At Mosaic - Supporting Bereaved Children, we are clear that our mission is to enable children and young people who have lost someone very close to them to come to terms with their grief in a positive and caring way.  Our work transforms young lives and we'd like you to be part of this.

We are looking for a passionate individual to help tell our story to the local and wider community about what we are doing, and how we transform young lives. We provide counselling to more than 400 children and young people every year, and support many more families and professionals through our uplifting weekend activities, and education programmes.  This role -engaging, communicating, campaigning - is simply vital to our success.

 This is a new post for Mosaic so the individual will have a chance to shape the strategy, advise the CEO and Trustees about our communications and marketing, and be part of a friendly and highly motivated team of 13 (mostly part-time) staff, working on events and activities, fundraising, counselling, training and education.

What you will do

The role will involve:

Researching and adivising on how we best engage with our audiences such as our volunteers, families and other charities through different channels and approaches.

Creating a communications strategy which will strengthen our profile, and improve our website's content, look and feel to ensure more clarity about what we do, more reach and impact

Developing our social media content with the team, thinking about how young people use it and producing metrics on this.  Work with our young people, volunteers and others to create fantastic video content to show our impact.

Leading campaigns for Mosaic, driving impactful communication and building partnerships with the media and other organisations across Dorset to support our mission.

Be part of the team effort to create an overall five-year strategy for Mosaic as we grow, thinking about how we demonstrate our impact and the great relationship we have with schools and charity bodies across the county.

Create press releases and moments where we can tell everyone about the work we're doing, and supporting national campaigns on child bereavement.

To be successful in this role you will have:

Previous experience of working in communications, preferably with some marketing experience.

A good track record  of utilising a data-driven and goal-oriented approach to produce effective awareness campaigns

Experience of working with different  platforms, including Meta and TikTok.

Experience in analysing group to create tailored user-journeys

An understanding of media and confidence to engage with them at a local and regional level

FareShare is the UK’s national network of charitable food redistributors, made up of 18 independent organisations. Together, we take good quality surplus food from right across the food industry and get it to almost 11,000 frontline charities and community groups. The role

This important role sits within our Supply Chain and Logistics team, responsible for processing offers of surplus food from our food partners into our network of Regional Centres and the wider community. This role is essential in ensuring that the food we are offered reaches the thousands of charities and community groups we support across the UK.

The role is a combination of customer service provision and supply chain coordination with a strong data focus. You will analyse varied datasets to decide how food is distributed across our Network to ensure optimal and sustainable distribution. You will also be responsible for continuing and championing the high levels of customer service we provide to the food industry and our network of Regional Centres.

You will work closely with FareShare’s food suppliers, transport partners, and our Regional Centres to identify and overcome operational challenges to distribution. The successful candidate will also work closely with our Food Commercial team to ensure our food partners receive excellent operational support and customer service. We are continually evolving our processes and you will work within a culture of continuous improvement to improve operations within the team.

It is essential that you are passionate about our vision, ensuring that no good food goes to waste. We are looking for organised people who are good at multi-tasking and problem solving. Your time management skills will be exceptional and you will be comfortable working under pressure. Main areas of responsibility

Food Industry Customer Service

• Deliver excellent customer service, ensuring offers are responded to and processed within agreed service level requirements
• Work closely with the Food Commercial Managers, providing feedback and reporting on service issues and attending meetings and site visits as appropriate
• Assist Food Team with insight and feedback from food businesses, capturing key account information in our CRM system

 Regional Centre allocation

• Adhere to the requirements of the Network Service Level Agreement
• Work with the Supply Chain and Logistics Manager to match food supplied to Regional Centre needs, always working to maximise surplus redistribution and minimise waste 
• Ensure that offers are allocated in an efficient and timely manner according to network needs and agreed priorities to maximise social impact of surplus food
• Using our CRM system, maintain timely records of accounts, allocations, offers and case management
• Maintain high standards of customer service to the Network and Operations teams and develop respectful and effective working relationships with the Regional Centres.
• Build your understanding of our Network and your relationship with Regional Centres through a programme of regular site visits in collaboration with the Network Development Managers
• Work with the Network Development Managers and Food Supply & Services Managers to identify opportunities to maximise and grow redistributed food volumes

Logistics and transport

• Work with Commercial Managers and hauliers to implement best practice processes and reduce costs for FareShare whilst maximising acceptance of food
• Work with hauliers to plan transport requirements and ensure that we are able to meet network demand
• Work with Regional Centres to coordinate and plan routes for internal FareShare logistics
• Reactively solve transport issues throughout the working day

Data and Analysis

• Use FareShare PowerBI reports to ensure optimal product allocation within contract requirements
• Specify, build, monitor and analyse Salesforce reports to increase efficiency of allocation
• Use dashboards to monitor network issues
• Lead regional network agreement service level review meetings
• Report on data integrity issues to the Network Analyst

Team coordination and representation

• Support the Team providing assistance and cover when required e.g. during busy periods, annual leave and sickness to ensure an even spread of work across the team
• Support the training of new team members
• Represent the Supply Chain and Logistics team at network cluster and food category meetings
• Deputise for the Supply Chain and Logistics Manager when required
• Keep team process instructions up to date Project support
• Act as Supply Chain and Logistics team lead on cross functional projects as required alongside stakeholders including: retailers, funders, and strategic food partners

Essential Criteria

• An understanding of food insecurity and sustainability issues, and passion for the mission and values of FareShare

We are in the early stages of implementing our 10-year organisational strategy, ARUK: Towards a Cure. Sitting within the Chief Executive’s Office and reporting to the Project and Programme Manager, the Project Officer supports the scoping, planning, and delivery of strategic, cross-team projects and programmes. The post holder also supports the Project and Programme Manager in embedding project management best practice across the wider organisation.   

Main duties and responsibilities of the role:

Project Management

· Deliver key, strategic projects, as determined by the yearly Operational Planning process, working with project teams to develop flexible project plans that can adapt to change. 

· Manage project risks, decisions, and dependencies, liaise with third parties, and monitor project progress, ensuring stakeholders are updated at key checkpoints. 

· Lead project reviews to capture successes and learnings and ensure project outcomes are embedded into BAU.

· Maintain ownership of the Projects team intranet pages and project management resources, for use by colleagues across the organisation.

· Support the Project and Programme Manager on delivering the ARUK Project Management Masterclass.

What we are looking for:

Additional Information:

Ways of working: As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.

We are opening our first Youth Hub in Middlesbrough this summer. It is our intention to deliver open access youth services with a particular focus around food education, employment and food aid, by creating a training kitchen and cafe.

What will you be doing?

Ahead of the KFC Youth Foundation Hub opening you will be feet on the ground in Middlesbrough during the development of the Youth Hub to opening, supporting with the recruitment of youth workers and hub employees, engaging and recruiting young people and co-designing opening programming and the opening of the hub.

Service Delivery & Partnership

• Responsible for the management and preparation(s) of programme delivery - play and youth work and early help provision onsite, that meets the needs of children, young people and families including through direct and partnership delivery with third sector providers.
• Develop and maintain the support needed for a varied 7-day programme of term-time and holiday youth provision (open access and targeted); inclusive of sports, arts, cultural and recreational activity that promotes the development of physical and emotional well-being

The KFC Youth Foundation is the corporate foundation that was setup in 2015 and is financially supported by KFC UK&I. The KFC Youth Foundation is a charity.

Since its inception the KFC Youth Foundation has made donations and grants of more than £8m. In 2021 we became a community grant maker, offering grants of up to £2,500 to grass roots organisations working with young people in their communities. Main Purpose of the Role 

The main objectives of the Corporate Fundraising Manager role is to lead the Corporate Partnerships programme; sourcing, developing and sustaining funding partnerships with a wide range of companies. This is a senior and hands-on role.  You will take responsibility for developing and sustaining your own portfolio of corporate partners working with them to secure significant funds.

Main Areas of Responsibility 

• Implement a corporate strategy which increases income and the number of corporate partners to exceed targets and build the pipeline for future years.

• Provide line management support to the corporate fundraiser(s), including setting objectives, key performance indicators and carrying out appraisals. 

• Secure new business support from companies, taking a strategic and proactive approach to new business development.

• Develop creative and compelling new business pitches, presentations and proposals for a range of corporates including COTY applications, CRM, beneficiary events and cross organisational offers, working closely with the Director of Fundraising & Marketing.

• Develop a dense pipeline of corporate partnership prospects, with a potential focus on locally-based large companies as well as national organisations who consider local charity partnerships.

• Identify and secure opportunities through proactive relationship development and peer to peer introductions.

Specific responsibilities

Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.
• Work with the CEO to develop, coordinate and implement organisational policies throughout the Institute.
• Support the CEO with reporting to the Charity Commission/ Companies House and ensuring that the organisation’s charitable obligations are met. Work with external auditors to deliver the annual audits; and ensure that the relevant documentation is held in line with requirements, is available for external auditing, and the delivery of audit recommendations are tracked.
• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

• Have an excellent professional working relationship with colleagues to deliver corporate goals and objectives in line with iHV Vision and Values.
• Help at iHV conference and events, working with our Events Manager and overseeing the work of the Corporate Administrator to ensure that venues, travel, accommodation and materials are booked and delivered on time.
• To participate in all mandatory and individual training as required. To highlight their learning and development needs to the CEO on induction, at the annual PDR, and as needed, to ensure capability to deliver key role functions.

Person Specification

Qualifications (Essential)

• High level of numeracy, literacy, and IT skills.
• Degree in business administration or related field, or equivalent qualification/ postgrad evidence of additional training/courses undertaken.
• Programme Management qualification (PRINCE2, AGILE or equivalent).

Experience (Essential)

• Proven work experience as Operations/Finance Manager or similar role. Prior experience of strengthening organisational effectiveness.
• Significant experience of budgeting, financial management, contract management and forecasting.
• Experience of operational and staff management.

Experience (Desirable)

• Experience in the IT industry and/ or healthcare.
• Previous experience working for a membership organisation.
• Previous experience working for a charity.
• Experience of Charity Accounting

Skills, Ability, Knowledge (Essential)

• A self-starter with the ability to work on their own initiative, work within deadlines, managing multiple and competing tasks.
• Working knowledge and skills in the use of business and financial principles and systems.
