Pro Bono Community is seeking a Training and Volunteer Coordinator to help us achieve greater access to justice.
Pro Bono Community is a registered charity that has developed specialised training programmes for students, trainees and lawyers covering the practical skills involved in delivering free legal advice and areas of social welfare law. In conjunction with the training, the charity arranges and manages volunteering placements at Law Centres and other advice agencies. The charity’s activities include a number of grant-funded projects which the coordinator will be heavily involved in.

About the role
Pro Bono Community is looking for a Training and Volunteer Coordinator to help us run programmes aimed at improving the amount and quality of access to justice by training law students and others and then placing them to work as volunteers at advice agencies.
The Training and Volunteer Coordinator will report to and work alongside the Director to undertake work supporting the charity’s activities with a focus on recruiting and training students and lawyers and then coordinating volunteering placements for them at Law Centres and advice agencies. The role also includes administrative work relating to a pioneering digital advice clinic the charity runs in conjunction with a Citizens Advice agency in London.
This is a full-time role with a salary of £30-33,000 depending on experience and the charity is seeking to appoint someone with knowledge of training and the legal/advice sectors and/or experience in a similar role. Occasional weekend work may be required. The role will involve working from home with some travel involved to London and elsewhere in support of the charity’s activities. The role includes annual leave of 25 days and a workplace pension scheme.
Responsibilities
Training and General Administration
· Producing and printing publicity and training materials
· Maintaining databases, content management systems, websites, social media and other tools
· Dealing with enquiries, including those made via the PBC mailbox and telephone line
· Organising the location and timetabling of training programmes
· Liaising with trainers and others to facilitate training
· Attending training programmes and assessments where necessary
· Keeping attendance records
· Monitoring development of the training content and facilitating discussions between stakeholders/authors
Volunteer coordination
· Arranging volunteer placements with advice agencies
· Designing and implementing rotas for volunteering
· Managing PBC’s online volunteer portal and volunteer activity logs
· Monitoring attendance and feedback
· Reacting to problems arising from attendance and other issues
· Dealing with volunteer enquiries
· Liaising with advice agencies on volunteers’ performance
· Dealing with enquiries from advice agencies
Monitoring and Evaluation
· Assisting advice agencies to evaluate volunteers’ impact through focus groups, surveys and other research tools

Operations Officer (Internal role names: Scheduler, Response Coordinator and Volunteer Coordinator)
Time: 2.5 days per week (20 hours). Monday is an essential working day, the rest of the time can be worked flexibly within business hours.

In the Response Coordinator role, you'll manage all incoming enquiries via phone and email, ensuring timely responses and directing queries to the appropriate team member.
As Volunteer and Placement Coordinator, you’ll oversee the onboarding of volunteers and Music Therapy student placements, matching individuals to suitable settings, and handling DBS checks and references.
You’ll also contribute to ongoing improvements by sharing feedback and insights from your role to support the development of internal systems and processes.
Accountabilities
This role involves a range of duties that may vary week to week. Key responsibilities include:

Responding promptly to general enquiries from individuals and organisations via phone and email

Supporting the scheduling team with new referrals, service contracts, and opportunities, including liaising with Music Therapists and Community Musicians

Maintaining accurate and up-to-date records in our CRM system (Salesforce or similar experience is desirable), including logging communications and key information

Ensuring clear and consistent communication with clients, referrers, and partner organisations regarding referrals and enquiries

Creating and managing service agreements using Jotform

Assisting with assurance and compliance paperwork

Transferring referral data and supporting team members in keeping client records current

We are looking for a highly organised, efficient individual who can work independently and take initiative when needed. The ideal candidate will demonstrate empathy and sensitivity in all communications, with a warm and supportive telephone manner and the ability to write clear, compassionate email responses to clients and referrers.
Strong interpersonal skills and a collaborative approach are essential, as this role involves close interaction with colleagues across the team. An understanding of, or willingness to learn about, music therapy and the experiences of our clients is important.
Confidence using digital tools and systems is essential, as the role involves working with a range of platforms to support service delivery and coordination.

Your purpose
To deliver a high quality experience to schools in your region through expert relationship management and delivery of specific project outcomes: driving high levels of engagement, retention and renewal and enabling Voice 21 to have the greatest impact in each Voice 21 Oracy School.
Your responsibilities
Relationship management and Group Project delivery

Build and manage strong relationships with member schools and key stakeholders at all levels, across your region in order to add value to their membership, driving engagement, long term loyalty and ultimately impact in our schools.

Use your understanding of member schools in your region to create ‘wow moments’ across the membership journey (e.g. dropping in to meet with key stakeholders or setting up virtual networking opportunities).

Manage the delivery of group projects in your region, reporting to group commissioners or funders on progress.

Represent Voice 21 effectively to external audiences in meetings and events. Develop our regional network through events. Arrange & attend open mornings with current member schools and support with additional event organisation and delivery as required with support from product and events leads.
School journey and experience

Provide an excellent customer experience for member schools and key stakeholders (e.g. Local Authorities and Multi-Academy Trusts) from sign up through to renewal, acting as the first point of contact for your Voice 21 Oracy Schools.

Own the membership journey and school experience for your region, including the underlying processes, activities and comms that support membership.

Gain frontline insights from listening to member schools in your region - collect, track and analyse data about their patterns of behaviour and use these insights to improve their experience.

Use your understanding of our membership offer to support and guide schools in your region to access member benefits that best meet their needs, are most impactful for their students and steward them towards accreditation (e.g. use diagnostic tools to set action plans for the membership year and signpost to Voice 21 products, resources and events).

Bring together data (from our CRM system, our Programme team and impact and engagement monitoring) to understand and own the ‘complete picture’ of each school’s member journey in your region - use insights to manage and increase engagement; proactively share insights gained, internally (e.g. with the Programme team about attendance or school feedback) and externally (reporting to a group project commissioner or funder).

Own membership renewals in your region, helping the Engagement team to deliver our annual school renewal targets (70%+).
