Background to the role

Job description

Job Purpose

Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.

You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.

By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:

• Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
• Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively. 
• Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
• Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
• Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.

Key Tasks

Coordinate and implement processes that relate to our staff

• Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.
• Maintain accurate records of staff annual leave, mandatory training, DBS renewal, appraisals, and probation reviews and liaise with staff/managers as appropriate.
• Carry out workstation assessments as needed

 Premises

• Act as the first line of support for premises and facilities across all our locations.
• Maintain secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.
• Serve as the first point of contact for all health & safety matters.
• Help establish and maintain safe working practices and policies and undertake basic risk assessment
• Act as the first point of contact for equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.
• Managing relationships with facilities and other providers such as utilities, fire safety access, and cleaning
• Support the Director of Finance and Operations in developing and implementing a new premises strategy.
• Promote environmental awareness and encourage the charity in its adoption of a greener approach, e.g. recycling, energy use, carbon footprint reduction.
• Manage the two cleaners.

IT and systems

• Act as the first point of contact for IT and other technical support to staff, trustees and volunteers within the organisation
• Manage the relationship with our IT consultants to deliver contractual SLAs and policy updates.
• Coordinate IT stock purchases and monitor asset use across the organisation.
• Work effectively and efficiently with the outsourced ICT provider, Penelope
• Implement processes that maintain effective IT security.
• Assist in the onboarding and offboarding of employees, including software licences, logins, user processes, induction and IT systems training, and internal IT communication.
• Support the Director of Finance and Operations in developing and implementing a new ICT strategy.

 General

• To meet regularly with line manager for support, supervision and appraisal.
• To attend team and staff meetings, (and other meetings) as required.
• To undertake any other duties within the competence of the post holder as may be required from time to time for the continued smooth running of Age UK East London.

About the Role
Type: Full-time, 35 hours per week/ 24 months FTC

We are seeking a strategic and experienced Head of Internal Audit to establish and lead a new, independent internal audit function at MAP. Reporting functionally to the Audit & Risk Governance Committee and administratively to the CEO, this role provides high-level assurance on the effectiveness of MAP’s governance, risk management, and control frameworks across both UK and international operations.
 
As a standalone position, the role will shape MAP’s internal audit vision, lead audits across all areas of the charity’s work (including field visits to oPt, Egypt, and Lebanon), and play a critical role in safeguarding MAP’s integrity, transparency, and performance.

About You
You’ll bring: A relevant professional qualification (e.g. CIA, CMIIA, ACCA, ACA, CIMA)
Significant experience (5+ years) in internal audit or risk roles, with a track record of leading audits and engaging with senior leadership. Knowledge of UK charity regulation, compliance, and audit best practices.
Strong analytical, reporting, and influencing skills. Integrity, independence, and cultural sensitivity

The role:

• Responsibility for all aspects of the financial management of Greenpeace Environmental Trust (GET), a registered charity.
• Responsibility for the preparation of annual statutory accounts, annual report, and conducting the annual audit.
• Work with the Events team to ensure that the budgeting, financial control and management, and reporting of the Glastonbury Festival and all other festivals and events is conducted in an accurate and timely manner.
• Preparation of the annual budget and presentation to the board of trustees.
• Preparation of monthly management accounts and written finance report to trustees and other key stakeholders.
• Maintain accurate cash flow management and forecasting procedures to proactively manage all cash balances.
• Manage the grant-making process and account for all grant income received.
• Review restricted income, ensuring correct documentation is received and the restrictions are applied.
• Maintain policies and procedures ensuring compliance with all relevant legislation.
• Continually work to develop and improve the quality and usefulness of our reporting.
• Providing financial analysis, including trends and areas of opportunity or concern for budget holders and other stakeholders.
• Work with other Deputy Head of Finance and the programme co-ordinator to proactively improve all aspects of the financial management of the programme department’s activities in relation to activity funded by GET.

The successful candidate will:

• Be a qualified, or a finalist Accountant (ACCA/ACA/CIMA or other chartered accountancy qualification) or will be qualified by experience.
  • Proven experience of working in a finance function in a hands-on role.
  • Extensive technical knowledge of accounting principles and best practice, with reference to specific UK charity accounting rules and regulations.
  • Substantial experience of management accounting, budgeting, forecasting and reporting.
  • Experience of involvement in financial year-end and annual statutory audit.
  • Proven experience of delivering a business partnering-focused service and providing in-depth insight, analysis and guidance to budget-holders.
• Support and believe in the aims of Greenpeace.
• Have highly developed communication skills with credibility to operate outside the finance function up to senior management level.

First Give inspires young people to make a difference to causes they care about. We work in partnership with secondary schools, providing a fully resourced scheme of work that guides an entire year group of students to engage with local charities and causes, and then carry out social action (fundraising, raising awareness, campaigning, volunteering etc) in support of them.

Programme Delivery Officer role

We are seeking a motivated and enthusiastic candidate to join our Programmes Team as a Programme Delivery Officer. PDOs will be responsible for supporting and coordinating the delivery of the First Give programme in up to 50 schools, ensuring smooth running of the programme, plus providing guidance and troubleshooting for the lead teachers at First Give partner schools.

The role will be hybrid, with 3 days a week in our main offices in West Hampstead, London. Regular travel to schools across London and the South East will be required.

Key responsibilities

• Provide logistic and programme support to teachers delivering the First Give programme at their school, including but not limited to:
  • an introductory Programme Call with the Lead teacher;

  • troubleshooting via phone and email;
  • booking in First Give facilitated sessions
• Ensure all programmes are delivering all core elements of the First Give programme

Action for Refugees in Lewisham (AFRIL) are recruiting for a Community Activities Coordinator to join our growing, dynamic organisation. This exciting new role will sit within AFRIL's busy Casework and Advocacy Service, working collaboratively with our asylum seeking and recently granted refugee clients to plan and deliver a range of activities, improving wellbeing and community solidarity. 

We are looking for a good people person, able to engage and inspire others, who demonstrates a collaborative approach to working with a range of stakeholders and in particular AFRIL clients who come from a variety of backgrounds. The postholder will be highly organised, have good project planning and execution skills, and a good working knowledge of the issues affecting refugees and asylum seekers in the UK. Pre-Action Protocol letters to challenge unlawful public law decisions. The service currently provides Level 1 immigration advice under the Immigration Advice Agency.

• Destitution Support - a fortnightly Food Bank in partnership with St Peter’s Church providing food, food vouchers, toiletries, and other essentials, alongside a warm hub with free cafe, information and support. Small grants for essential items and cash payments for food in emergencies. Securing and distributing gifts in kind, e.g. winter coats, laptops and data. 

• Allotment of Refuge - a welcoming community of food growers that supports improved health, wellbeing and integration of members, whilst protecting the local environment. 

• Immigration Project in partnership with Southwark Law Centre, providing free legal advice and representation to support people to regularise their immigration status. 

We also use our frontline experience, together with our clients, to engage in Policy and influencing work to improve the services and policies that impact our client group. This includes advising the GLA on 3 asylum related working groups, and as a member of the London Housing Panel.

The Lead Coach is primarily responsible for overseeing the training room and group sessions with young people. You will help shape the training environment and will confidently adapt and deliver materials and sessions to work within the group’s development towards work readiness.

Delivery of Spear Programme - Group and 1:1 coaching [60%]

• Preparing and coaching Spear Foundation sessions and 1-1s, ensuring that young people are engaged, retained and work-ready by the end of this initial phase of the programme.
• Building relationships with young people on the programme and managing culture, and attitudes in the training room.
• Adapting the Spear coaching material according to the needs of the Trainees and managing behaviour effectively.

Delivery of Spear Career [20%]

• Delivering weekly Spear Career sessions (including running workshops with past Trainees), maintaining records and reporting on statistics, and creatively developing ongoing relationships with Spear Trainees.

Training the Asssistant Coach [10%]

• Contributing towards the training and developing of the Assistant Coach by modelling excellent coaching and giving regular feedback.

• Developing relationships with Job Centres and local referral agencies to ensure that the maximum number of Spear Trainees are enrolled on each programme. This involves liaising with referral agencies, active face-to-face recruitment and monitoring recruitment statistics.
