We are working with an independent research institute who are recruiting for a Executive Assistant to the Director and COO. The Director, has responsibility for research within the institute, and also is a senior professor. The COO, oversees the charitable and administrative structures of both the institute.

Although the primary focus of the role is support for the Director and COO, the role will contribute to the wider institute, particularly event and meeting support. It will be a varied role which will suit someone with previous experience of administration or personal assistant work in the area of science of healthcare.

As EA you will

• Act as gatekeeper between internal/external stakeholders.

• Manage all aspects of the Director's quarterly trustees including collating, editing and proofreading ready for submission to the Board.
• Schedule management on behalf of the Director and COO.
• Produce high quality reports, summaries, presentations and organisation charts.
• Provide secretariat support for monthly Leadership meetings and quarterly trustee meetings.
• Provide meeting briefings and summaries for the Director/COO.

POSITION SUMMARY:

Performs Accounts Payable function; processes transactions in the accounting system and maintains accounts payable files for vendors. Primary point of contact for questions and assistance regarding entry and payment of invoices.

Essential duties and responsibilities:

· Subject matter expert on Unit 4 ERP System Vendor Master File and accounts payable, provide support to other Internews staff also entering invoices.

· Prepare and enter multi-currency invoices for all payment methods (Barclays wire Transfers, ACH, check, FX, Western Union, etc.), including review for proper coding and approvals.

· Review and research open payables to resolve outstanding issues prior to payment.

· Process recurring remittances according to corporate schedule, including payment of invoices entered by others.

· Processing payments and Provide payment confirmations to appropriate parties as necessary.

· Maintain AP vendor master records in accounting system.

· Organize and maintain A/P files.

· Research vendor payment history in response to queries from Internews staff and others.

· Cross trained as backup staff to other department functions, including PSC payment processing and expense reimbursements and AP mailbox cover.

· Support of commitment accounting and purchase order monitoring

· Maintain Asset Register incl Additions and Disposal, Monthly Depreciation calculation and posting the journals into the accounting system.

· Balance Sheet Reconciliations including Payroll and Bank Reconciliations before month-end close.

· Debtor and Creditor reconciliations and Advances (Cards) before month-end close

· Processing and posting Prepayments before month-end close.

· Income & Expenditure Recording in the accounting system

· Proving support during Statutory and Donor Audits

· Fixed Asset Management.

Qualifications:

· 3+ years progressively complex accounting experience

About the role:

As a Political Advocacy Officer, your role will be to work with policy and programmatic experts to help influence government, parliamentary and sector targets, coordinate events, and play a part in mobilising World Vision’s tens of thousands of UK supporters around our cause of standing with the world’s most vulnerable children. You’ll find yourself working with key political stakeholders, parliamentary networks, and committees.

Key areas of responsibility include:  

• Grow World Vision’s influence through developing and maintaining new relationships with key political contacts to achieve WVUK advocacy goals and support the implementation of the advocacy strategy.
• Monitor, analyse and brief key internal contacts/stakeholders on parliamentary and political activity relevant to WVUK with a particular focus on issues affecting most vulnerable children, faith and development, and fragile contexts.

About you:

We’re looking for someone with creativity and drive, who is confident engaging and building relationships with political decision-makers and networks.

You’ll need superb writing skills, good working knowledge of and/or interest in UK government and politics and be skilled in building relationships to influence change. Experience in international development, and/or UK politics is desired but not required. We are looking for a team player with enthusiasm and a willingness to learn and grow. Most importantly, you must be passionate about advocating alongside and for children in the world’s poorest and most fragile places, and ensuring their needs and voices are heard at the highest level of government and parliament.

Key skills required for this role:

· Educated to degree level or equivalent level of thinking gained through experience.

As Projects Officer: Neighbourhood Food Model you will lead on specific projects within the wider Neighbourhood Food Model. Your role will be to grow collaborations, facilitate groups and workshops, and coordinate action. You will be building alliances with local food growers, chefs, researchers, council officers and residents to build a better local food system in Walworth.

The Walworth Neighbourhood Food Model is an ambitious, long-term approach to tackling the root causes of food insecurity in our neighbourhood. It offers a vision for a network of complementary spaces and initiatives, to build social connection through food, develop local supply chains, and transform the local food economy. This is a key role with a significant level of responsibility, working in a small dynamic team, at a crucial time in the development of this ambitious programme.

• As directed, manage relationships with funders, ensuring timely reporting that meets their needs. This will include drafting the funder newsletter (bi-monthly) and providing new materials, such as reports, films, audits, etc.

• Draft funding proposals and monitor all deadlines for reporting, planning for the timebound and efficient delivery, and working with team members to ensure the highest quality reports are drafted in good time.

• Organise a monthly meeting with the directors and COO to present opportunities and actions and agree on priorities and approaches to donors.

• Take the lead in preparing government grant applications, liaising with colleagues for information and finessing draft texts.

• Maintain the grant database and ensure it is regularly checked and updated and that leads are followed up.

• Maintain the grants calendar, ensuring you are aware of reporting deadlines and other priority needs well in advance and ensuring no deadlines are missed. The role will take a proactive lead and coordinate as required.

• Assist in delivering events to update existing and attract new funders and ensure appropriate follow-up.

• Assist in crafting presentations to funders and, as required, work with the comms team to develop films or other materials.

• You will have excellent written and verbal communication skills, with demonstrable experience drafting clear, precise, and engaging copy, winning fundraising proposals, and supporting materials.

Job Title: Alumni and fundraising development officer

Purpose of Job:

The postholder plays a key role in managing the alumni network, with a specific emphasis on events and volunteer management, to actively engage alumni and stakeholders with Queen Mary’s Grammar School. The goal is to continuously enhance the value and contributions from stakeholders in alignment with Queen Mary’s Grammar School’s strategic priorities.

Ultimately, this role is designed to support the school’s strategic plan by delivering philanthropic income and other forms of financial and non-financial support from alumni and other stakeholders. This is achieved by developing and strengthening relationships with important constituents and identifying shared areas of interest and activities to enable lifelong relationships to form.

Main responsibilities:

1. To work with the Headmaster in developing links with the alumni network through the Queen Mary’s Club (QMC) for the purpose of school promotion, school career programme development and fundraising.

3. To oversee the financial and administrative function of school donations and the Queen Mary’s Association (QMA) as a parental fundraising body within the school.

It is expected that the role will be self-funding, as a result of the income brought into the school. This may include funds raised through alumni, grant applications and bequests from former pupils, as well as a contribution towards other fundraising projects.

JOB DESCRIPTION The duties include:

• Actively enhance engagement opportunities with former students and other stakeholders. Contribute to development of methods of engaging with alumni and strengthening their relationship with Queen Mary’s Grammar School and each other;

• Maintenance and continuity of QMC database using Raiser’s Edge; leading initiatives to grow and populate the database.

• Management of the website, including creating new content;

• Use a range of social media channels to engage alumni and other relevant stakeholders, such as Linked-in and Mail Chimp.

• Recruitment of upper sixth students to the QMC; Actively contribute to engagement with current students to raise the profile of the QMC and the opportunities afforded by Queen Mary’s alumni network.

• Assistance with fundraising for specific projects; putting in bids for funds and making Gift Aid claims where appropriate; creating new initiatives for fund raising and bequests.

• Stewardship, retention and recognition of volunteers and donors, ensuring they have a rewarding and impactful experience.

• Liaison with Old Marians, including a quarterly digital ‘From All Quarters’ update newsletter, creation of regular email campaigns, preparation of the annual Chairman’s letter and other social media/website updates;

• Researching the School’s Archives for materials to assist in fundraising, events and content creation;

• Management of QMC merchandise, including sales and stock replenishment

• Organisation and set up of the Old Marians’ dinner in September of each year (including liaison with the guest speaker, caterers and QMA bar committee);

• Organisation of the annual July Wreath Laying ceremony in London and surrounding activities.

• Organisation of alumni gatherings in Walsall, Birmingham, London and any ad-hoc events as required.

• Liaison with the School’s CEIAG co-ordinator to organise alumni careers events and procure former students for the programme. Guiding and supporting volunteers during the careers week.

• Be mindful of the diversity of alumni and stakeholders – promote equality and inclusivity in all activities and processes.

• Planning, promotion, co-ordination and impact evaluation of all events.

• Attending of all QMC committee meetings and preparation of papers for Dinner sub-committee;

• Liaison with the Old Boys’ Scholarship Fund (OBSF) arm of the QMC with reference to fundraising and the support of projects;

• Support the Headmaster in shaping and delivering campaigns, supporting key priorities, and monitoring targets. Use stakeholder research and data analysis to make suggestions, monitor performance, and drive future plans and activity.

• Receive, record and reconcile termly donations for the School donations fund; liaison with the Mercian Trust over the transfer and use of such donations;

• Submitting Gift Aid claims to HMRC;

• Treasurer for the QMA, including production of simple accounts and financial records

• Assist with recruitment of QMA volunteers and allocation to committees;

• Oversight of the Charity Commission status of the QMA and management of the bank account;

• Attend QMA management committee and trustee meetings;

• Provision of information for the QMA trustees;

• Being aware of, and complying with, policies and procedures relating to confidentiality and data protection (GDPR), reporting all concerns to an appropriate person;

• Attending and participating in other meetings, as required;

• Co-ordination of activities, when required, across the Mercian Multi Academy Trust;

• Contributing to the overall ethos of the School;

• Carrying out any other duties as may reasonably be requested by the Headmaster, other members of the Senior Leadership Team or the Head of Sixth Form.

PERSON SPECIFICATION

• Excellent communication skills (oral and written)

• Experience of fundraising and engagement with stakeholders would be an advantage;

• Experience of database management (knowledge of the Blackbaud software package is desirable, but not essential);

You will be responsible for providing first line support surrounding use of the Imperial College Union (ICU) building and technology infrastructure, working closely with the digital systems function of the Union and College ICT to ensure that user issues are resolved promptly and efficiently.

Your role will act as a triage for incoming queries to the Systems team, resolving queries where possible and escalating to senior staff members and College ICT where appropriate. In addition, you will also manage ongoing tickets with the wider College ICT service desk, proactively monitoring the status of tickets and seeing them through to resolution.

The role will also be responsible for providing installation, setup and tracking of technology and physical equipment, allowing proper visibility of our resources for management purposes.

You will be responsible for ensuring the proper maintenance of all Union spaces, promptly reporting defects, and arranging repair work as needed. They take ownership of shared spaces, including Activity and Meeting rooms, ensuring they are clean, organised, with suitable equipment in place and always ready for use. The role will also include undertaking essential maintenance, repair and improvement tasks to address minor issues or repairs. Reporting to the Facilities, Health & Safety Manager, and working closely with the Head of Digital & Marketing, the post holder will be a skilled user of IT with excellent customer service skills.
