The role
This role plays a vital part in ensuring the efficiency of our HR operations and the smooth running of our office. You will provide administrative support across the full spectrum of the HR employee life cycle, from recruitment through to retirement, and ensure our office is a professional and welcoming space for staff and visitors.
Key responsibilities of the role include:
- Administration duties related to day to day operations of the HR function; including recruitment, new starter onboarding, staff development support and training coordination.
- Maintaining employment records and updating internal databases.
- Monitor and maintaining stationery stock levels, office stock and kitchen supplies.
- Serving as the initial point of contact for all employee-related queries.
The ideal candidate
To be considered for this role you should meet the following criteria:
- Have a clear understanding of the role HR plays within an organisation; specific HR experience is desirable but is not essential if you can meet all other requirements.
- Skilled in prioritising workload, managing time efficiently, and adeptly handling
conflicting priorities to meet deadlines. - Detail orientated; able to ensure accuracy and precision in all tasks and
documentation. - Strong communicator - able to clearly communicate and have good listening skills.
- Able to sensitively and carefully manage confidential information.
- Demonstrate a positive, proactive 'can do' attitude, addressing challenges and seeking opportunities for improvement.

Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
- Ensure the office and meeting rooms are well-maintained.
- Manage Sarcoma UK storage, ensuring it is fit for purpose.
- Liaise with office contractors and service providers to ensure the office runs efficiently.
- Assist with office refurbishments, expansions, and relocations.
Administration
- Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
- Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
- Managing deliveries to the office and organising couriers.
- Organise travel and accommodation bookings across the whole charity including fundraising events.
- Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
- Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
- Provide meeting room management, including bookings and catering.
- Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.
Health & Safety
- Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
- Regular health and safety inspections of the office and workstations.
- Carry out regular DSE tests
- Arranging regular PAT tests
- Cary out fire risk assessments (training will be provided)
- First aid assistance and maintain the first aid supplies (training will be provided)
- Review and update the health and safety policy.
Other
- Support the operations team when required, this will include finance, database, and HR functions.
- The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

We are seeking a project manager to join our friendly, diverse and talented team working at the heart of national healthcare policy. The National Clinical Assurance Group provides independent advice and assurance to NHSE on developments around the clinical content used for NHS pathways, ensuring that patients receive the best care for their condition. As project manager, you will lead the project to ensure that NHS pathways are independently assured by clinicians who are leaders in their field.

Hours: Part-time, 3 days per week (8 hours within the hours of 9 am to 6 pm with 1 hour’s lunch break) + one day of weekend support hub per month
Working days: Wednesdays, Thursdays and Fridays (and one weekend day a month)
Reporting to: CEO & Team Manager
Location: Mostly office-based with once-a-month offsite location (office, occasional home and offsite) Office is based in the City of London near Bank station
Salary: £18,000 per annum for 3 days a week (Pro-rata of £30k)
*Overtime is compensated either by pay or time off in lieu
Holiday: Pro-rata of 30 days a year excluding bank holidays plus holiday office closure (before New Year’s holidays) and 1 day of annual mental health leave
Contract: 18 months temporary contract, 6 months probationary period
Start date: 1st July 2024 (Notice period will be considered with those who have notice periods) The first round of interviews will be scheduled for the week of 5th June 2024.

Day-to-day tasks

Organise, run and report on support & wellness hubs for women and girls, and be the face of the support hub programme

Support the community through referrals to local authorities and partner organisations on housing, immigration, food security and access to other essential services. Following up and communicating with beneficiaries throughout the process

Identify and eliminate safeguarding risks

Identify need gaps within communities and fulfil crisis and emergency management plans, help prepare the organisation for unexpected urgent response work

Amplify the voice of the communities we support

Identify and highlight the ongoing issues faced by the women and girls we support with the team and external stakeholders

Organise and manage programme facilitators and role-related volunteers

Map out fundraising opportunities and secure funding through written grant applications and manage funding processes from start to end including mid and end-journey reports

Develop and maintain the existing community ambassadorship programme by listening to community needs and helping to implement solutions

Maintain strong relationships. Including with Community Ambassadors, Wellness Ambassadors, programme facilitators, existing or potential partners and funders, and be a reliable point of contact for seamless communication

Expand community engagement through offsite outreach and partnerships with local councils, grassroots organisations, healthcare professionals, community leaders and sector partners (*The Vavengers works with over 150 partnerships across the UK)
