Showroom Work Station is a registered charity and a cultural hub for South Yorkshire and the North of England. 

Located in a converted 1930’s art deco building, the venue is home to a four-screen cinema, creative industries business centre, event space, and café bar, in the heart of Sheffield city centre. 

We are looking to recruit new Trustees to join our board.  We are particularly keen to hear from anyone with knowledge and understanding of major capital projects, fundraising or the hospitality sector.  However, if you don’t have expertise in any of these areas, but still feel that you have something to offer, please still get in touch.  This is a unique opportunity to join a creative and passionate team and help shape the future of the organisation.

As a trustee you will oversee the operation of a major cultural cinema exhibiting a diverse film programme with first run and retrospectives of curated work, including archive, documentaries, and many unique one-off programmes with regular visiting filmmakers.  We are home to some very successful film festivals and host many unique events each month.

Through our trading subsidiary, we also manage the Work Station creative industries business centre, operate a successful bar/café, and conferencing facilities.

Our Trustees work closely with the Chair, Chief Executive and Senior Management Team to provide clear strategic direction to the organisation, helping to agree policy, define goals, set targets, and evaluate performance.

As with all our Trustees, we are looking for candidates who can demonstrate excellent communication skills and have a good understanding of local, regional, and cultural agendas.

Trustees are required to attend approximately 5 Board meetings per year (usually held on the last Monday of the month, 6 pm – 8 pm) and to offer relevant support and specialist knowledge to enable us to meet the objectives of our business. 

The post is not paid but all Trustees receive invitations to special events and have a weekly allocation of free cinema tickets (subject to availability).

 A wholly-owned subsidiary of the Quality of Life Foundation, QOLF Trading Ltd is a commercial entity whose purpose is to:

• provide income for the charity

• further the charity’s objects to expand the evidence base and promote best practice in the housing and development sector. 

The Role

The role of the Board of Directors is to set QOLF Trading Limited’s strategic direction, monitor the delivery of its objectives, and uphold its values and governance. 

For this role, we are specifically looking for someone with a commercial / consultancy background. The appointed Director will sit on the QOLF Trading Limited Board with the Foundation’s Director, Matthew Morgan, and at least one of the Foundation’s trustees. 

Key responsibilities of the Director:

• Set and monitor QOLF Trading’s strategic direction and business plans. 

• Monitor financial performance for sustainable growth.

• Approve and oversee annual budgets.

• Ensure legal and regulatory compliance, ensuring governance and performance are of the highest possible standard. 

• Manage risks, conflict of interests and internal controls.

• Assess and address conflicts of interest, ensuring QoLF Trading’s activities do not compromise the charitable status and reputation of QoLF.

• Represent QoLF Trading among key stakeholders, sharing its aims, findings and achievements to further establish its profile and business opportunities.

Commitment

About the role

We are looking for a Treasurer with experience of working with not for profits in setting strategic financial direction and it would be desirable if they have experience in complying with the regulations of the Charity Commission for England and Wales or similar regulatory bodies.

You would be joining our board at an exciting time, as we implement our new strategy, build on our campaigns and broaden our advocacy to mobilise greater support and achieve change. In line with this, we have built our model on realistic income forecasts, we plan to maintain the net unrestricted funds available, we are building restricted funding streams to fund our thematic priorities, we continue to align income and expenditure on 6 month, 12 month and 18 month time horizons and we carefully manage the commitment of our remaining surplus reserves.

Responsibilities of the Treasurer

In addition to the general responsibilities of a trustee (see below), the responsibility of the Treasurer is to maintain an overview of the organisation's affairs, ensuring its financial viability and that the organisation has policies and systems in place to ensure robust financial planning, implementation and reporting.  For example, by taking a lead role on behalf of the board in:

• Reviewing budgets, accounts and financial statements, and recommending them to the Board for approval

• Being assured that the financial resources of the organisation meet its present and future needs

• Ensuring that the charity has an appropriate reserves policy

• Ensuring that appropriate accounting procedures and controls are in place

• Ensuring that the charity has an appropriate investment policy

• Ensuring that the accounts are prepared and disclosed in the form required by funders and the relevant statutory bodies

• Ensuring that the accounts are scrutinised through external audits and internal reviews and that any recommendations are implemented

• Keeping the Board informed about its financial duties and responsibilities

Person specification

We are looking for someone with the following experience and capability:

All trustees need to have the following: 

• Understanding, or commitment to acquire an understanding, of the legal duties, responsibilities and liabilities of trustees of a UK charity. Acceptance of these duties, responsibilities and liabilities, and a commitment to operate within them.

• Good, independent judgement and the ability to operate at a strategic level.

• An ability and willingness to work as a part of a team and to support the staff team.

• Understanding and empathy with Family for Every Child’s vision, mission, values and beliefs.

In addition to the trustee person specification, the Treasurer needs to have: 

• Financial and business experience at a senior management or director level

• An understanding of the charity sector, for example an appreciation of the operations, accounting (including SORP) and legal framework in the UK

• Experience in complying with the regulations of the Charity Commission for England and Wales or a similar regulatory body

• Significant experience of financial management and strategy

• Some experience of charity fundraising is desirable

• The skills to analyse proposals and examine their financial consequences.

Desirable, but not essential requirements:

• experience of working with or on a board

• a qualified member of a recognised accountancy body 

• Experience of both local and international not for profits.

Time Commitment

This is a substantial and responsible role, and will suit someone able to commit about 18-20 hours three times a year. This includes about 18 hours a year for meetings (which are held on Zoom at a time which is most mutually convenient for attendees in different time zones), as well as time for reading and preparation. 

Board and committee meetings are three times a year, and there may be ad hoc meetings between the regular meetings. If the Treasurer also sits on the board of a subsidiary entity, there are additional three board meetings. In addition, trustees are requested to provide support and guidance to the CEO and other Secretariat staff on an ongoing basis. 

The initial term is a three-year period which can be reviewed by the Board..

However, to achieve our vision we need to find a way through a perfect storm of spiraling costs and increased demand, at the same time as income from traditional fundraising methods is diminishing and inflationary pressures are increasing. We operate two very successful B2B lottery partnerships delivering lotteries for other hospices and charities across the country. We have recently launched a new home care service in partnership with a national franchisor. We have a growing retail arm, with an increasing online presence. We also have a well-established and successful fundraising operation. We want to build on this success and diversify even further. The Role

The role of the Trustees is to set the organisation’s strategic direction, monitor the delivery of its objectives, and uphold its values and governance. The board will also guide, advise and support the Chair, who leads the delivery team towards achieving the Foundation’s vision and purpose.

Most importantly, we are looking for people who can contribute ideas and widen the perspective of our Board. We value the diversity of our learners and staff and are determined to reflect this amongst our Governing Body. We encourage people from a range of backgrounds and experiences to apply.

Most meetings are held in College. 

Please get in touch if you don’t feel you have the time to join the Board but would be interested in being co-opted to one of our committees. Co-option can provide an excellent introduction to voluntary governance roles. We are currently looking for co-opted members to join our Search and Governance Commitee, Resources Committee and Audit and Risk Committee.
