About the role
We’re looking for an experienced and motivated Operations Lead to play a vital role at the heart of our organisation. This is a senior, hands-on post that combines strategic oversight with day-to-day delivery across all core operational functions - including HR, governance, IT and data, finance administration, and internal systems. FTWW is looking for a full-time Volunteer and Community Coordinator! The successful candidate will strengthen community activity by engaging with external stakeholders and members of the public, increasing our reach and volunteer numbers. They will ensure that volunteers are supported and equipped to participate in a wide range of activities, both in-person and online.
The role is full-time home-based within Wales, with occasional travel to events and meetings, so a driving licence and access to a car would be an advantage.
We are a small but mighty charity where no two days are the same. You may be involved in facilitating an online coproduction event one day and speaking at the Senedd the next so excellent communication skills are a must. We currently have over 90 registered volunteers and a key part of the role will be to develop our volunteer programme. As a small team, you will also support our part-time Engagement Coordinator, so there will be plenty of opportunity to demonstrate your creative skills too.

JOB SCOPE AND BRIEF
Based at the magnificent Hampton Court Palace, the Royal School of Needlework is a registered charity and the international centre of excellence for the art of hand embroidery. We offer a thriving education programme for everyone from beginner to degree level. We teach online and in-person at venues across the UK and internationally in America and Japan.We offer teaching and leisure classes ranging from undergraduate degrees to day-classes held on-site and online. Our renowned Embroidery Studio creates stunning bespoke embroidery for fashion, art and royalty, as well as expertly restoring and conserving valuable and historical embroidered pieces. We also offer an online and in-person shop that stocks a full range of embroidery kits and merchandise.
The IT and Web Support role works closely with and reports to the IT Manager to support day-to-day IT support and web site operations organisation-wide across Retail, Education (short courses and degree), Marketing, Fundraising, Operations and Finance. In this role, you'll support day-to-day internal IT and external website operations, including supporting staff, tutors and students, solve both internal and customer problems, and help administer, maintain and develop the IT estate.
This is a wide-ranging role suitable for someone who thrives on variety and enjoys an investigative and pro-active hands-on approach to solving IT issues, content and data tasks and problems, managing systems and processes, and is comfortable understanding day-to-day needs and translating them to online and IT deliverables and working in a busy cross-team environment with non-IT stakeholders.

Main Duties

We’re looking for a proactive and organised Programme Coordinator to help keep our busy calendar of classes, events, and community activities running like clockwork. This is a varied role with a focus on bookings and administration, alongside outreach, communications, and reporting, helping us reach more people, share our story, and measure the difference we make. MAIN DUTIES & RESPONSIBILITIES
1. Staff management
1.1. Carry out all line management duties in line with organisational policy and procedure, including:

2. Management of Income and Payments Processing Operations

2.2. Ensure the reconciliation of all income data from the bank against Raiser’s Edge (CRM system) to ensure data is accurate and complete and then recorded in the finance system once reconciled.
2.3. Manage an efficient and effective Accounts Payable function, ensuring that the work performed by the Senior Finance Assistant is at the required standard.
2.4. Lead on all communications with internal stakeholders, including Trust finance and Special Purpose Fund Advisers, to resolve any issues arising and produce monitoring reports on a regular basis.
3. Transactional accounting and fund management
3.1. Ensure systems are in place to identify and correctly record restricted donations, so that these are properly monitored and utilised.
4. Financial Control Framework
4.1. In consultation with the Director of Finance & Operations, ensure that appropriate controls, processes and procedures are in place, regularly reviewed and assessed for operational effectiveness.
4.2. Review and update Finance Procedures and effectively communicate these to staff, arranging training where necessary, within the Finance Department and across the Charity.
4.3. Ensure effective maintenance of the balance sheet, including regular key control account reconciliations (bank and other).
