This is a new role within the Bereavement Support Service proactively engaging bereaved families with the support service, respond to bereavement support digital enquiries, working in a team to deliver and ensure anyone seeking advice and support on bereavement is given a high-quality service in a timely way.
The aim of this post is to provide consistent, high-quality emotional support via digital channels to bereaved families who seek support from the Lullaby Trust.
Main duties and responsibilities
1. Proactively engage bereaved families with the support service, respond to bereavement support digital enquiries, working in a team to deliver and ensure anyone seeking advice and support on bereavement is given a high-quality service in a timely way.
· Assist with the setting up of new digital channels to be used by the Lullaby Trust to answer and respond to bereaved families.
· To be the primary contact for the bereavement support digital services including WhatsApp, text, webchat and other social media channels.
· Proactively engage with bereaved families through social media and other online platforms.
· Ensure any safeguarding concerns are actioned in accordance with the organisations Safeguarding policy.
· Send materials to bereaved contacts, including bereavement packs and follow up emails and ensure all documents and databases are updated with each contact in line with the department guidelines, including Raiser’s Edge, Excel databases.
· Cover and answer the bereavement support helpline and online enquiries responding within the set guidelines and KPIs for the department.
· Ensure any messages on Bereavement Support Facebook Groups are monitored and advice is given via befrienders where appropriate.
· Attend face to face events for bereaved families including family days and memorial events when needed.
· Work with Income and Engagement Team around social media bereavement support content/posts.
2. Deliver and run live bereavement themed sessions on social media
· Run monthly live sessions on social media on bereavement topics/themes, responding to comments and messages during and after the sessions, ensuring anyone seeking ongoing support is responded to and referred to relevant services .
· Work with the Engagement Team to promote live session.
· Facilitate monthly remembrance sessions.
3. Ensure the bereavement support services are promoted to those bereaved and to professionals working with bereaved families
· Assist with the recruitment and facilitation of Bereaved Families’ Panel.
· Keep up to date with the bereavement support world including joining National Bereavement Alliance, Child Bereavement Network and research around grief and bereavement.
· Attend events as required to represent the Lullaby Trust’s bereavement support services.
4. Maintain accurate records throughout all services, complying with the organisation’s recording and reporting requirements
Maintain ongoing knowledge and training on the Lullaby Trust’s advice and the scientific knowledge behind this advice.
Collate statistics, as required on areas of work within the support services team.
Assist with the services’ evaluation and impact processes.
Provide other administrative support to the team as required.

JOB PURPOSE

OPERATIONS MANAGER - ROLE RESPONSIBILITIES
The Operations Manager is a key support for the church’s leadership and heads the staff team providing management over key operational and missional areas of the church’s activities.
This leadership role supports the ethos and ministries of the church and its mission to be a church for the community - discovering Jesus, sharing God’s love, and caring for those in need.
A vital aim for our church’s work in the local community is that our staff relationships, our Venue ministry, our Christian hospitality and how we use and share our building should all reflect God’s character - showing compassion, generosity, and kindness.
The role has a lot of different components, so we’re looking for someone who sees all aspects of this job as an expression of the church’s mission to proclaim the Good News and will facilitate and serve the congregation, the staff and the volunteer teams as they creatively explore ways to express our Christian ethos through the life and ministries of the church. This therefore requires that they are someone who has a mature Christian faith.
They will need to be a “servant“ leader who is mentally agile, energetic, able to schedule and prioritise, a good delegator, a team player, a quick learner and capable of taking initiatives, with a healthy understanding of self-care - we’re not looking for a “hero”, but someone who can work sustainability.
Leadership:
- Work closely with the church leadership team to support the trustees, staff and congregation in the development of church vision, ethos, mission and ministries.

Building Management:
- Support and develop initiatives that enable every aspect of the building's use, welcome and presentation to be missional.

- Coordinate with the Estate Manager to develop long-term maintenance plans for the common parts areas of the building.

Compliance and Legal Administration:
Provide effective management, administration, organisation, and compliance with UK laws, for:
- The maintenance of a safe and healthy working environment.
- Safeguarding, equality and inclusion.
- HR matters including safe recruitment, induction, training and employee development.

- Matters relating to Westbourne Grove CIO charity’s Trust Deeds, Constitution and Church Rules, and leasehold responsibilities.
- Requirements as a registered charity (CIO) including timely submission of reports to the Charity Commission.
- Develop and implement policies, risk assessments and safe working procedures and keep them regularly updated and reviewed. Ensure policies and safe working practices are adhered to.
- Provide adequate information, training and supervision to ensure employees and volunteers are competent to do their work.
- Lead in communications with the freeholder, the management company, the estate manager, and church tenants. Oversee any necessary legal input for decision-making and work closely with the WGC Trustees, and external organisations on decisions relating to the common parts of the building.
- Keep administrative records. Provide reports for the Trustees.
Administrative Services and Support:
- Provide administrative support for the Ministers. Develop and maintain administrative, organisational, communications systems and record keeping procedures for the church’s general administration. Maintain membership and constitutional records.
- Administrate the church's IT infrastructure, broadband, phone systems, and utilities accounts and ensure they meet the operational needs of the building and its ministries.
- Assist the Venue Manager to develop and maintain suitable and effective systems, strategy, pricing, communications, contract management, staffing and customer relations.
- Develop the church’s visibility and profile in the community using the church’s website, social media, ArtSpace, and missional displays and exhibitions, ensuring these align with the church’s ethos and mission.
Financial Oversight:
- Oversee provision of financial management information to Leadership team and Trustees, including budgeting, salaries, financial reports, end-of-year statements. Support them in developing financial strategies and policies.
- Oversee the accurate functioning of church financial systems, controls and procedures. Monitor and administrate reserves and investments.
- Ensure WGC's financial practices comply with UK charity regulations. Assist with the filing of the accounts and annual report to the Charity Commission.
Provide financial oversight, management, and support for:
- Venue ministry finances, pricing and strategy
- Finance Administration - ensure all financial records, payroll, pension administration, invoices, and reports are accurate and timely. Authorise payments.
- Manage the buildings budget including liaising with the Estate Manager regarding common parts expenditure.
- Financial interactions with lease and licence holders including new leases, rent reviews, break clauses and lease renewals, insurance contributions.

The role ensures the business centre is well-maintained, tenants are satisfied, and operational performance is continuously improved. Reporting to senior leadership, the Operations Manager contributes to strategic planning, drives efficiencies through systems and digital tools, and plays a vital role in sustaining high occupancy and tenant retention.
Role Responsibilities:
Centre Operations Management
- Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained, compliant, and running smoothly.
- Ensure the lettings process is well-managed and aligned with policies.
- Implement and monitor operational procedures to improve efficiency and service quality, including opportunities to digitise processes and services.
- Contribute to strategic operational planning and continuous improvement initiatives.
- Identify and resolve operational challenges in collaboration with senior management.
- Report regularly on KPIs, occupancy, operational issues, and budget status to senior management.
Building Maintenance
- Oversee the upkeep and preventative maintenance of the property, ensuring high facility standards.
- Manage and coordinate external contractors and service providers (e.g., cleaners, engineers).
- Monitor maintenance budgets and project timelines, ensuring quality and cost-effectiveness.
- Conduct regular building inspections and implement corrective actions as needed.
- Drive sustainability initiatives, including energy efficiency and waste reduction.
- Maintain and develop use of CMMS (MaintainX) to manage and record all maintenance work.
- Maintain the Visitor Management System and ensure it is used appropriately and consistently
Health & Safety
- Ensure compliance with UK health & safety regulations, including risk assessments and fire safety.
- Develop and monitor health & safety procedures tailored to the site.
- Organise relevant training for staff and enforce contractor compliance.
- Maintain accurate H&S records, incident reports, and lead periodic audits.
- Support development and execution of emergency response and business continuity plans.
- Fire safety responsibility (Fire Safety designated person)
Lettings and Lease Management
- Oversee the Assistant Lettings Manager and monitor the development and execution of the lettings process from enquiry to move-in, including viewings, negotiations, and onboarding and offboarding of tenants.
- Check we are maintaining up-to-date tenancy records,
- Draft lease documentation and ensure timely renewals and support the rollout of any rent reviews.
- Carry out twice-yearly audits of lease documentation.
- Maintain relationships with tenants to support retention and satisfaction.
- Monitor lease management by team, lease compliance and resolution of any lease-related issues.
Customer Service
- Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
- Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
- Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.
Financial Management
- Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
- Negotiate contracts with suppliers and service providers to secure cost-effective deals.
- Ensure tenant arrears are regularly monitored and managed.
Line Management
- Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
- Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
- Handle recruitment, onboarding, and offboarding of staff members as needed.
Essential Skills / Experience
- Bachelor’s degree or higher in Business Management, Project Management, or other relevant fields.
- At least 2 years’ experience in operations work.
- Previous experience in Lease management
- Excellent organisational and administrative skills.
- Desire to drive operational excellence.
- Line management experience.
- Experience of managing a building, property or facilities beneficial.
- High comfort level with online tools such as MS Office, project management software,
- or similar.
- Strong written and oral communication skills.
- Negotiation and customer service skills.
- Resilient and adaptable with ability to multi-task.
- Solution finder.
