We are looking for a Finance Trustee to support the Board by providing an oversight of our affairs, ensuring our financial viability and that proper financial records and procedures are maintained. 

We are a small CIO with 3 part time staff.  Our Finance Trustee will participate in all areas of our governance but take a special interest in the financial  strategy and governance. They will use their sound financial skills & experience to support the Board’s understanding & interpretation & to ensure legislative compliance.

Our payroll is outsourced and we have an external investment portfolio manager.

Our current finance trustee has served their term of office & it is now time to look for their successor.

All meetings except our AGM/annual award event are remote. We need you to be available to attend: 

2 (evening) Board meetings

1 summer (evening) business meeting

3 Finance subcommittee (evening) meetings

1 in person day Board/AGM/Award event

Fundraising sub committee meetings - frequency tbc these will be held remotely in the evenings

The Finance Trustee will adhere to the role description of a trustee & in addition has the following key responsibilities:

• To support the Board to oversee & to ensure appropriate presentation of budgets, accounts, management accounts and financial statements.
• To ensure appropriate presentation of accounts and records, ensuring that financial resources are spent in accordance with the charity’s policies, good governance, legal & regulatory requirements.
• Liaising, where applicable, with the Chair/ other appropriate members of staff & supporting on financial matters
• Supporting the Board to monitor the financial viability of the charity.
• Creating in conjunction with relevant trustees & staff sound financial processes & procedures for the control of the charity’s assets.
• Advising on the financial implications of the charity’s strategic plan.
• Reviewing the annual accounts &, where applicable, liaising with the charity’s external bookkeeper to ensure the accounts are compliant with the current charities’ SORP.
• Ensuring that sound financial management is maintained & ensuring expenditure is in line with the charity’s objects.
• Authorisation of charity expenditure & banking transactions set up on online bank accounts
• Liaison with the fund manager responsible for the charity’s investment portfolio
• Oversight of payroll, HMRC reporting & operation of auto-enrolment pension scheme for staff

Last year 786,574 people were offered information and support from Victim Support. As a Service Delivery Volunteer you will provide specialist support services for people affected by crime.

 Volunteering with Victim Support in West Midlands

As a Volunteer your role will include:

• Contacting services users to conduct a needs assessment, identifying service user needs and services to be delivered
• Deliver the appropriate services consisting of emotional and practical support
• Signpost to other organisations where needed, and complete onward referrals where consent has been obtained from the victim. 
• Advocate for service users with other organisations where appropriate e.g. with the police, housing associations etc.

What do we ask of you?

In order to join us as a Service Delivery Volunteer, you must:

• Be 18 years of age or over.
• Be able to volunteer for at least 3 hours per week, for at least 12 months.
• Undertake training over a 10-week period – this includes five virtual training days as well as completing a workbook and online learning modules.
• Undertake an enhanced DBS check & be part of the DBS update service.
• Be able to provide two satisfactory references.

Have an active email address that you are comfortable using in order to engage with VS communications.

• All Victim Support volunteers are entitled to out-of-pocket expenses incurred whilst volunteering, including travel and lunch.

The overall role of a Treasurer is to maintain an overview of the organisation’s financial affairs, ensuring its financial viability and that proper financial records and procedures are maintained. 

In addition to the general responsibilities of a trustee, duties of the Treasurer  include: 

• Overseeing, approving and presenting budgets, accounts and financial statements (including arranging for the accounts to be submitted to the accountant). 
• Being assured that the financial resources of the organisation meet its present and future needs.
• Ensuring that Mind in Kingston has appropriate reserves in line with its reserves policy.
• Ensuring that appropriate financial reports are presented to the board.
• Ensuring that appropriate accounting procedures and controls are in place.
• Liaising with any paid staff and volunteers about financial matters.
• Advising on the financial implications of Mind in Kingston’s strategic plans.
• Ensuring that the charity has an appropriate investment policy.
• Ensuring that there is no conflict between any investment held and the aims and objects of Mind in Kingston.
• Monitoring the organisation’s investment activity and ensuring it is consistent with the organisation’s policies and legal responsibilities.
• Ensuring that the accounts are prepared and disclosed in the form required by funders and the relevant statutory bodies, for example the Charity Commission and/or the Registrar of Companies.
• If external scrutiny of accounts is required, ensuring that the accounts are scrutinised in the manner required (independent examination or audit) and any recommendations are implemented.
• Keeping the board informed about its financial duties and responsibilities.

Person specification

In addition to the person specification for the Treasurer should have the following qualities:

• Relevant financial management/accounting qualifications and/or experience.
• Some experience of charity finance, fundraising and pension schemes or willingness to learn.
• The skills to analyse proposals and examine their financial consequences.
• Being prepared to make unpopular recommendations to the board.
• A willingness to be available to staff for advice and enquiries on an ad hoc basis.

Trustee - Role Description

Duties of a Trustee are as follows:

• To ensure that Action for ME complies with its Memorandum and Articles of Association,charity law, company law and any other relevant legislation or regulations
• To ensure that Action for ME pursues its charitable objects as defined in its Memorandum of Association
• To ensure Action for ME applies its resources exclusively in pursuance of its objectives
• To contribute actively to the Board of Trustees role in establishing a clear and sharedvision for Action for ME, giving firm strategic direction, setting overall policy, defining goals, setting targets and evaluating performance against the agreed targets
• To act in the interests of Action for ME and for people with ME in general
• To safeguard the good name and values of Action for METo ensure the effective and efficient administration of Action for ME
• To ensure the financial stability of Action for ME
• To protect and manage the property of Action for ME and to ensure the proper investment of charity funds
• To appoint the Chief Executive and to monitor his or her performance and determine his or her remuneration.
• In addition to the above statutory duties of all Trustees, each Trustee should use any specific knowledge or experience they have to help the Board of Trustees reach sound decisions
• To represent Action for ME as appropriate.

Time Commitment:
The time commitment expected of a Trustee is approximately six days per annum, including an AGM, preparing for and attending Board meetings, and involvement in at least one of the sub-committees: Audit, Finance & Fundraising; Public Affairs & Communications; Research; Healthcare Services; or Remunerations & Nominations.

We hold an away day once every two years. Additional time may be required dependent on circumstances/needs. You will receive a full induction and support upon appointment.

We do ask that Trustees make a commitment to at least one, three-year term of office.
