Job Title: Volunteer Co-ordinator – Sanctuary Citadel 
Hours: 35 hours 
Term: Fixed Term until 5th May 2027 with potential for extension beyond this dependent on funding.

The role of the Volunteer Co-ordinator is to lead the Sanctuary Citadel project in Cardiff and Newport. This will be at a key time for the project - adapting and expanding from an existing Citadel volunteer model to support Newly Granted Refugee’s transition from Home Office Accommodation or alternative accommodation into permanent homes.

Working with the Sanctuary Manager and a team of volunteers, you will ensure this support is upheld to a high standard. You will be responsible for a variety of tasks to facilitate this, including recruitment and training of volunteers. Maintaining clear communication with internal teams and external stakeholders, you will ensure project coherence and impact, and promote awareness of the project and its impact within the community.

Brief role description:

Reporting to the Chief Executive Officer, this role is responsible for what happens in our parks and open spaces on Saturday and Sunday mornings, for the community of volunteers who make this happen and for how we support participants and event teams with their requests and queries.

This role oversees all aspects of delivering and supporting parkrun events across the world, collaborating with global colleagues to ensure that parkrun events continue to be delivered in line with our principles of simple, scalable, sustainable and our promise that they will be free, for everyone, forever. 

This role will also have oversight of the effective delivery of our volunteer strategy and will ensure that our volunteer community and ambassador networks global continue to grow, diversify and thrive.

 

Also overseeing the Support team who manage event risk assessments and respond to range queries, the successful candidate will be responsive to the learnings from the Support team and translate them into new policy or practice.

Finally, as a member of the SLT this role will help shape and deliver parkrun’s global strategy, championing event delivery and leading cross functional projects. 

Main responsibilities:

• Sets overall global strategy for event delivery, ensuring that parkrun events are not only safe and accessible, but the barriers to event delivery are minimised and the parkrun event delivery model remains simple, scalable, and sustainable.  This includes:

  • Working with the divisional event delivery leads to ensure best practice is developed, balancing local context and global direction

  • Ensuring that divisional event delivery teams are appropriately recording, classifying, actioning, and monitoring event-related incidents

  • Responsibility for operational of the critical incident line, staff and volunteer rostering and training

  • Monitoring critical medical incidents and maximising the safety of participants through proactively reviewing practices and policies

  • Responsibility for creating and maintaining global event delivery guidance, policies and procedures, as well as ensuring that guidance is shared appropriately and that event team adherence is monitored.

• Working with the Global Volunteering Lead to: 

  • To oversee the implementation of parkrun’s global volunteering strategy, and to ensure that volunteering is valued, celebrated and supported as a form of participation

  • Provide internal thought leadership to drive the delivery of a cohesive approach and voice for volunteering activities across our global organisation 

  • Drive forward effective digital and in-person volunteer engagement and high quality support, training and development

  • Oversee volunteer associated policies and procedures

  • Engage with external stakeholders in the volunteering space to ensure parkrun offers best practice in volunteer engagement.

• Working with the Global Head of Support to:

  • Develop and execute a comprehensive support strategy that enhances our relationship with our community

  • Oversee the event risk assessment process

  • Continuously assess and enhance support processes to meet evolving needs of the parkrun community

  • Collaborate across the organisation to ensure seamless integration of support services into the overall parkrun ecosystem

  • Monitor performance metrics and identify areas for improvement.

The position is an exciting dual role:

1. Volunteering & People Manager (80% of workload)

You'll become a key cog at the heart ofFree to Be's management team, taking lead responsibility for volunteer and staff recruitment and retention, holding and delivering our volunteering strategy, launching a new training infrastructure through 2026-27, and heading up 'all things volunteering'. With one direct report, you'll aim to grow volunteer numbers year on year, ensure volunteers are well matched, and well supported, onto our residential projects, and lead on quality assurance, including volunteering standards concerns/grievances.  Alongside our Services, Operations and Fundraising Managers, you'll be a core management team member holding shared responsibility for the day to day running of an impactful and growing children's mental health and adventure charity and will work closely with our inspiring and supportive CEO to set longer-term key strategic goals underpinning Free to Be's future development.

2. Residential Project Lead Coordinator (20% of role)

Our residentials are fun, immersive, tiring (in all the right ways), impactful and inspiring. A core aspect of all Free to Be Kids staff's roles is leading circa 8-10 of our residential projects across each year - working on the ground with the children, leading the volunteers & staff team on project, and helping make the projects special, safe, and transformative for vulnerable young people, many of whom have damaged confidence, low self-worth, or other social-emotional needs. 

Attendance at approximately 8-10 five-six night residential projects per year outside London is a core component of this role. As a manager, you'd likely attend 8-10 residentials in year 1 to build familiarity with both the projects and our volunteer base, with this dropping to c.8 per year thereafter.

On offer to the right candidate:

Salary: Circa £38,000 - £40,000, dependent on experience.

Hours: Fulltime: 37.5 hours per week. Essential attendance on at c.8-10 residential projects a year.

Leave: 25 days per year, plus bank holidays and up to 13 additional pre-set discretionary reward days in September and during the Christmas period. A substantial perk of the role is potential to take up to 4 consecutive weeks off to travel each September.

Other benefits: 4% employer pension contribution paid on full base salary, rising by 1% per year of service, up to a maximum of 7%; hybrid working; office with great transport links; flexible working (outside core hours); employee reward scheme; tight-knit, fun, vibrant, cohesive staff team with great morale.

You’ll have the flexibility to work away from home on (up to) 10 five to six day residential projects per year. Ideally, you’ll also have experience of leading projects for children – whether residential or non-residential - for example as a teacher, or running groups in other settings. Experience of working on or leading residentials projects themselves is not required but may be an advantage.

We are a small, vibrant, 'can do', friendly staff team of 10, supported by a committed volunteer base of around 300.

The main duties of the role

• To assist with the organisation and delivery of the Academic Support, FOCUS and Mentoring Programmes.

About the Service

Barnet Refuge Service provide emergency accommodation to women and children fleeing domestic abuse and sexual violence. Refuge Case Workers provide emotional and practical support this can include housing support, legal options, reporting to the police, help around child contact, benefits, financial advice and accessing therapeutic support services.

About the Role

You will provide advice and support to women who have experienced domestic abuse in a refuge setting working across two sites.  You will carry out risk and needs assessments, develop support plans and carry out key work with women survivors. You should have a minimum of two years’ experience of working with this or a similar client group. An in depth understanding of the needs of women and children from a diverse background is essential.

About You

The ideal candidate will have in-depth knowledge of domestic abuse and its impact on women and their children, as well as experience of providing emotional and practical support to victims of domestic and sexual violence.

You will have experience of managing risk and following case management procedures to meet the needs of the client group, and the ability to work with women to help them to understand their needs, risk assess, develop safety plan and support them in linking with other agencies.  

You will have a working knowledge of the available legal remedies, housing and welfare benefits, as well as experience of providing workshops.

In addition to case management you will be required to undertake housing management responsibilities including health and safety and maintenance of the refuges.  You will have excellent administrative and time management skills.

About the role:

This role is based at our National Contact Centre in Cardiff. There will be an initial induction period that will run Monday to Friday 9am-5pm for a 4 week period. After successfully completing your induction, you will move to your fixed rota hours.

As a Helpline Adviser you will:

• Able to respond to victims of and those affected by crime by providing emotional support, information and referrals on to Victim Support services and other agencies

This is the only dedicated fundraising role at Transform, so you'll need to be proactive, confident and comfortable working across the full fundraising mix. You will also contribute to the development of our fundraising strategy, while taking the lead on delivering it day-to-day.

The role is to support the Head of Fundraising Volunteering and Communications to achieve the overarching fundraising strategy, maximising opportunities for income generation as well as strategic aims for SIFA Fireside.

As part of a small team, the post holder will be responsible for managing all supporter and donation information on the fundraising database, regularly importing payment data from a range of sources and leading on the monthly reconciliation process. The post holder will also provide data selections and reports for SIFA Fireside’s supporter mailings and campaigns. When required, they will co-ordinate and support campaigns 

Key tasks:

1. Planning and delivering fundraising projects and campaigns, awareness events and legacy campaigns.

2. Building and maintaining excellent relationships with donors including regular Open Weeks.

3. Working with the Communications Assistant to produce assets and distribute social media content related to fundraising.

4. Supporting with managing fundraising volunteers to include Corporate Volunteer Teams and conversion to individual givers.

5. Maintaining fundraising webpages and maintaining external donation platform accounts.

6. Managing and updating fundraising resources and literature including digital, print, t-shirts, and collection tins.

7. Overseeing the recording of all payment and donor data in our CRM database Beacon, including importing donations from a range of platforms.

8. Overseeing the processing of Gift in Kind donations, running associated campaigns and scheduling callouts for needed items.

9. Managing the storing of Gift Aid declarations, talking to donors knowledgeably about tax effective giving and submitting monthly Gift Aid submissions to HMRC via Beacon.

10. Producing and monitoring fundraising KPIs.

  11. Acknowledging all donations, new and cancelled regular donors and external fundraisers and providing stewardship with external fundraising events and collections.

12. Monitoring the fundraising inbox and distributing supporter communications via email and MailChimp, while managing supporter contact consent and updating SIFA Fireside’s mailing list.  

13. Ensuring work is carried out in accordance with the fundraising regulator and GDPR and always working within charity legislation and best practice.

14. Providing support to the Head of Fundraising and Communications with ad hoc requests for data on finances, donors, and charity services.

15. Undertaking any other reasonable duties that may be required to support the admin team.

OVERVIEW OF THE ROLE 

The Office Manager will be a key member of the Helen Bamber Foundation Group. This is a broad role working with a wide range of staff and contacts within and outside the group. The postholder will be responsible for coordinating and ensuring that our office space and facilities are maintained in a safe, clean, and secure environment. They will have overall ownership of the office with regards to the day to day running and ensuring health and safety compliance, and with the support of their team. They will ensure our staff and clients are able to enjoy a safe and comfortable environment. They will be the main point of contact for I.T, Facilities and clients services across the group.

They will act as Site Safety Officer for the premises ensuring compliance with Health and Safety Procedures, as directed by the CEO.

The Office Manager will manage the Client Services Team including volunteers. This role will also oversee freelance interpreters working with Helen Bamber Foundation Group.

MAIN DUTIES AND RESPONSIBILITIES 

Facility Management: 

· Act as site manager ensuring that the office is in a state of operational readiness. This will include procuring and organising premises maintenance , cleaning services, communication systems and other support services as required to meet local needs.

· Responsible for local premises security and liaison with fire and police services and local alarm providers

· Managing local contractors, landlords, suppliers, and other agencies as necessary; identifying improvements and ensuring best value in procurement.

· Working effectively with the landlord’s facilities team in relation to building related issues and for any building repair and maintenance issues.

· Ensure that office equipment is operating effectively and efficiently and maintain a sufficient level of office furniture, resources, supplies and stationery

· Oversee and manage the documentation of minor repairs, renovations and decorations.

· Ensure core facilities like water and heating are maintained.

· Manage, monitor, and maintain the room bookings system for all users at the office.

Office Management and IT:

· Supervise and approve contracts and providers for services such as consumables, minor office renovations and cleaning.

· Lead in the procurement and ordering of office equipment and stationery, office and IT equipment and consumables in the most cost-effective manner.

· Track staff issues and requests about the building, office facilities, fixtures, and fittings, and ensure they are responded to in a timely manner.

· Act as a main point of contact for our outsourced IT support services supplier, providing onsite support for IT upgrades and installation of hardware and software

· Assist staff and volunteers across the group with local IT needs including set up for meetings and local diagnostics of minor IT issues

· Manage local IT assets and ensure the allocation or devices for new starters across the group and partnerships

· Conduct annual review in liaison with IT Support Service provider of the health of devices and carry out any necessary action as a result.

· Create, develop and maintain appropriate office administrative and business support systems, in conjunction with other teams to ensure consistency of systems and procedures across the service

· Financial Management:

· . Oversee the processes of petty cash payments, staff and client expense claims, invoices and other project related expenses

· Working with Finance to ensure accurate financial records are kept and compliance is achieved

· Work with the Finance team to ensure that invoices related to office and facility management are processed.

· Managing the group’s budgets for items such as stationery, refreshments, equipment, cleaning, and maintenance

· Managing monthly collation and processing of timesheets and associated paperwork for all freelance interpreters used by the Helen Bamber Foundation team, including interpreters’ timesheets and agencies invoices

· With the Finance team, organise weekly trips to the bank to get cash for client expenses for the Group, on occasion collecting the cash from the bank personally.

Health and Safety & Security: 

· Ensure compliance with Health and Safety procedures, in liaison with the Director of People and the CEO

· Act as Site Safety Officer (SSO) for the group, ensuring the office complies with all relevant health and safety and fire safety regulations and standards. 

· Oversee the health and safety responsibilities within the office premises, staying updated on changes in health and safety legislation.

· Review and maintain documentation of risk assessments, health and safety checks and fire evacuation plans.

· Ensure the office has on site first aid provision, designated trained first aiders and fire warden/s

· Organise the delivery of relevant H&S training such as first aid and fire marshal training

· Undertake weekly, monthly and annual checks and tests of office facilities including fire alarm sounder and panic alarm checks.

· Ensure staff across the group receive sufficient H&S inductions including the completion of relevant forms and documentations

· Ensuring all equipment and furniture is compliant with Health and Safety regulations at the office

· Ensure all employees are aware of all relevant health and safety office procedures.

· Ensure the office is kept clean, tidy, and free from hazards and maintain safe working conditions for all employees and clients. 

· Manage Eyecare Vouchers Procedure in line with the DSE regulations

· Manage the group’s annual Winter Flu Vaccination Programme

· Act as one of several office KeyHolders by being responsible for locking up the office two (no less than two times a week) when the office closes at 6pm.

· With the CEO, act as an emergency contact for any emergency security / building related issues out of hours.

Line Management and other:

• Have line management responsibility for a Client Services Team.

• Support the delivery of events in the building as and when necessary.

• Oversee the access and booking of our Group meeting room by others in the sector.

• Support the wider team in ensuring staff working in our partnership programmes have sufficient resources and that their sites are safe and secure for them to work.

• Carry out any other duties as required, consistent with the post and level.
