We are looking for a Project Delivery Officer to help drive the success of our IT infrastructure and services projects. In this vital role, you'll work at the heart of our Technology team, supporting the coordination of key activities, managing resources, and ensuring projects are delivered on time, within scope, and to budget. All to help us better serve the dogs in our care.

This is role is a fixed term contract until 31 March 2027. 

What does this role do?

As Project Delivery Officer you will: 

• Coordinate and monitor project activities, resources, and schedules to ensure timely and efficient delivery.
• Liaise with internal and external stakeholders to define project scope, requirements, and objectives.
• Track progress, manage risks and issues (RAID), and escalate concerns when necessary to maintain momentum.
• Maintain clear and accurate project documentation, including plans, reports, and financial updates.
• Support internal communications and facilitate lessons learned reviews to drive Top of Form

With proven experience of either project management, operations management or team management, you will have familiarity with project management methodologies such as Agile and Waterfall. The Deputy CEO Directorate (DCEO) plays a key role in overseeing Dogs Trust's internal operations, ensuring the effective management of the Charity’s financial, legal, IT, efficiencies, facilities, and governance functions. The Directorate works closely with senior leadership to support the organisation's Rehoming Centres, prevention programmes, and international efforts. Its focus is on ensuring smooth internal processes and great customer service, that enable delivery of the mission and strategic goals of the UK's largest dog welfare charity.

As a member of our SLT, you will help to deliver and shape and the organisation’s vision and strategy. It will be your responsibility to ensure that Jigsaw4u’s services achieve their goals, meet their strategic objectives and achieve our growth targets while being delivered to Jigsaw4u’s exceptionally high standards.

Under the direction of the CEO, the postholder’s areas of responsibility will be to:

• Line Manage the Service Managers, ensuring that their teams are high performing, reporting and data collection is of a high standard and relationships with funders and other stakeholders are outstanding.
• Ensure that the structure of all Jigsaw4u services are optimised to allow for growth and support staff and volunteers (including trainee counsellors/therapists) to develop key skills.
• Maintain knowledge and awareness of best practice within the charitable sector (and other sectors where relevant), to inform and update Jigsaw4u so that we take advantage of the latest approaches to change, innovation and development which can have a positive impact on our beneficiaries lives.
• Work proactively and collaboratively to identify innovation and business improvement within the SLT to define and agree Target Operating Models and oversee implementation and ongoing review. Use insight, evaluation and analysis to continually inform and refine practice.
• Play a full part in the development of the SLT and deputise for the CEO as required. Work closely with the Service Management Team to develop and deliver an outstanding approach to people management, building a learning culture that delivers high quality, extensive support enabling people to achieve their best as a team.
• Represent Jigsaw4u at formal meetings with funders and other stakeholders and through submission of reports and data requests. Establish new, and strengthen existing, external relationships to promote Jigsaw4u’s profile, influence and reputation.
• Ensure compliance with relevant statutory and regulatory requirements, and adherence to relevant professional codes and standards of good practice.
• Support the CEO in funding and tender applications
• Support the CEO and fundraising team in generating income

As a member of the SLT you will be expected, with training and support, to take an active part in supporting the whole organisation. Experience and aptitude to provide calm leadership and a supportive problem-solving approach to practical problems and judgements involving risk is necessary.

Job Description

The Jewish Museum London has undergone substantial positive change over the past two years, moving out of our Camden site and moving to a ‘Museum without Walls’ model.  The museum is building a new strategy that will lead its transformation over the next 10 years as it tests out innovative new models for exhibitions, displays, learning and engagement, building towards a new permanent site and dynamic operational model.  Learning and engagement are central to the museum’s future.  This new role will support the learning and engagement team by coordinating bookings, marketing and communications for the team.

Our museum is made up of passionate and expert staff and a collection of over 40,000 objects which are both accredited and designated with Outstanding status by Arts Council England. Our learning programmes hold multiple awards, and our visitor feedback is consistently very high, however, we have much bigger ambitions than our current success. The Museum is looking to expand, in space, in profile and in audience reach. We are looking for someone passionate about our potential to coordinate the day-to-day running of the learning team as we move forward to the next phase of the Jewish Museum London.

Reporting to the Head of Learning the appointed candidate will have the organisational and administrative skills to ensure the team can effectively deliver programmes for schools, families and communities as well as taking a lead on communicating the museum’s activity through social media, newsletters and the website.

Main Duties & Responsibilities

The main role of the Learning and Communications Coordinator will be to administrate the activities of the learning department, in particular our flagship programme of schools workshops both in person and digitally. Excellent communication skills are required as this role will involve being the first point of contact for the department, responding to queries, liaising with teachers, taking bookings and sending out pre- and post- activity information.  You will play a key role in ensuring the smooth running of this busy and creative team by providing, general administration, organisational and hands-on practical support—invoicing, ordering materials and supplies, auditing resources, collating and recording evaluation data and transporting materials and equipment for our outreach, offsite events and workshops.  Digital learning and communications are central to how we engage our audiences so the post holder will need to a good level of social media and technical literacy in order to update learning and events sections on the website, support the delivery of virtual workshops, coordinate the social media working group and create newsletters.

Learning programme bookings and coordination

· To be the first point of contact for all enquiries about learning programme activities and the main contact for liaising with teachers and taking bookings

· Co-ordinate and administrate all bookings for the schools outreach, virtual and broadcast programmes—from taking bookings and booking facilitators through to invoicing and evaluation

· Organise bookings, delivery and return of museum loan boxes

· Audit and prepare the handling collection for workshops

· Close collaboration with the Senior Learning Producer: Schools to assign learning team members and freelancers to workshops including leading on contracting and financial administration of freelance facilitators

· Support with organising and delivery of informal and community learning activities and events including the Curious Minds Dementia Friendly programme and family learning events

· General support and assistance for activities and programmes as required

Team Administration

· Managing the team’s calendar of activity

· Ensure that bookings spreadsheets and databases including Raisers Edge, Artifax, Excel sheets and Monday Boards are kept up to date and accurate

· Collating statistics and data for reporting

· Maintain the carbon calculator tracking for the team

· Order any resources, materials, equipment and travel (such as oyster cards, train tickets and taxis) for the team

· Coordinate room bookings and generating zoom links for workshops, meetings and activities

· Set up regular team meetings as required, circulating minutes/ action points and ensuring follow up actions are taken

· Work with finance to ensure that schools workshops and activities are invoiced and to coordinate payment of freelancers

· Help ensure good communication throughout the team and organisation

· Ad hoc duties e.g. filing, typing reports and letters from manual copy

· Freelancer communication and administration, including organising the Rota

Digital and Communications

· Provide general technical support to the department including setting up zoom links and equipment for broadcasts and virtual classrooms

· Updating the learning sections of the website—events, resources, image libraries and programme information

· Contributing to learning’s presence on social media channels

· Coordinating the production of learning newsletters and marketing materials

Our partner is seeking a consultant to conduct a review of its finance function, including structure, processes and systems with a view of improving effectiveness and efficiency. This exercise stems from the fact that the finance function of the organisation has developed organically over the course of the organisation’s life and growth, covering the expansion of programmes and the opening of new administrative offices.

Scope of the Review

• Review of the current structure - assess what functions are best delivered in each location, the skillset of finance staff and what capacity is needed in each location to deliver these services.
• Review of the processes and systems; and make recommendations on how processes might be streamlined to address bottlenecks and streamline these.
• Advise on how the finance function might operate more effectively as a global function
• Advise on what IT/systems solutions might further improve efficiency

Requirements

• A qualified senior finance professional with experience of change management within an international not for profit, specifically reviewing the structure of the finance function, undertaking in-depth review and analysis of global processes and systems.
• Experience of working in a complex grant-funded environment with knowledge of full grants cycle management.
• Strong relationship building, communication and influencing skills.

This is an exciting opportunity for an experienced leader, with a passion for giving children the best possible start and with a strong belief in the power of communities. The role will work both locally and nationally, as part of the wider team. 

The Director will manage our client’s existing programme in Redcar and Cleveland with a talented and committed team (10 staff). They will also develop and manage the new programme in Middlesbrough, currently in Discovery phase, and recruit a staff team of 8- 10 people, with support from the charity’s central team.  Once set up, the Director will lead the following across both areas: 

• Building relationships and networks in the areas, across the public, voluntary and private sector 

• Leading the team to support delivery of the charity's local early years strategy in the areas

• Leading the delivery of a portfolio of complementary workstreams, continuously refining and strengthening the work so that we make the greatest possible positive difference to local children and families 

• Working closely with local partners and the national team to ensure that data and learning is captured and fed into strategic thinking and our national model 

Supported by our central team, the Director will enable local stakeholders to collectively support parents and children under 5, to improve outcomes in the early years and particularly improve levels of school readiness. Crucial to this work will be engaging with and empowering local parents who are the key to successful delivery of the initiative.

What you’ll bring

• Proven experience of trust and/or statutory fundraising at a strategic level

• Strong leadership skills including leading dispersed internal project teams towards clear goals, and to prioritise and communicate organisational updates

• Experience of successful line management, overseeing, mentoring and developing skills of team members

Governance Administrator & Clerk to the Board Vacancy

The Governance Administrator & Clerk to the Board will provide an exceptionally high level of governance and administrative support to the School’s Boards and Committees and the Board of Directors for Rambert Grades (a joint venture between the School and Rambert). The post-holder will utilise current and relevant technology and AI (such as Microsoft 365 Bookings and CoPilot) to schedule meetings, prepare agendas and supporting papers and take accurate and detailed minutes, to help ensure good governance and compliance.

This job requires a meticulous individual, with a flair for writing accurate and detail-oriented minutes. The postholder will have excellent organisational skills, an appetite for hard work, an eye for detail and a desire to work in the Higher Education or Charity sector. They will actively promote and uphold the School’s mission and values and will always exercise a high level of good judgment, diplomacy and discretion, in respect of the confidential and often sensitive information that they are party to. They will work effectively and build strong relationships with senior leadership and the Board of Trustees.

Hours

Part-time – 0.5 FTE (20 hours/week)
Flexible annualised working pattern available to suit the needs of the role and the postholder (e.g., working parents). Weekly hours may vary based on workload demands, with increased hours during peak Board and Committee meeting periods (January, March, May/June, October/November) and reduced hours during school holidays. This position is a member of the Leadership Team and will have a pivotal role in leading, developing and managing a range of operational adoptions services, ensuring that they meet the needs of children we are providing services for, including all legal, policies, guidelines, and internal standards. They will play a key role in helping to develop new services and where appropriate will take operational control of these.

About the Role

The Head of Service post holder will take the lead responsibility (under Ofsted registration) as the Registered Manager of CoramIAC. They will ensure the ongoing delivery of an outstanding VAA that is fully compliant with national minimum standards and regulations; and ensuring high quality adoption support and a sufficient supply of adopters that reflects the diversity of the countries they are adopting from.

Applying to adopt in the UK is open to anyone already in the process with CoramIAC but we do not actively recruit domestic adopters like other VAAs. Approved Intercountry Adopters may however request to change their approval advice to the UK if they are considered a suitable match for children available and waiting for permanence through Adoption in the UK.

CoramIAC predominantly serve prospective adopters from the global majority and as such recruit and train a highly diverse and skilled group of adopters to enable the best outcomes for children whilst also offering adopter and sector diversity for potentially harder to place children. This includes family groups and older children. Our offer to RAAs via our domestic program therefore delivers families for children who often wait the longest in the care system.

The Assistant will play a key role in ISEAL´s team, providing assistance to two managers to ensure efficient administration of their respective work areas - membership and operations. In the operations team, the successful candidate will get involved in the processes of running an international not for profit organisation, while also supporting the membership team in high quality member communications and data management.

To be considered for this role, you will need to be well-organised with great attention to detail and an excellent ability to follow up agreed tasks. Working efficiently and reliably under direction, you have a friendly and professional demeanour and are comfortable in your communications and interactions with colleagues and external stakeholders. You enjoy working on a varied and changing set of tasks to support the implementation of a project or a collaborative group process.  You have a natural aptitude with IT systems and data and enjoy helping others get the most out of them. Having worked on data analysis before would be a real bonus.

The key responsibilities we entrust you with

Operations Support

• Guide and assist ISEAL staff in using software tools effectively by leading inductions, writing guidance, sharing best practice, providing training and trouble-shooting issues that arise
• Manage IT equipment and liaise with external IT support
• Facilitate internal communications by supporting regular and ad hoc staff meetings
• Work closely with Senior Manager Operations on improvement projects, including leading smaller projects
• Assist in promoting best practice in use of IT, communications and knowledge management systems across the organisation and suggest and help implement improvements
• Support management of ISEAL’s office space in London, including liaising with landlord and ensuring office works well for staff
• Lead on procurement of items needed for smooth running of office, for staff leading events and equipment for staff home offices
• Participate actively in team and organisational planning and activities
• Participate in internal staff management processes such as performance reviews, supervisory meetings, etc.

Member communications

• Gather and prepare content for member mailings, including our monthly member-only newsletter, the ISEAL Insider
• Maintain the internal Mailchimp schedule, liaising with staff in the Communications team to plan and schedule mailings effectively
• Support other ISEAL teams to communicate appropriately with members through our different channels and mailing lists, checking for adherence to brand guidelines
• Support the Membership Coordinator and Membership Manager with drafting blogs, news items, and group posts to share updates with members via the ISEAL Platform
• With the Membership Coordinator, regularly review content on the ISEAL Platform to ensure it remains accurate and up to date, liaising with other teams where necessary

Monitoring our membership programme

• Regularly collect data to help monitor our member communications, engagement with member-only events, and use of the ISEAL Platform
• Create and update quarterly reports and dashboards to help identify and communicate key trends and inform improvements
• Support the Membership Manager with the preparation of quarterly and annual engagement reports to send to members
• Deliver administrative processes that underpin member relationship management and track member engagement, including maintenance of member records within Salesforce

Other

• Provide occasional support for member-only Zoom webinars and at in-person events
• Be a collaborative and effective member of both the Membership and Operations teams, liaising with colleagues at all levels across the organisation where needed
• Support the Membership Manager and Membership Coordinator on member engagement projects

Experience, Knowledge and Attributes

• Experience working or interning in a support/administrative or customer service/communications role, ideally in international NGO, professional or membership organisation
• Enthusiasm for using data to drive customer engagement and aptitude for working with data, ideally some experience in extracting and working with analytical information
• Good organisational and time management and ability to organise multiple simultaneous tasks efficiently and establish priorities
• Ability to communicate confidently and sensitively with a diverse global community
• Proficient written and spoken English
