Purpose of the role
Due to the rapid expansion of Day One Trauma Support and the launch of our three-year strategy, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is now a requirement to ensure that the HR Department has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way.
The HR Administrator role is a newly created position to reflect the growing HR needs of the charity as the workforce expands. This is a key role which is instrumental in supporting the HR administration function at an operational level, along with providing general administrative support to the HR Manager and wider team as required to help ensure the smooth day-to-day running of the charity.
Reporting to the HR Manager and assisted by an external HR and Employment Law support service (WorkNest), this role will provide efficient and confidential administrative support across all areas of human resources. This includes recruitment, onboarding, record management, payroll support, and ensuring HR processes are compliant with employment legislation and charity policies.
This role is ideal for someone with strong administrative skills who enjoys working in a collaborative, values-driven environment.

Key responsibilites
HR Administration
Take ownership of the HR software to ensure all HR documentation and records are accurate, up to date at all times and in line with Day One policies, procedures and GDPR, including retention periods for ex-employees.
Oversee the recruitment, selection and induction process for all new appointments. Including posting vacancies, scheduling virtual and in-person interviews, and communicating with candidates.
Process and coordinate all pre-employment checks for new hires, including DBS checks, right to work verification, reference checks, and any other safeguarding or compliance requirements, ensuring all documentation is completed accurately, securely stored, and compliant with employment legislation and organisational policies.
Administer honorary contracts and associated documentation with NHS Trusts where required, liaising with relevant departments to ensure agreements, compliance checks, and onboarding requirements are completed accurately and in a timely manner, in line with NHS and organisational policies and procedures.
Manage and maintain HR SharePoint folders and electronic HR records, ensuring documentation is accurately uploaded, securely stored, regularly updated, and easily accessible in line with GDPR, data protection requirements, and organisational record management procedures.
Maintain accurate and up-to-date employee records, ensuring all changes relating to contracts, job titles, salaries, working hours, absence, and personal details are promptly recorded within the HR system in line with organisational procedures and data protection requirements.
Prepare and issue employment contracts, offer letters, and onboarding documentation, ensuring all paperwork is accurate, compliant with organisational policies and employment legislation, and completed in a timely manner to support a smooth onboarding experience for new starters.
Handle employment and character reference requests in a timely, professional, and confidential manner, ensuring all information provided is accurate, compliant with data protection requirements, and in line with organisational policy and safer recruitment practices.
Prepare and issue contractual amendment letters, ensuring all changes to terms and conditions of employment are accurately documented, clearly communicated, and processed in line with organisational policies and employment legislation, and that employee records are updated accordingly.
Oversee the employee offboarding process, ensuring all leaving procedures are completed efficiently and professionally, coordinating final documentation, recovering organisational property and system access, and maintaining accurate records to support organisational learning and continuous improvement.
Process a range of HR documentation relating to employee absence, annual leave, performance reviews, and changes to employment status, ensuring all records are accurately maintained, promptly updated on the HR system.
Support monthly payroll administration by ensuring accurate and timely provision of employee data to the Finance department, including updates on new starters, leavers, contractual changes, absences, and other relevant payroll information, in line with agreed deadlines.
Monitor the HR inbox on a daily basis, responding promptly and professionally to queries relating to HR administration, and escalating more complex or sensitive matters to the HR Manager or appropriate lead as necessary, ensuring all communications are handled in line with confidentiality.
Coordinate the scheduling and delivery of training sessions, including liaising with external trainers, booking venues or virtual platforms, and communicating with attendees. Maintain accurate training records and track employee certifications, ensuring compliance requirements are met and records are kept up to date in line with organisational policies.
Provide administrative support for disciplinary, grievance, and performance management processes, including arranging meetings, preparing documentation, and accurately taking and distributing meeting minutes where required, ensuring all records are handled confidentially.
Support the HR Manager prepare HR reports, metrics, and correspondence as requested in a clear and accurate format.
Assist in the organisation and coordination of whole-organisation in-person team days, including booking suitable venues, arranging catering and refreshments, coordinating activities, and supporting logistics to ensure smooth delivery and a positive staff experience.
Support the HR Manager with the planning and delivery of employee engagement initiatives and wellbeing activities, helping to foster a positive organisational culture by assisting with events, communications, and activities that promote staff wellbeing, inclusion, and morale.
Prepare and send a monthly staff newsletter, working closely with colleagues across departments to gather content, ensuring information is accurate, engaging, and timely, and supporting effective internal communication across the organisation.
Responsible for supporting the data input into the HRIS and any further developments of the system.
General Office Administration and Operational Support
Provide general administrative support to the HR Manager and wider team as required.
Help coordinate office supplies, equipment, and routine operational requirements.

The Role
The Operations Manager is a key hire within our small but highly effective Operations Unit, sitting alongside a People Operations Manager and reporting directly to the Director of Operations. The Operations Manager will play a pivotal role in supporting CLTR’s overall operations, working across units and delivering projects spanning cybersecurity, finance, administration, data protection, office management and others.
This is a hands-on, generalist role suited to a skilled and self-motivated operator who thrives in a fast-paced environment and is comfortable switching between strategic project management and day-to-day delivery. You will have the confidence to take on new challenges and the ability to communicate clearly with internal teams, contractors and external service providers to drive impact.
You will take ownership of key operational systems and processes, lead on our internal cybersecurity and IT operations (in partnership with our external managed service provider), and support a range of compliance, administrative, and organisational improvement projects. As the organisation grows, this role will be central to building the infrastructure that supports a scaling team.
What you’ll do:
Project & Operations Management
Project manage key operational initiatives from initiation through to delivery, maintaining clear plans, timelines, and stakeholder communication.
Support the Director of Operations in developing and implementing operational strategies aligned with the organisation's growth plans.

Job Summary

The Felix Project and FareShare have recently merged to form the UK's largest food redistribution charity. Its vision is a UK where good food is never wasted, and nobody goes hungry.
The organisation rescues high quality edible surplus food, from across the food industry and gets it to over 8,000 organisations across the UK who are working to strengthen communities and improve lives.
The charity manages seven depots across London, Suffolk, Merseyside and Hampshire and works with 16 network partners who operate a further 26 regional depots across the UK.

Duties and Responsibilities
•Responsible for the end-to-end volunteer experience at the Southern Central Depot
•Recruit, induct, and support volunteers

We are seeking a Supporter Services Administrator to join World Horse Welfare's Fundraising Supporter Services team based at our Head Office in Snetterton, Norfolk on a 12 month fixed-term basis, working 40 hours per week Monday to Friday 8.30am to 5pm.
This role is key in providing excellent customer service to the charity’s supporters, processing all charity income efficiently, and maintaining the supporter database to the highest standards.
KEY RESPONSIBILITIES
Supporter Care & Communication
Provide high‑quality customer care across all channels, including telephone orders, donations, membership and general enquiries.
Answer all supporter queries professionally and within agreed timeframes.
Ensure supporters receive the correct communications in response to their donations.
Produce timely and accurate thank‑you letters.
Income Processing & Administration
Browse, create, amend and allocate payments to supporter records using data processing systems.
Reconcile income with daily income sheets.
Allocate income and produce daily income reports.
Take Direct Debits over the telephone in line with DD Scheme legal requirements.
Administer all charity income paid by Direct Debit.
Process payments received from third‑party agencies (e.g., JustGiving).
Database & Record Management
Create and maintain accurate supporter records on the charity’s CRM system.

Fundraising Support
Assist the fundraising team with administration and fulfilment of supporter products, including merchandise sales and the individual giving programme.

Key responsibilities
Finance Administration
Together with the Finance Manager (Strategic) and the Co-Director, ensure that the charity’s finances are well managed and accounts are kept up to date.
Maintain overall responsibility for accounts receivable, and support the Finance Manager (Strategic) with accounts payable.
Working together with the Finance Manager (Strategic), ensure all income and expenditure is entered onto the electronic book-keeping system (currently Quickbooks) accurately and in a timely manner, and assigned to relevant funds in accordance with funders’ requirements and restrictions.
Ensure all donation details are correctly entered into the Donorfy fundraising database.
Ensure imported data in the accounting systems reconciles accurately with recorded transactions, and produce bank reconciliations as needed.
Finance Management
Implement and monitor day-to-day financial controls, ensuring all processes meet audit and internal control standards. Ensure proper document storage, coding and audit trails for all transactions.
Support the Finance Manager (Strategic) in reviewing and updating operational finance procedures and ensuring organisation-wide compliance.

Act as a bank signatory where appropriate.
Income Management
Ensure that all grants and other income due to the charity are received and managed in line with funder conditions and restrictions.

Ensure all cheques / cash income received is deposited into the current account in a timely manner.
Support fundraising and individual giving colleagues by providing accurate, timely financial information on a weekly basis to strengthen donor stewardship and reporting.
Maintain accurate records of gift aid declarations made. Prepare and submit regular Gift Aid claims to maximise eligible income.
Maintain accurate records of gift-in-kind and pro bono donations, organisational assets and restricted funds.
Ensure all income is recorded consistently across both the financial system and the fundraising database, working closely with the Individual Giving Manager to ensure alignment and information flow.
Operational Reporting & Support
Provide financial administration support across the organisation, including for delivery teams and fundraising colleagues.
Work closely with the Finance Manager (Strategic) to ensure accurate information flows between operational processing and financial planning/reporting.
Provide responsive support to staff, helping them navigate finance processes confidently and consistently.
Support the Finance Manager (Strategic) to prepare quarterly financial updates and Management accounts, as well as annual financial statements.
Support the Finance Manager (Strategic) and Co-Director with payroll, pension reports and human resources management when required.

Role Purpose
The Home from Hospital project in Newcastle is funded by the Northeast and North Cumbria Integrated Care Board. Preventing readmissions to hospital is crucial for the NHS. Re-admissions cost the NHS over £2 billion per year, and no-one wants to be in hospital when they can be recovering safely and comfortably at home. The project was developed to help enable older people to thrive back at home, and in the community, while at the same time supporting the NHS.
We recruit, train, support and coordinate volunteers, who provide a “little bit of help” to people who may be socially isolated, have health issues, or don’t have many people around them. Volunteers provide social, emotional or practical support, completing short-term tasks. This includes things like helping with shopping, collecting medical prescriptions, in person or telephone check in’s, driving someone to an appointment, helping with paperwork, ensuring the home is safe and secure, and more.
