An exciting opportunity has arisen for an Associate Project Manager – Apprentice to join the Estates team. Your role is to contribute to the successful delivery of a number of projects and small works, ensuring the scope and benefits are achieved as planned.

Role Requirements

• Collaborate with the Project Manager to precisely define project scope and objectives, eliciting technical requirements to formulate detailed specifications, cost assessments, and delivery schedules, while maintaining close coordination with stakeholders to ensure alignment on goals and key milestones.
• Contribute to the development and presentation of key project documents for stakeholder approval and governance.
• Assist the Project Manager in overseeing capital and operational projects and other minor works throughout the organisation, taking ownership of the successful delivery of assigned projects and tasks throughout the project lifecycle, raising any issues / risks and reporting on a regular basis.
• Work within agreed budget and available resource, reporting on forecast, spend and raising any variations to the Project Manager.
• Build and maintain good relationships with all project stakeholders using a variety of communication methods.
• Track and assess project performance and outcomes using relevant tools and methodologies to collate and analyse data to report on project performance.
• Identify and monitor project risks and issues; and plan and implement responses to them.
• Assist in planning and coordinating the resources – human, financial and material – required for effective project delivery, working with the Senior Engineer to advise on resources from in-house Maintenance Team for up-coming projects.
• Apply quality management systems and tools to ensure project outcomes meet all legislative, regulatory and local standards.
• Participate in post project evaluation to document lessons learned, contributing to continuous improvement initiatives.
• Assist the Project Manager with collation of all Estates compliance certificates and service report onto the compliance register.
• Provide input, as required, to monthly compliance reports.
• Provide updates on required remedial works, as necessary.

The Role

The Administrative Officer will play a key role in helping to ensure the smooth running of HEP’s operations, events, and communications, and in delivering the high-quality service that underpins our success.  This role reports jointly to the Operations Manager and the Lead for Digital and Communications. 

Key Responsibilities 

Administrative Support

• First point of contact for schools, clients, suppliers, and visitors triaging issues and responding efficiently and helpfully to queries in person, via phone, and by email
• Manage day-to-day administrative tasks including maintaining records and supporting internal workflows and some internal team communications
• Monitoring of shared inboxes across various teams, addressing enquiries in a timely manner
• Work closely with the Operations, Comms, CPD and Curriculum teams to support projects and workstreams

Event / Visitor Coordination

• Prepare and manage meeting rooms and training venues liaising with trainers and delegates
• Assist with the planning and delivery of in-person and online events, including training sessions, conferences, and away days
• Creati event collateral in a professional and timely manner 

CPD Support

• Support with organising and hosting online and in-person training and courses
• Support with the development of CPD promotional material including brochures and flyers
• Support with uploading HEPs training programme and events onto website

Communications and Digital Support

• Website administration support, resolving member queries

Key Responsibilities

1. User Engagement and Relationship Management

Qualifications and Experience

• Strong writing and editing skills with experience producing content for a variety of platforms including Youtube.

Person Specification

We welcome applications from individuals who have experience in:

• Experience in marketing and communications planning, ideally in the education or non-profit sectors

Spotlight on Corruption is a small team with outsized impact that shines a light on the UK’s role in corruption at home and abroad. 

We build the evidence base for reform through investigative research and extensive engagement with experts and frontline staff, and act as policy entrepreneurs, developing innovative and pragmatic solutions. We disseminate our work through hard-hitting reports and briefings for decision-makers and the general public and follow through with dogged advocacy to shape the narrative, as well as working in a highly collaborative manner to build consensus for reform.

About the role

We are looking for a passionate and talented individual to lead our strategic engagement with Westminster and external stakeholders. You will be an energetic and creative individual with a flair for building common ground, making connections as well as identifying and maximising political opportunities. You will be able to grasp complex details quickly and communicate them to a wide range of audiences. And you will have strong strategic nous, excellent networking skills, and an ability to keep your ear to the ground.

This role will work across our two thematic areas of ending impunity for corruption and defending democracy, liaising closely with the policy leads for those areas. You will be Spotlight’s organisational lead on developing our networks in Parliament, maintaining our relationships with Coalitions, and creating opportunities to get Spotlight messages across to policy and decision makers.

Person specification - Essential:

You’ll oversee staff communications, media and PR, and lead on corporate and crisis comms. Members of your team deliver our Youth Ambassadors programme and crucial support for DofE’s Fundraising and External Affairs.

We’re looking for someone who is versatile – able to switch between the big picture and the detail, with antennae equally alert to risks and opportunities. The role is available on a permanent contract and full-time basis. This is a hybrid role where the postholder will be based at the accountancy firm’s London office 2-3 days a week. The salary banding is £45,000-£50,000 + a discretionary bonus of up to 10%.

In this role, you will take charge of the provision of routine management accounts and cash flow forecasts. You will build budgets and longer-term financial planning. You will produce year-end accounts and manage relationships with stakeholders. You will support with funding proposals and donor reporting. You will also present financial updates to the Executive Teams and Board, providing strategic advice.

To be successful in this role, you will have relevant finance knowledge, either by qualification or experience. You will have experience of producing management accounts and external reporting. You will have experience using SME accounting software/systems and Microsoft Excel. 

You will have strong relationship-building abilities and excellent verbal and written communication skills. You will be a team player who thrives in a collaborative environment. You will also be self motivated and have the ability to manage your own time and workload.
