About Rockinghorse Children’s Charity
Rockinghorse Children’s Charity supports sick and disabled children across Sussex. We support babies, children, and young people, along with their families, at The Royal Alexandra Children’s Hospital and The Trevor Mann Baby Unit in Brighton and all the specialist children’s wards and baby units throughout Sussex.
We deliver and fund projects that enable doctors and nurses to do more. All of projects are led by the needs of children and young people and their families – the lifesaving medical equipment, the support for parents and families, the toys for children spending time in hospitals across Sussex, the environments and spaces that help children feel more at home when they are in hospital and additional staff to make sure children get the best possible care when they are unwell.
Originally set up in 1967 by Dr Trevor Mann, we have been supporting children for more than 55 years, and in that time, we have supported nearly a million children and their families. As the official fundraising arm of the Royal Alexandra Children’s Hospital, including the Trevor Mann Baby Unit, we work with the NHS, charity partners, and the Sussex community to ensure children can be children no matter now sick they are.
We do not receive any government, statutory or local authority funding and so we rely on the generous support of individuals, community groups, companies, and trusts: people like you, who care about children and want Sussex to be a safe place for children to grow up.
About the role
Rockinghorse delivers more than 70 impactful projects each year to support sick and disabled babies, children, and young people across Sussex. As our programmes grow, we are seeking a highly organised and proactive Project Coordinator to support the day‑to‑day delivery of our projects and services.
Reporting to the Senior Projects Manager, this role will play a vital part in ensuring our projects run smoothly on time and on budget. You will work closely with NHS Champions (doctors, nurses, and healthcare professionals), internal colleagues and external partners to help coordinate activities, gather information, maintain accurate records, and support the successful delivery of all our projects.
This is a hands‑on, operational role, offering an opportunity to develop project management skills within a friendly and impactful children’s charity. You’ll play an important part in ensuring our projects make a meaningful difference to children and families across Sussex.
Duties of the role

Rockinghorse delivers and funds around 70 projects per year – supporting sick and disabled children in hospital.
Project Delivery & Day‑to‑Day Coordination
· Support the administration, coordination, and delivery of Rockinghorse projects across Sussex.
· Maintain project schedules, trackers, documentation, and communication logs.
· Organise meetings, site visits, check‑ins, project reviews, and installations.
· Coordinate logistics for small projects, including ordering items, liaising with suppliers, and arranging deliveries.
· Ensure accurate filing and record‑keeping across all project documentation.
· Prepare project reports for internal use.
· Support the Senior Projects Manager on the scoping out, development and implementation of new areas of work and projects for the charity.
· Maintain records on the projects database ensuring all records are accurate and up to date.
· Co-ordinate seasonal projects (e.g. Easter, Christmas) including collections and deliveries with supporters and beneficiaries.
Working with NHS Staff & Project Champions
· Support NHS staff and Rockinghorse Champions and NHS staff to develop and submit project proposals.
· Be a point of contact for day‑to‑day project enquiries.
· Organise and deliver our biannual Projects Days, including scheduling, logistics, communication and follow‑up.
· Build positive working relationships with doctors, nurses, and healthcare teams to support smooth project development and delivery.
Monitoring, Evaluation & Impact
· Collect data, feedback, photos, and evaluation information for all projects.
· Support the Senior Projects Manager with implementing the charity’s impact and evaluation frameworks.
· Help prepare impact summaries for fundraising, communications, and reporting purposes.
· Maintain accurate monitoring records for project KPIs and outputs.
Internal Communication & Cross‑Team Support
· Provide regular updates to colleagues across Fundraising, Communications and Operations.
· Assist in preparing content and information for marketing and donor stewardship.
· Coordinate seasonal projects (e.g. Easter, Christmas) including packing, delivery, and volunteer support.
Operational & Administrative Support
· Assist with central office admin tasks related to project delivery.
· Support the organisation of project‑related events.

· Assist with volunteer coordination for project‑related activities where required.

The Project Manager (Maternity Cover) will be responsible for the management and delivery of NSA-led and NSA-linked technical/research/innovation related projects during the maternity leave period of the substantive postholder.

Project delivery and coordination
- Manage and deliver a defined portfolio of ongoing and fixed-term NSA projects, including externally funded and partnership projects.
- Ensure projects have clear objectives, deliverables, timelines and budgets, and are delivered in line with agreed commitments.

The Senior Lead - Acquisition & Digital Fundraising role is responsible for delivering Operation Smile UK’s strategic individual giving acquisition programme. This role is key to driving income growth and expanding our supporter base across multiple channels, including digital, DRTV, dialogue fundraising and print.
You will lead the strategy, planning, delivery and evaluation of acquisition campaigns, including the onboarding process, with full accountability for managing significant budgets, agency partnerships and performance metrics. This is a senior, hands-on role suited to an experienced acquisition fundraiser with strong commercial acumen and a data-driven mindset.
Key Responsibilities
Strategic Campaign Leadership
- Develop and implement the multi-channel acquisition strategy, aligned with income targets and supporter growth objectives.
- Lead on the planning and delivery of campaigns across direct dialogue, digital, DRTV, and print channels.
- Lead on the planning and delivery of the onboarding process for all new recruits.

The Reading Reboot programme will establish librarian-led social book clubs in over 100 under-funded secondary school libraries across the UK and reach more than 6,000 young people directly, alongside librarians, senior leaders and wider school communities. Reading Reboot places school librarians at the heart of delivery, combining new book stock, inspiring author engagement, appealing library spaces, and a robust evaluation to evidence impact and inform future national roll-out.
The Project Manager will lead on development and delivery, working closely with the CEO, a Project Board and external evaluation team to ensure the programme meets its objectives on time, within budget and to a high quality. They will recruit and coordinate schools and librarians, work with partners and funders, and ensure that learning and impact are captured and shared across the sector. Building strong relationships with all stakeholders, the Project Manager will be the main point of contact for the programme and will support the CEO and Project Board with timely updates, papers and participation in meetings. Successful candidates will have extensive and demonstrable experience of project management in schools or youth settings. Experience of training development and delivery will be an advantage.

We manage significant grants and complex commissioning arrangements that support projects designed to make a lasting difference. To do this well, we need robust systems, clear governance and strong relationships with partners. This role is critical to making that happen. As our Senior Grants & Commissioning Manager, you’ll lead on optimising our grant management system Salesforce, oversee risk and compliance and drive improvements in commissioning and procurement across the organisation. You’ll be the go-to person for contracts, grant agreements, policy guidance and Salesforce, ensuring data integrity and enabling confident decision-making. By keeping everything organised and efficient, you will be helping us achieve our strategic goals and deliver on our mission.
Key Responsibilities
Your role would be to ensure our funding and commissioning processes run efficiently, compliantly and strategically. You’ll lead improvements in systems, governance and risk management, act as the organisation’s Salesforce and grant management expert, and provide strong leadership to the team which will enable confident decisions and maximising impact. A detailed list of your key responsibilities on how you’ll do this is given below:
- Grant management and system optimisation:
- Manage the organisation’s grant management system (Salesforce), ensuring functionality, accuracy and integrity of data.
- Configure and update forms, fields and workflows to support new applications and evolving business needs.
- Develop and deliver custom reports and dashboard for internal teams to enable effective monitoring and decision-making.
- Act as the primary liaison for system enhancements, ensuring continuous improvement, and day-to-day troubleshooting.
- Commissioning and procurement:
- Support the Assistant Director of Finance and Operations in delivering improvements to commissioning and procurement processes across the Programmes, Evaluation, Change and Evidence directorates.
- Ensure commissioning activities align with organisational priorities and compliance requirements.
- When required, provide support and additional resource to the Delivery Operations Manager on the execution of agreements for all teams.
- Risk management and compliance:
- Lead on negotiating terms and conditions with grantees, evaluators and researchers, escalating complex issues where necessary.
- Conduct due diligence for funded projects, ensuring compliance with organisational standards and risk mitigation.
- Maintain and control master versions of all templates, including Grant Agreements and Variations, ensuring accuracy and consistency.
- Governance and policy development:
- Develop, maintain and disseminate non-HR policies and guidance documents related to commissioning and procurement.
- Ensure governance frameworks are robust, up-to-date and embedded across the organisation.
- Training and capacity building:
- Design and deliver training sessions to build staff competency in policies, guidance and system procedures.
- Act as the organisational expert on Salesforce and grant management processes, providing ongoing support and advice.
- Leadership and team management:
- Provide direct line management, mentorship and professional development for the Delivery Operations Manager. When required during periods of peak activity, provide support and resource for their responsibilities.

Hybrid Working Details
The office is based in Central London. Those living in and around the 32 London Boroughs are expected to be in the office for a minimum of 2 days per week. If you live outside of London and work remotely, you’ll be expected to work from the London office 2 days per month.
