About MediCinema
MediCinema is a unique national, UK registered charity that improves the wellbeing and enriches the quality of life of NHS patients, their families and carers through the power of the shared cinema experience and the magic of film. We achieve this by building and running cinemas in hospitals and places of care equipped with space for beds, wheelchairs and medical equipment, and providing free films and activities for patients of all ages. Our services help to improve emotional, mental and physical health, reducing isolation, anxiety and stress, and increasing patient resilience to help them cope with what they’re going through.
The Role
We are looking for an Operations and Finance Coordinator to join our small but growing central office team. The post-holder will work closely with the Operations Manager, Head of Finance and Head of Impact & Service Delivery to play a vital role in ensuring the smooth-running of the charity, our impact and our service delivery.
This position would suit someone who is passionate, organised, and has an interest in film, healthcare and helping to improve people’s wellbeing.
Main Tasks and Responsibilities
Service Support
- Support the Operations Manager with managing film delivery to all our sites, including monitoring of KDMs and DCPs
- Support cinema sites by ensuring all our in-hospital marketing materials are up-to date and accurate, including:
- Create monthly posters for all sites, and other ad-hoc posters
- Create info cards about upcoming films
- Update the film information on our Showtimes page of our website
- Updating digital entrance screens
- Ordering physical posters and standees from film distributors
- Support on developing any new initiatives to promote our services in hospitals
- Deputising for the Operations Manager when required, including occasionally covering out-of-hours emergencies
Impact and Evaluation
- Support with the management and upkeep of our Impact data management system Smartsheets to ensure it is accurate and as up-to-date as possible. Specific tasks to include, but not limited to:
- Check for data errors each morning and follow up accordingly to resolve any issues
- Uploading Serennu Children’s Centre data
- Uploading new nurse and volunteer data
- Inputting film list and BBFC info up-to-date each month
- Migrating other data as and when required
- Support with the collection, inputting, organising and analysis of service delivery questionnaires, Thank You feedback cards and other service evaluation and research projects
- Support the Head of Impact and Service Design with the collection and management of case studies
Event/Screening support, including Disney Partnership
- Support the co-ordination and management of special screenings, events and Disney MTM projects. Including planning, managing orders/deliveries, attending events and assisting with consent form collection
- Support with post-event tasks, such as accurate organisation and storage of photography/media, collecting and collating relevant feedback, and follow-up emails
- Operate projection equipment and run screenings (training will be provided), in case of emergencies, holiday cover, special events and supporter/fundraiser visits
- Brainstorming with the team about any potential future ‘Beyond the Big Screen’ and Disney ‘Moment that Matter’ ideas and initiatives
Finance support
- Checking, processing and preparing payment of nurses’ invoices
- Checking and processing all other supplier invoices
- Support Head of Finance with income recording and analysis
- Preparation of monthly credit card and other expenditure analysis
- Banking of cheques/cash
- Inputting of data into accounting system (currently Quickbooks)
Administration and other duties
- Ensure patient data, and any other relevant data, is captured accurately on Donorfy/CRM system
- Communicate effectively with all team members and provide relevant and required information in a timely fashion
- Undertake other duties as reasonably required by the Operations Manager, Head of Finance, Head of Impact and Service Design

The Person
MediCinema is seeking a highly organised, enthusiastic individual who can demonstrate the following skills and qualities:

Introduction
Cystic Fibrosis Trust is the charity uniting people to stop cystic fibrosis (CF). We fund vital research, improve care, speak out and race towards effective treatments for all. We won’t stop until everyone with cystic fibrosis can live without limits. CF is a genetic condition which causes sticky mucus to build up in the lungs and digestive system. It affects more than 11,000 people in the UK.
In recent years, improvements in the treatments for CF have transformed the symptoms and quality of life experienced by many, but not all of the community. The enormous leap forward that has been made is both wonderful and challenging and brings new support needs.
With better health, more people with CF now want to plan careers, but need to balance this with management of their condition. Others still need support with barriers to work or help to navigate their rights at work when they need to focus on their health. This led us to create Work Forwards, a dedicated programme of career, work and employment support for the CF community.

Project Brief
We are now looking to work with a freelance digital creative producer/editor to deliver some of the project’s key resources.
Working closely with Cystic Fibrosis Trust throughout, the freelancer will provide creative input to identify the most engaging way to execute these resources within the available budget, and will carry out the design and delivery, giving us a set of impactful resources to support people with CF in work and employment.
These resources represent the culmination of work done over the course of the Work Forwards programme so far, and need to be delivered in mid-August 2025 ahead of a major report to our funder, the National Lottery Community Fund, in September 2025.
Key Deliverables
· 6 x 30-90 second videos to explain CF related employment rights to young people affected by CF (scripts and voice-overs are already arranged)
· An engaging, informative resource to help employers understand cystic fibrosis (information content already available, but we would like the freelancer to offer creative input into how this is presented).
Resources must be high quality, accessible and delivered in line with our brand guidelines.
Indicative Budget
There is budget available to deliver this project and this is in the region of £2,500 - £6,000. This must cover all costs to complete this work, including consultant fees, and any materials and resources needed to undertake the project and deliver these resources.
It is accepted that it may be the responsibility of some other providers (including ourselves) to collect and provide some of the information and content required.
Given the available budget, we do not expect this role to involve filming, but we are looking for the freelancer to bring their creative ideas on how we can amplify the project and make the content accessible and engaging.
Role requirements
The successful person will:
· Be a proactive and creative digital storyteller with a strong track record in video editing and producing content for social media
· Have experience in managing the creation of multimedia content / motion design
· Be able to follow brand guidelines and work collaboratively with our brand team
· Be up to date with accessibility guidelines
· Deliver high-quality work to tight deadlines
· Be based in the UK
Your proposal to undertake this work should include:
1. Details of you/your organisation, core skills, experience and competencies.
2. Portfolio of video/multimedia work or previous examples of similar work
3. Details of availability to undertake work distributed across the project period and through to completion.
4. Confirmation of ability to work as an independent freelancer (e.g. Have your own office/IT equipment and the correct tax and NI status to work as a freelancer), and own software/equipment required for the project.
5. Evidence of any professional indemnity insurance/public liability insurance you have in place.
6. Details of how you would fulfil the project brief, the fees you would charge and the steps you would take to deliver the project to budget and timescale.
Selection Criteria
Proposals will be assessed according to the following criteria:
· Extent to which the tender understands and meets the brief.
· Previous experience of delivering similar resources to a high standard, in an accessible and engaging format
· Overall quality of the submission.
· Availability to deliver to timeline (please note the final delivery date is not flexible).
· Lived experience of cystic fibrosis – this is not essential but will be a distinct advantage (please note that there is no expectation that the freelancer will need to film with people with CF or meet with people with CF in person)

As a Community Fundraiser you will:
- Recruit and support fundraisers for key campaigns and challenge events
- Grow and steward a loyal supporter base
- Identify and seize new fundraising opportunities locally

- Manage your own workload efficiently, juggling multiple priorities
To be successful, you must have experience:
- Experienced in community fundraising and donor stewardship
- Proven track record meeting financial targets

- Flexible with occasional evening and weekend work
- Confident with MS Office and comfortable driving within the region

About the role
We are looking for an experienced marcomms professional to help us upscale our campaigns activity. From leading the national Tomorrow’s Engineers Week campaign and leveraging external awareness days to increasing audience engagement with our work, this is a varied role working across the marketing, communications, PR mix. Most of our campaigns are either targeted at teachers and careers leaders working in schools or at companies in engineering and technology who want to build the future talent pool.
In this role you’ll drive the design, planning and execution of strategic campaigns that resonate with our diverse audiences. You’ll create compelling content that promotes our activities across multiple channels, tracking and reporting on performance and engagement.
The role is London based at our office at 10 Lower Thames Street, London EC3R 6EN and may involve some travel in the UK. We believe that hybrid working has many benefits and are pleased to offer flexible working with a baseline of 2 days (or 40%) a week in our vibrant central London office overlooking The Thames. You will have experience of working as a journalist and / or on a busy reactive media desk and / or working in a PR agency. You will have experience implementing PR plans and drafting a range of media materials, for example press releases and statements.
