The Role:

The Office Manager and HR Admin will be responsible for overseeing onboarding, health & Safety and human resources functions pertaining to all employees. The role holder will also be responsible for maintaining the office space, administration and any related governance. This role will provide administration support to the Board of Trustees and act as Company Secretary to the Trust. 

Responsibilities:

Office:

• Develop and implement office policies and procedures to ensure smooth operations and compliance with company standards.       
• Ensure the office space meets all Health & Safety regulations, including correct up-to-date H&S information made available to staff via noticeboard or similar.
• Owns and maintains positive and productive relationships with property management and third-party vendors and is point of contact for the building management team in case of any issues and for building information sharing.
• Perform other administrative or office-related duties as required to support the effective running of the organisation.

Health & Safety:

•  To assume the role of the Health & Safety Officer.
•  Responsible for all Health and Safety matters, ensuring that up-to-date legal requirements are met and put in place to ensure the Charity meets the criteria for the yearly Health & Safety assessment.
•  Liaise with building management, contractors, and suppliers and escalate any risks or issues as appropriate.
•  Provide up to date information and documentation to the team confirming First Aiders and Fire Wardens, ensuring this information is kept up-to-date on SharePoint, in the office and relevant documentation
•  Attend training regularly as necessary in keeping with any new legislation.

Human Resources:

• Assist with the recruitment process, including posting job openings, scheduling interviews, and coordinating candidate communication.
• Create and maintain employee HR accounts.
• Onboard and offboard employees adhering to correct processes & procedures, ensuring payroll and benefits information is shared with respective external companies.
• Responsible for sharing all updates relating to new employee training and employment law updates.
• Responsible for ensuring correct relevant policies are in place and filed away correctly.
• Working alongside the legal team to instigate and resolve any employment disputes.
• Responsible for the Charities' insurance renewals & cost reviews, ensuring adequate cover is always in place.
• Keeping up-to-date with employee benefits, reviewing the team’s needs and providing a plan of any recommendations.
• Managing the in-house learning portal and ensuring all employees training is up to date and relevant.

Company Secretarial:

• Administrator to the Board of Trustees.
• Field and action all incoming emails relating to the Charity Commission and Companies House.
• Provide support to ensure all submissions are made ahead of deadlines and recording of tasks in the allocated SharePoint areas.
• Coordinate and schedule all Trustee meetings ensuring all documents are returned ahead of deadlines.

Skill set requirements:

• Proven experience as an Office Manager or similar senior administrative role.
• Excellent organisational and multitasking abilities, with a keen attention to detail.
• Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) SharePoint and other relevant software applications.
• Knowledge of HR processes, resourcing, and Health & Safety regulations is desirable or the willingness to train in these areas.
• A proactive and adaptable approach to problem-solving and decision-making.
• This role requires a proactive individual with excellent organisational, communication, and leadership skills.
• Flexibility to work occasional additional hours as business needs require.

As well, as our Family drop-in, we run the monthly 'Rainbow' Group.LGBTQI+ asylum seekers in the UK face the same challenges that most asylum seekers face in the UK. In addition, they face further challenges since their sexual orientation WLS opens its doors once a month to provide a safe space for LGBTQI+ asylum seekers to feel a warm community welcome, to build community together, and to receive vital support whilst living in poverty awaiting a decision on their asylum application.

What you’ll do – the key responsibilities

• Support with, and at times lead the production of documents and communications for internal and external audiences, for example event invites, guest lists, handbooks, letter templates and agendas. The Role:

As a member of the Work Experience team, you will play a key role in facilitating meaningful work experience placements for young people in Tower Hamlets. In this role, you'll work closely with local employers in Tower Hamlets and the City of London to support them in delivering engaging placements.

Responsibilities will include actively recruiting and onboarding new employers through phone calls, online meetings and carrying out on-site health and safety checks. In addition, you’ll support the Work Experience Manager in delivering school-based sessions, such as assemblies and Q&A drop-ins, to help prepare young people for their placements. About the role

The DAPO Project Manager will work closely with the DAPO Programme Manager and SafeLives Finance Manager to support the successful delivery of the programme and maintain effective commissioning relationships with service providers across each pilot area. The Advice Services Manager will take the lead on BIAS’s day-to-day advice services, managing a small team of welfare and housing advice specialists to ensure that we provide the highest-quality service to our clients. You will need to have experience of delivering front-line benefits and/or housing advice, strong people skills and the ability to build good working relationships with staff and clients, along with excellent organisational abilities to ensure that casework and projects are delivered on time.

In 2025, BIAS is expanding its successful Brent-based welfare and housing advice service into Haringey borough. The Advice Services Manager will work closely with the Operations Manager to build and develop the new advice service in Haringey, ensuring that we replicate our excellent quality of service, strong record of positive outcomes and loyal client base.

This role will also involve working with the leadership team to help identify areas for future development and support grant applications and reporting, which will give you the opportunity to have a direct impact on shaping the organisation’s future strategy and direction.

KEY WORK AREAS AND MAIN DUTIES

Staff management

• Managing a small advice team, ensuring the quality of the advice provided.

• Leading on monitoring service delivery, recording outcomes and ensuring efficient allocation of resources.
• Managing all aspects of risk relating to advice delivery, complaints handling, safeguarding and GDPR.

Operational support

• Working with the leadership team as required on operational matters, including planning, strategy for future development and grant applications and reporting.

These are the basic duties required of the Advice Services Manager. However, it is necessary for all staff to be flexible and you may be required from time to time to perform other reasonable duties which are required for the efficient running of the organisation. We will also offer training opportunities to support your career development.

Candidates must be eligible to work in the UK. This role will be based in our advice offices in Willesden and Haringey[1] but there may be some options for flexible working (i.e. one or two days per week).

BIAS is a local charity which has supported England’s largest Irish community in Brent for over forty-five years. We deliver our support through our welfare advice drop-in service, our active ageing clubs and our Be-a-Friend volunteer scheme. We raise over £2 million in extra income for the most vulnerable every year and have over 3000 attendances at our club services. Winston’s Wish is a digital first organisation leading the way in Digital Transformation across the Bereavement sector. We have an exciting opportunity to join our ambitious Mass participation team as our Individual Giving Manager.  This role plays a vital part in helping Winston’s Wish turn up the dial across our Individual Giving Fundraising. The Individual Giving Manager is responsible for creating, developing and delivering a fundraising plan to grow existing and new support for Winston’s Wish across our online and offline channels. This includes Direct Mails, Regular Giving, our Lottery, Legacies and In Memory giving income streams.

As the driving force behind our individual giving activity, you will help us to engage individuals across the country by bringing them closer to our work, encouraging them to stay longer, give more and become true ambassadors for our vital work with grieving children, young people and families. MAIN RESPONSIBILITIES

Strategy

• Lead on the development and implementation of our Individual Giving strategy, supported by the Head of Mass Participation and the Director of Fundraising & Marketing.
• Ensure all opportunities and future plans are in line with Winston’s Wish’s over-arching fundraising strategy to meet financial targets, organisational objectives and KPIs.
• Maintain an awareness of philanthropy trends, news, events and legislation in the UK to ensure that Winston’s Wish remains up to date on key changes which are likely to impact on individual giving.

Generating Individual Giving Income

• Lead on and deliver a plan to increase individual giving income from streams including, but not exclusive to, direct mail, regular giving, legacies, in-mem and our charity lottery
• Effective use of KPIs to ensure decisions are driven by evidence and real-time data.
• Continuously analyse our income and supporter data to measure effectiveness of activities and return on investment.
• Work alongside our design agencies and in-house marketing team to develop and manage direct mail campaigns, including segmentation to ensure campaigns will be carefully targeted and designed to maximise income.
• Explore and test new methods for donor recruitment and increasing donations.
• Seek every opportunity to increase awareness of legacy giving to Winston’s Wish and monitor the effectiveness of these activities over time.
• Manage a growing portfolio of legacy enquirers with appropriate contact and timely solicitation of prospective legators including hosting events and tailored stewardship.
• Manage the stewardship and development of our regular giving programme including uplift campaigns and solicitation of new donors to agreed targets.
• Work alongside the wider fundraising team to ensure effective cross-selling of individual giving products and vice-versa identify opportunities to introduce other fundraising products to our individual givers.
• Identify supporters who could provide compelling content which could be used by the wider Fundraising & Marketing team to inspire further support including suggesting key individuals who could feature in online and offline publications.
• Work with the Philanthropy & Partnerships Manager to ensure that potential major donors are identified and included in relevant activities.

Administration

• Diligently maintain records of all interactions with supporters on Salesforce.
• Ensure all activities comply with appropriate legal, regulatory and fundraising good practice and with Winston’s Wish policies and standards.
• Keep a close eye on incoming donations to ensure they are coded correctly and that supporter data is accurately recorded in accordance with GDPR.
• Effective management and control of expenditure across all projects and campaigns in line with agreed expenditure budgets.

Role Overview

You will be responsible for creating high quality, engaging and original content for various channels, including reels, carousels and posts for Instagram, Facebook and LinkedIn. You will be keen to develop and establish new communities on other channels as the social media landscape changes.  Translating the work of our grassroots partners and GFC staff into powerful social media narratives, you will produce content that is aligned with our mission and ensure that we are maximising the potential of our digital channels to grow our supporter base and build a growing global movement.

You will collaborate with graphic designers, videographers, various digital agencies and colleagues around the world on a daily basis in undertaking your role coordinating campaigns and our daily social media schedule.

You should have a passion for staying up to date with industry trends and innovations, a track record of creating content aligned with cultural moments and a knowledge of how popular culture can drive social change. You will be skilled in producing viral content and driving actions and donations through social media.

To that end, you will also play a role in building relationships with our growing network of Global Ambassadors who use their networks and influence to raise the profile of our work and inspire their communities to take action. You will also provide support in managing relationships with our Global Ambassadors and other key influencers to maximise content opportunities and community building.

Position Responsibilities

Social Media Management and Digital Content Creation

• Support the execution of an integrated strategy for our social media channels including leading on content planning and creation, posting and analysis.
• Staying on top of trends and learning from analytics to create compelling and engaging content that meets agreed KPIs.
• Develop and produce high-quality multimedia content for various platforms, including social media, websites and email campaigns.
• Edit raw footage into finished videos using industry-standard software, ensuring alignment with brand guidelines.
• Support on digital ads delivery.
• Support in managing relationships with digital agencies.

Email Marketing

•  Act as social media content lead for major campaigns and fundraising activities
• Recommend and execute social media strategies to achieve fundraising and campaign objectives and KPIs. 
• Support the delivery of the Marketing and Communications team email marketing programme to meet agreed open and click-through rate KPIs.
• Support the team to build, design and send acquisition and retention emails using the email distribution system (Pardot).

Global Ambassador and Influencer outreach and support

• Lead on delivering the Global Ambassador engagement strategy and influencer engagement activities.
•  Support the cultivation of existing and new influencers and Global Ambassadors. Work across teams to coordinate asks/outreach and ensure relationship managers are briefed and supported to deliver cultivation plans.
• Work with colleagues across the organisation to identify new potential celebrity supporters and influencers, develop one-pagers and coordinate sign-off process and develop recruitment plans to bring them on board.

Project management

• Lead and co-lead specific digital campaigns and projects throughout the year.
• Manage and catalogue digital assets (photos, case studies and videos) and upload them to digital asset management system.
•  Along with your colleagues, make sure that ‘Safer Communication’ and safeguarding are at the heart of all our asset collection and creation. Undertake your work in line with the safeguarding policy and best practice for marketing and communications work.

Terms and Conditions

Salary: This role is open to candidates from any location. If the candidate is based in the UK, the salary will be c. £50,000

Terms: Full-time contract, home-based with attendance from time to time at the UK office in central London when necessary or requested to deliver work plans. 

Weekly hours: 35 hours per week

Flexible Working Location: This position is open to candidates from any location, but you must be able to collaborate easily, on a daily basis, with key colleagues (currently UK, Spain, Kenya) in the Marketing and Communications team.

Carers Centre Tower Hamlets (CCTH) is a small, committed organisation dedicated to supporting unpaid carers through a variety of specialist services, from social and therapeutic activities to emotional, mentoring, advocacy, and signposting support. We aim to enrich and empower unpaid carers’ lives, providing them with the support they so selflessly give to others. We are now recruiting to our team someone who will lead on our work to support Carers as part of the Barnsley Street Mental Health Project. 

Project Overview:  

The Barnsley Street Project is a Community Mental Health Pilot aimed at delivering continuous, person-centred mental health care to underserved populations in PCN1 (Bethnal Green). This initiative is a collaborative effort between East London Foundation Trust (ELFT), Tower Hamlets Mental Health Alliance (THMHA), and the Look Ahead Housing Association. Driven by the voice of lived experience, the project is designed to address the systemic gaps in mental health services, particularly for marginalised communities.  

Purpose of the role:  

To identify and coordinate an effective support service for unpaid carers who support residents who access the Barnsley Street Project, with the aim of supporting carers to have their needs met as well as develop a healthy and sustainable caring role.    

To facilitate access for unpaid carers in the Barnsley Street Project to appropriate support services, both statutory and voluntary. To provide comprehensive support and information to families and carers. To raise awareness of carers’ needs with professionals in the project environment and contribute to carer friendly policies.   

The post will involve the direct provision of services, referral to and between services, collaborative work with other local agencies and outreach work. The post-holder will provide advocacy, referral, and ongoing practical and emotional support to unpaid carers through individual and group work.    

Responsibilities: 

• Identification and Support: Proactively identify carers of residents who utilise the Barnsley Street Project, and provide them with tailored support, ensuring their well-being is prioritised. 

• Information and Guidance: Offer information about available resources, support services, and community networks to assist carers effectively. 

• Communication Liaison: Facilitate communication between clinical staff and carers, ensuring they are kept informed about the patient's condition, treatment plan, and any discharge process. 

• Emotional Support: Provide compassionate emotional support to carers, listening to their concerns and offering a caring presence during difficult times. 

• Training and Education: Organise workshops and peer support groups to equip carers with essential skills for their caregiving role. 

• Advocacy: Advocate for carers' needs and rights within the setting, ensuring their voices are heard and respected. 

Requirements: 

• Previous experience in an advice or support role within a mental health or healthcare environment is preferred. 

• Empathetic and compassionate nature, with a genuine commitment to supporting carers during challenging times. 

• Excellent communication and interpersonal skills to engage effectively with carers, hospital staff, and external partners. 

• Ability to work independently and as part of a multidisciplinary team, managing priorities efficiently. 

• Proficient in using technology, including email and Microsoft Office suite.
