Job Purpose

This post will focus on the planning and delivery of excellent events which are an essential element of both the fundraising and programme strategy delivery and will report to the Director of Development. 

The post holder will also work with the Development and Programme teams, senior Foundation leadership, Trustees and as required The Royal Household Programme Team.

Fundraising: work with the Director of Development to deliver the annual event programme to showcase the Foundation’s work to a range of high level Foundation prospects and supporters, lead. These events serve the dual purpose of helping to recruit new donors as well as providing stewardship opportunities for existing supporters. They are an essential element of the tactical delivery of the Foundation’s Development Plan.

Programme: work with the Director of Development and Programme leads to deliver programme specific events that both deliver a key element of any programme and provide a vehicle for the Foundation’s leadership to engage directly with and support Programme delivery.

Working with a number of very high-profile individuals, discretion and professionalism are paramount.

Principal Accountabilities

  • Work with the Director of Development to provide input to the event programme conception and delivery, producing detailed event plans and budgets;

  • Take responsibility for a small portfolio of events, driving the event planning, delivery and follow up. Work with the Director of Development to manage the event budget;

  • Take responsibility for specific elements of delivery for the Foundation’s larger scale events;

  • Work with the Development Team to produce excellent event briefings to include biographies on attendees;

  • Produce event materials required;

  • Hold timely event reviews and record lessons learnt;

  • Work with the wider Development Team and Programme Teams to ensure timely follow up with event attendees;

  • Ensure accurate records of events are maintained;

  • Maintain excellent working relationships with the Royal Household members who assist in event delivery;

  • Assist with researching new venues, developing and maintaining excellent relationships with venue managers;

  • Liaise with venues to ensure external staff are fully briefed;

  • Work with the Development Director to secure event sponsors and maintain excellent working relationships with these individuals/companies.

  • Providing line management to the Events Officer.This includes managing and supervising the activities, allocating and supervising work, providing support and performance development.

Relationships (Internal and External)

The post holder will need to build strong relationships with the Royal Household (as appropriate), the Foundation’s Board of Trustees, key venue and event management companies, sponsors, and a variety of other stakeholders.

Internally the post holder will need to work closely with colleagues across the Foundation, but in particular with fellow members of the Development and Programme Teams.

Person Specification

Experience & Knowledge

  • Demonstrable experience of planning and management experience.

  • Experience of producing event materials and other collateral.

  • Experience of using Excel, PowerPoint and Outlook.

  • Experience of working in a busy office environment.

  • Experience of using a contact management database.

Key skills and Competencies

It is expected that the post holder will be educated to degree level/equivalent.

Practical Requirements

Available to work beyond standard hours and to travel in UK. Occasional international travel as and when needed.
