetings with internal and external stakeholders and our biannual directorate all staff meeting with 100+ attendees.
• Meeting & Activity Coordination: Manage logistics for internal and external meetings—diary coordination, venue booking, travel arrangements while supporting with the preparation of agendas, capturing minutes, and tracking actions.
• Planning & Performance Insight: Work with the Portfolio Manager to gather and analyse data that informs strategic planning and performance tracking. Help develop planning materials and monitor progress.
• Cross-Directorate Collaboration: Work with colleagues across Research, Health, and other Directorates to support the successful delivery of BHF’s strategy.
• Operational Excellence: Maintain accurate organisational charts, distribution lists, and communication channels. Support onboarding of new staters by managing clear, informative resources.

This is a high-impact role where your operational delivery will help align planning, performance, and ensuring the right decisions are made and implemented effectively.

About you

You’ll be confident, highly organised with a strong background in administration, project coordination, and operational delivery. You'll also be used to working at pace, managing competing priorities, and keeping things on track with precision and calm.

With experience coordinating meetings and events, managing complex diaries, and supporting senior leaders—ideally at Director level, you'll be adept at handling sensitive information and skilled in supporting the preparation of agendas and meeting notes with input from both internal and external stakeholders.

Digitally fluent, you’ll be confident using Microsoft Word, Excel, and PowerPoint to produce high-quality documents reports, and presentations. With a sharp analytical mindset and keen attention to detail, you'll also have experience of interpreting data and translating it into clear, insightful reports that resonate with both technical and non-technical audiences.

A natural collaborator and excellent relationship builder, able to influence effectively and align stakeholders around shared goals, you'll bring strong organisational skills and a proactive, solution-oriented approach.

Ideally, you’ll also bring knowledge of the UK medical research charity, health, or academic sector—and a genuine interest in the British Heart Foundation’s mission and values.

Working arrangements

This is initially a 14-month fixed term contract with the potential to be extended for longer. 

This is a hybrid role, where your work will be split between your home and at least one day per week, on average, in our London Office. This may vary from time to time, so you will need to work in a flexible way to unlock your best work for our cause.

Typical Accountabilities of position:

· Maintain a forward-looking calendar of Board, Board Committees and Senior Leadership Team meetings and agenda items and set up the meetings.

· Support line manager to prepare agendas, co-ordinate timely pre-read papers, write minutes, and track agreed actions.

· Maintain consistent Terms of Reference across all Board Committees.

· Provide administrative support to the line manager and Board with recruitment, induction, performance management and succession planning for the Board and Board committees.

· Manage and maintain Trustee documentation to ensure that information is transparent, up to date and readily accessible.

· Provide administrative support to the line manager and Board Chair with a periodic review of the Board, its value and behaviours, practice and operations.

Compliance:

· Ensure compliance with requirements and guidelines of Charity Commission, Companies House and other regulatory bodies.

· Coordinate the narrative, design and approval of the Annual Report and Accounts.

· Ensure appropriate governance information reflected in external communications.

· Ensure full and accurate reporting provided to grant funders.

Governance and risk management

· Support governance within the functions, and ensuring appropriate guidance and advice provided from those functions to the wider team.

· Manage and maintain risk registers across the departments.

Approach

The Opportunity

The Director role is a new opportunity working across ImpactEd Evaluation. Our partnerships encompass education organisations such as charities, edtech organisations and government, and schools and multi-academy Trusts. As a Director, you will be a senior leader of the evaluation practice and a statutory director on our Practice Board. About the Role

As our Policy Advisor –Research and Data Monitoring you will support the highest standards of research development, analysis and communication of data relating to the water, sanitation, and hygiene (WASH) sector. 

In this role, you will lead high-level analysis and quality assurance of WASH data use as well as management research resources, include the Research and Evidence Bank, the Research Tracker and the Statistics Bank.

You’ll also: 

• Contribute to the design and commissioning of research projects to support advocacy, campaigns, media communications
• Oversea and manage small research projects – facilitating the sharing of research outputs and learnings within GPAC and across the organisation
• Work closely with GPAC colleagues and other WaterAid UK departments and ensure that information on commissioned research projects and learnings are shared widely across the WaterAid Federation (Australia, Canada, India, Japan, Sweden, UK, and USA)
• Play an active role in the research team, support colleagues and provide feedback as required and support any other relevant processes within the remit of the Policy team and GPAC in general

Requirements

To be successful, you’ll need: 

• Excellent numerical skills and understanding of data and statistics, including an ability to seek the latest data from regular sources and to access new sources of data relevant to WaterAid’s work
• Strong analytical, research and writing skills (English language)
• An entrepreneurial approach to supporting influencing work, including the ability to take the initiative and rapidly adapt work plans to seize new and unforeseen opportunities.

Our principal activity is the prevention of food poverty and food insecurity by offering culturally appropriate food, fresh fruits, and vegetables as well as dietary and religiously appropriate food which we have continued to run at our five-week sessions to local people for as long as they address the underlying cause.

The Service Officer will play a crucial role in supporting the mission of our charity by providing comprehensive assistance and advocacy services to individuals and families in need. The Service Officer will work collaboratively with staff and volunteers to deliver Food Bank services, Activity Camps, and Afterschool club, advice and advocacy support, clothing assistance, cooking programs, and Social Supermarket Operations, as well as support initiatives for the elderly, individuals experiencing poverty and isolation, and families with children.

The post holder must be an enthusiastic and motivated person to coordinate and manage our Food Banks, Community Café, and Social Supermarket, including the supervision of its volunteers/staff, as well as planning, organising, and implementing supermarket collection.

About the Role / Key Responsibilities 

Programme Planning, Delivery and Implementation

•  To design and deliver the  Activity Camps and After School Club  Programme calendar, curriculum, and events that are outcomes-focused, educational, and engaging, and enable young people to develop a range of skills appropriate to their needs.

• Working with Children, young people, and their families to build services that meet their needs, wants, and aspirations of the individual.

• Work in Collaboration with the Leadership Team  to oversee the work of the Spring Activity Camps Coordinators to design and develop a range of activities, workshops, and programmes to meet the needs of our children, young people, and their families 

• Collaborate with other staff members, volunteers, and external partners to deliver engaging, fun, and impactful activities

• Ensure all activities align with the organisation's mission and values and promote personal growth, inclusivity, and well-being.

• Oversee and coordinate the operations of Food Services 

•  Assist clients in accessing food bank services, ensuring they receive the necessary support with dignity and respect.

• Maintain inventory management for food items and coordinate food drives and partnerships with local suppliers.

• Developing and coordinating effective stock control systems, arranging timely transportation of collections and deliveries, and meeting legislative standards - i.e., Health & Safety/Environmental Health.

• Manage Camp staff, volunteers, and external contractors during activities and events, creating a positive and inclusive atmosphere.

Volunteer Management:

• Work in collaboration with the Leadership Team and  Business Support Team to recruit and train Volunteers.

• Oversee and manage the volunteers in the team who support activities and events, providing necessary guidance and supervision.

• Work with the Leadership team to foster a positive and inclusive volunteer culture, recognising and appreciating their contributions.

•  Work with the leadership Team to monitor and evaluate volunteer performance and provide constructive feedback, reports, and support as needed.

• Coordinate and oversee  all Food Service / Project volunteers, and oversee the volunteer timetable to ensure the best use of volunteers

• Coordinate the volunteer team at the warehouse and oversee groups of corporate volunteers, school groups, and other youth groups visiting to help.

• Ensure that volunteers are trained to undertake responsibilities within the warehouse and to meet the relevant legal requirements. This could include basic food hygiene,  first aid, evacuation procedures, manual handling and lifting, health and safety, and fire procedures 

Administration and Reporting:

• Maintain accurate records of activities, participant attendance, incidents, Impact Reporting,  Monitoring and Evaluations,  including referral processes, and ensure the requirements of Data Protection, Quality Assurance, Funding, and Compliance are met. 

• Prepare regular reports for all the Projects highlighting progress, challenges, and recommendations for improvement.

• Work within agreed budgets for activities, Camps, and Pastoral Care Services, ensuring efficient resource allocation.
