The purpose of the role is to lead an outstanding IT service across the Trust and cultivate a high performing team that supports all staff, people we support and other stakeholders.

Reporting to the Resource Director, the role will be key in supporting the digital transformation agenda, providing IT and data expertise that will enable higher quality of life for adults with learning disabilities and maximise efficiencies within the services that we provide. 

Main Responsibilities   

• Developing the IT strategy in alignment with the Trust wide strategic goals and evolving digital transformation priorities;

• Oversee the Trust’s approach to Cyber security, ensuring compliance with relevant legislation and best practice. Being the subject matter expert for the organisation.

• Oversee the Trust’s data and privacy framework, ensuring compliance with GDPR and other data protection laws and training and educating staff as required on data protection measures; 

• Lead, mentor and develop the IT team of four, fostering a culture of collaboration, innovation and continuous improvement;

• Prepare and manage the IT department budget, optimising resource allocation to achieve maximum value and efficiency and ensuring the team is equipped with the necessary skills and resources; 

• Oversee the development, implementation and maintenance of the Trust’s IT systems; 

• Providing IT expertise and advice for the software owners across the Charity including supporting the development of management reporting using Power BI;

• Support the development of an environment of digital innovation and best practice, ensuring the use of technologies for the benefit of the diversity of the people we support; 

• Support any technology implementation plans ensuring all technology solutions are project managed effectively. To supports team members to ensure they identify risks, contingency plans and engage with stakeholders for effective collaboration; 

• To lead on procurement and contract negotiations with vendors of IT systems and software providers, ensuring ITTs and contract awards are in line with the Trust policies and value for money is achieved;

• Producing regular reports on KPIs for the IT team and reporting reasons for variances against target

What you’ll bring to the role:   

• Recognised Degree in Business IT or Computer Science related discipline or equivalent combination of education, training, and experience 

• Proven track record in a senior management digital transformation position.

• 6+ years’ digitalisation experience. 

• 5+ years Project Management experience.

• Excellent working knowledge of Power BI 

• Proven track record on delivering complex projects. 

• Experience of having designed, implemented, and evaluated organisational transformation digital solutions and has delivered change that added value to the organisation. 

• Highly effective change agent who engages with senior stakeholders to deliver the digital program to the organisation. 

• Benchmarking skills and identifies best practice and knowledge of the digital landscape of organisations. 

• High degree of budget management experience associated with digital technology design and its adaptation. 

• Has strong relationships with approved vendors and with software suppliers of digital services to ensure effective delivery of digital technologies/systems. 

Location & Travel 

Remote based - Home 

Home-based with regular travel to visit Communities in Hertfordshire, Gloucestershire, Yorkshire, and Worcestershire. Occasional overnight stays will be required. Ideally you will be located within travel corridors of Midlands to London or Manchester to York.

Baby Lifeline is a highly respected national charity whose mission is to ensure the healthiest and best outcomes possible from pregnancy and birth.

Founded over 40 years ago by Judy Ledger following the personal tragedy of losing three premature babies, we have since purchased many million pounds’ worth of equipment for maternity and neonatal units, produced nationally recognised reports and research projects, staged highly successful annual UK maternity safety conferences, and provided ongoing evidence-based, multi-professional training to reduce avoidable harm and death in maternity. This dual role will include operational responsibility for Baby Lifeline and Baby Lifeline Training Ltd. Sharing the same building as the charity, the Training company is a not-for-profit social enterprise which operates under a service level agreement and brand licence issued by the charity.

Chief Operating Officer Key Responsibilities

Role description

As our philanthropy coordinator, you will play a key role in building new partnerships with philanthropists and high-net-worth individuals, with an immediate focus on the UK, US, and Europe. You will design and implement a comprehensive strategy to build a robust portfolio of individual donors, Family Foundations, Donor Advised Funds (DAFs) and other personal giving vehicles. 

A proactive and thoughtful relationship builder, you will maintain long-term relationships and lead bold strategies to engage new audiences, including millennial and next-generation philanthropists. You will steward Open Briefing’s first global development board, working closely with our CEO and director of development to engage members around a dynamic programme of activities designed to make Open Briefing more fundable and findable. 

Together with our director of development, you will drive forward a multi-year fundraising strategy to resource our work with activists and organisations on the frontlines of human rights, social justice, and environmental action. 

Your primary responsibilities will include: 

• Designing and executing our philanthropy fundraising strategy. Lead a strategy to identify, cultivate, and solicit high-net-worth individuals (HNWI) —including through Donor Advised Funds, Family Offices, Family Foundations, and other giving vehicles—with an immediate focus on the US, UK and Europe. 

• Prospecting and donor acquisition. Manage HNWI prospecting, generate new leads, develop solicitation plans, brief senior leadership in advance of meetings, and coordinate cultivation and networking opportunities.

• Stewardship and relationship management. Build strong relationships with existing and potential donors through tailored stewardship plans designed to grow income over time. Manage donor tracking and communication systems. 

• Nurture and grow our development board - Work alongside our director of development and CEO to identify and engage members and steward the Board through a 12-month action-orientated development campaign. 

• Budget Management. Manage a programme budget for cultivation and stewardship events and activities.

• Collaboration and Communication. Work closely with our communications coordinator, director of development and programme teams in the production and dissemination of donor-relevant reports, updates and other content; and contribute to the conception and organisation of donor-facing online and in-person events.

• Team support. As a key member of our development and communications team, undertaken other duties as reasonably requested relevant to team and organisational goals. 

Person specification 

Essential 

• You will have extensive experience managing a HNWI or major gift portfolio. 

• You will have a proven track-record of personally securing four, five, or six-figure donations from HNWI and/or major gift donors in the UK, US and/or Europe. 

• You will have experience working within a nonprofit focused on human rights, social justice, and/or environmental action. 

• You will have excellent verbal communication skills, including English language skills, both spoken and written. 

• You will have experience working with senior stakeholders and board members to support fundraising activities. 

• You will have an ability to work both strategically and operationally.

• You will have creative thinking and problem-solving aptitude.

Desirable

• You may have experience working within a global nonprofit. 

• You may have knowledge of the human rights, social justice, environmental justice, and/or international development funding landscape.

Terms and remuneration

This is a remote, home-working role. You will be contracted for 40 hours a week on a full-time, fixed-term contract. Flexible working is available and encouraged.

What You’ll Do

 Advocacy & Policy Influence

• Lead the delivery of advocacy strategies to raise awareness about the benefits of family-based care and the harms of institutions, including orphanages
• Manage MJF Global’s advocacy partnerships, supporting joint campaigns and influencing initiatives

Role

In this exciting yet challenging role as Emotional Support Worker, you will provide valuable support to survivors of sexual abuse and their loved ones, through our helpline service. Last year, around 2,400 people contact us via this crucial service. Our helpline is a starting point for support, as men and boy’s take their first steps reaching out for help. We are also integral to the SurvivorsUK eco-system, providing support to client’s on our counselling waiting list and helping survivors navigate the different support options that are available.

We provide emotional support, information and signposting through a national helpline service, which is offered via Webchat, SMS, Email, and soon to be offered via WhatsApp and telephone. We are open from 10am to 8pm, 7 days per week.

Job purpose

The Operations and Office Administrator will provide wide-ranging administrative & operational support to ensure an efficient office environment, contributing directly to the delivery of the international Missionary Society of St Columban’s mission priorities.

Key Responsibilities

Office Operations: Ensure the smooth running of the office through the management and coordination of IT systems, office supplies, post, telephone/internet, document filing and retention, and oversight of maintenance and improvements to equipment and the working environment.

PA & Administration: Provide IT and administration support to the Regional Director, the Fundraising and Operations Manager, Regional Council, the Board of Trustees, Mission Appeals Team and the community living at St Columban’s House; including minute-taking, arranging meetings, drafting and sending correspondence, database administration, preparation of reports, and booking travel and appointments.

Venue Hire & Events Administration: Coordinate room and grounds hire at St Columban’s – handling enquiries and bookings, diary management, health & safety compliance, preparing the venue, maintaining and improving the facilities, advertising – and assist with the planning and administration of events organised by the Charity.

Reception: Host visitors and handle enquiries by telephone and email; including deliveries/collections, maintenance and supplier visits, and members of the public contacting the office to donate, request a Mass, update their record details, meet with a priest, or for any other reason.

Health & Safety Administration: Manage the online system for health & safety, coordinate the review and update of risk assessments for the office, house and grounds, organise training and briefings, monitor and re-stock first aid supplies, act as a health & safety marshal and organise staff appointed as first aiders and fire marshals.

Principal Tasks

Under the supervision and management of the Fundraising and Operations Manager, you will:

Office Operations

• Champion Microsoft 365 and provide support and guidance to staff in how to make best use of its capabilities.
• Oversee the performance and maintenance of our IT server and network, maintain regular contact with our IT services provider to ensure all issues are resolved.
• Maintain, service and replace office equipment and furniture as required, including IT and telephone systems.
• Monitor and order stock of office supplies, including stationery, cleaning and sanitary products.
• Oversight of office cleaning arrangements.
• Organise and promote recycling to staff for equipment and supplies no longer required.
• Oversee and develop systems for document filing and storage.
• Arrange for confidential disposal of documents in accord with the Charity’s retention policy.
• Oversee arrangements, equipment and systems for receiving and sending out post.
• Process monthly Charity ‘Response with stamps’ claims.

PA & Administration Assistance

• Assist the Regional Director with day-to-day IT and administration tasks.
• Assist the Columban Fathers with administration tasks, when needed.
• Assist with arranging parish appeals and processing the response to appeals.
• Support with direct mail and other fundraising activities.
• Update supporter records in our CRM database.
• Attend and take minutes at Charity meetings.
• Book travel and appointments for the Regional Director and the Columban Priests.
• Prepare and send correspondence by letter and email.

Venue Hire & Events Administration

• Develop a robust and efficient system for the hire and use of the facilities at St Columban’s, covering both external bookings and internal use by staff and volunteers of the Charity.
• Handle all enquiries and bookings.
• Maintain a bookings diary/calendar that is available to all who need access.
• Keep a complete record of all bookings, related documents and correspondence in our CRM database.
• Ensure hirers and users of the facilities are briefed in all matters related to health & safety.
• Ensure the facilities are clean and ready to use before and after each booking.
• Host or arrange hosting for each booking.
• Process payments/donations made for the hire/use of the facilities.
• Collect and record feedback on their experience from external hirers and users.
• Work with the Buildings & Maintenance Manager to maintain and improve the facilities.
• Advertise/market the facilities to agreed target audiences.
• Provide planning and administration assistance for events organised by the Charity.

Reception

• Welcome and host all visitors to St Columban’s during normal opening hours.
• Maintain a visitors log and ensure all visitors sign in and sign out when leaving the building.
• Handle enquiries by telephone and email.
• Process requests from Charity supporters to donate, request a Mass or to update their database record.
• Receive and keep a daily log of deliveries, collections and service/maintenance visits.
• Ensure the Reception area is kept clean and tidy.

Under the supervision and management of the Health & Safety Officer, you will:

Health & Safety Administration

• Maintain and update BrightSafe, our health & safety planning and records management tool.
• Maintain regular contact with Peninsula, our Health & Safety service provider
• Review and update risk assessments for the office and conference room areas.
• Prompt and assist those responsible to review and update all other risk assessments.
• Ensure actions identified following a review are completed and updated in BrightSafe.
• Check and restock First Aid kits.
• Recruit and organise a team of first aiders and fire marshals.
• Provide and monitor accident books for the whole site and keep a central record of accidents reported.
• Arrange training for staff and volunteers in liaison with their line managers.

Some weekend and out of hours work may be required occasionally.
