Job Title: Grants Support Executive

Working hours: This is a full-time post for 35 hours per week, on a permanent contract based at the Charity’s Office in Victoria, London. (The Charity currently operates a minimum of 2 days in the office).

The Role

You will provide administrative and operational support across the grants function, including coordinating committee meetings, supporting grants officers, managing assurance visits, and helping to develop reporting systems. This varied role involves close collaboration with colleagues and partners to ensure funding is well managed and impactful.

Key Responsibilities

Key Responsibilities

Overview

At Operation Smile UK, we work with global colleagues to improve the lives of those living with cleft conditions around the world – by providing surgery and comprehensive care services to patients and strengthening health care systems in the countries where we work. Operation Smile UK’s Partnerships Team works to maximise high-potential income channels such as corporate partnerships, major donors and trusts and foundations. The Partnerships and Philanthropy Officer will play a key role in the team securing critical income from global and national corporate partners and from our network of committed community fundraisers.

We are looking for a candidate who thrives on building relationships – with partners and with colleagues in the UK and around the world. You will be a brilliant communicator, someone who can juggle multiple priorities and inspire people to believe in our story. Ideally, you will have at least a year’s experience in a relationship management role (in a commercial or fundraising setting), and a particular interest in international development. MAIN DUTIES AND RESPONSIBILITIES

Corporate Fundraising

· Take the lead on managing a portfolio of small and medium corporate partners - taking responsibility for all aspects of these partnerships, including communication, staff activities, events, reporting, income collection and acknowledgements

· Provide support to the Senior P&P Manager in activities relating to OSUK’s global corporate partners through managing employee-led activities across the portfolio.

· To manage and develop new initiatives for employee engagement and community participants

· Support on new business acquisition, specifically in creating new avenues for income generation through existing partnerships.

· Responsible for managing inbound enquiries relating to corporate partnerships

· Lead on producing corporate-related social media and communications content

· Maintain orderly upkeep of all relevant records and databases

Community Fundraising

· Lead on the handling of all inbound community fundraising correspondence, including donations received, merchandise and speaking requests

· Develop a strong understanding of fundraising platforms such as Just Giving and Enthuse, maintaining their upkeep and reconciliation with Operation Smile's financial and reporting systems

Additional Responsibilities

· Expand your understanding of Operation Smile’s programmatic work globally, of cleft lip and palate conditions, health system strengthening and the global surgery sector

· Support other areas of the Partnership Team’s work, including events.

Key Responsibilities

Information, advice and guidance:

• Work one-on-one with adults and children with a visual impairment and their carers/ families, providing a comprehensive initial assessment in a person-centred, empathetic, and empowering manner.
• Provide internal and external referrals and deliver follow-up actions to enable maximum wellbeing for service users.
• Manage incoming and outgoing referrals internally and with a wide range of external providers, communicating promptly to manage cases effectively and safely.

• Work with team members and volunteers to maintain accuracy of the Vision North Somerset service user database, including collecting data permissions and equality monitoring information from service users during visits.

Local networking and knowledge:

• Develop and maintain knowledge and resources on relevant services offered by organisations to people in North Somerset. Work with the Administrator to maintain records on online files and paper files (for example service leaflets).
• Occasionally attend local meetings, arrange meetings with staff from key local organisations or represent Vision North Somerset to develop mutual knowledge of local services.

Youth Participation Officer

Fitzrovia Youth in Action is looking for an experienced, passionate and enthusiastic person for our Youth Participation Officer role. If you feel like this is you, we would love to hear from you!

The post holder will manage and develop youth-led community projects in which young people develop their leadership and employability skills through becoming actively involved in their community and participating in self-directed community action. The successful candidate will oversee the development and delivery of several youth-led community projects, primarily the organisation of youth-led community events, but might also include elements of other youth-led activities, such as youth action team, health champions and ambassadors. 

For example, typically, this would involve working with groups of around 10 young people in each cohort and support them to deliver their community event project over a 12-week period.  Examples of events include youth-led football tournaments, street parties and our community Christmas dinner. This post will be part of the delivery team overseeing self-directed community action projects. The post holder may also support drop-in sessions and other activities aimed at engaging young people and referring them onto the youth-led community action programme.

What the job involves

We’re looking for a Healthcare Improvement Officer to join our Improvement Programmes Team and help us deliver exciting initiatives that support healthcare professionals to improve prostate cancer services across the UK. Examples of projects supported include work around establishing better Active Surveillance so that more men can avoid unnecessary radical treatment; work to restructure and make faster the diagnostic pathway; work to coordinate with primary care and support earlier diagnosis; new surgical procedures that spare men the burden of incontinence. As Healthcare Improvement Officer, you’ll play a central role in making sure our programmes run smoothly and have maximum impact. You’ll oversee on the logistics and delivery of events across the UK and online, from our Clinical Champions Programme and Clinical Advisory Group meetings to our annual healthcare professional conference. You’ll also oversee recruitment for programmes, manage databases and monitoring systems, and handle financial processes such as invoices and purchase orders, ensuring everything is delivered on time and to a high standard.

Your work will range from planning and scheduling programmes, to procuring resources, preparing materials and helping to facilitate sessions so that participants are fully supported in their learning. You’ll also contribute to quality improvement project development and coordination, working with teams across Prostate Cancer UK to share good practice and expand the reach of our initiatives.

Engagement will be a key part of your role, from maintaining webpages and digital channels to supporting our alumni network through newsletters, communications and opportunities for continued involvement. You’ll help manage our online Clinical Champions learning hub and, with training provided, will also have the chance to coach and mentor clinicians using Insights Discovery (a psychometric tool helping people understand their own and others' behavioural preferences and communication styles).

What we want from you

We’re looking for someone who’s highly organised, comfortable working with people and able to keep several projects moving at once. Strong communication skills are essential, both written and verbal, with the ability to adapt your style to suit different audiences, from clinicians to colleagues across the organisation.

You’ll bring experience in event planning and support, along with project coordination, and you’ll be comfortable managing webpages and creating online content. The role involves building and maintaining strong relationships with a range of stakeholders, including healthcare professionals, colleagues and senior leaders, so collaboration will be second nature to you.

An understanding of the healthcare and/or charity sectors will be valuable, as will experience in presenting and facilitating discussions. You’ll also need excellent organisational skills, with the ability to prioritise effectively when things get busy.

About the role

Fundraising plays an important role in the sustainability of The Brilliant Club, and this is only set to grow in our next strategy. The Fundraising Officer will be responsible for building relationships and creating excellent experiences for a portfolio of supporters and prospective supporters, to help us over raise over £1.4 million each year.

Supporters will be mainly Trusts & Foundations, but also some corporates and individuals. The role will include writing applications for funding, renewing existing partnerships and writing compelling funding reports. The Fundraising Officer will also be responsible for tracking the charity’s fundraising using our databases and CRM system, and for our ambassador programme.

The successful candidate will have experience working as part of a fundraising team, or have transferable skills from a similar external-facing role. We are seeking a new Finance and Administration Officer following the retirement of a long-serving team member. A key member of the SLA central office team, the Finance and Administration Officer plays a vital role in ensuring smooth financial operations and providing essential administrative support for our membership. This role is responsible for maintaining accurate financial records, book-keeping and effective day-to-day financial operations, producing financial reports using our CRM (IMIS) and XERO, in addition to administration support.

You will be experienced in financial and administration operations of a charity or similar , with an AAT qualification or matching worked experience. Familiarity with XERO will be an advantage. You will be able to bring understanding of cashflow and financial analysis of figure, working with accountants as required.

You will also have excellent customer service skills and be able to work effectively with all stakeholders from our members, to funders to suppliers. You will be determined and have an excellent eye for financial and administrative detail. Your duties will include general administration and:

Financial operations and record-keeping

• Manage day-to-day financial transactions and maintain accurate records of all SLA accounts and petty cash; book-keeping
• Process and record all incoming payments, including foreign cheques (into bank account)
• Monitor cashflow and expenditure, keeping track of spending
• Pay invoices upon approval and ensure timely monthly payments (e.g. pensions, HMRC)
• Handle creditor and supplier communications and resolve related issues
• Monitor and follow up on overdue payments with a focus on membership payments

Invoicing and income tracking

• Issue and track membership and subscriber invoices and reminders
• Keep office team informed of payment statuses
• Prepare sales, cost, and profit reports for SLA publications
• Conduct annual publications stock take

Payroll and reporting

• Liaise with the accountant on salary payments; process salary BACS payments
• Support year-end financial reporting by providing necessary documentation to accountants
• Produce regular financial reports and analysis as required

• Manage financial aspects of SLA events, particularly the annual conference (e.g., exhibitors, sponsors, and delegates)

To be successful in this role you should demonstrate:

About The Role

As the Progressions Officer you will work closely with the Regional Programme Lead in the Leeds area, taking care of programme related administration, delivery of training, and supporting the progression of individuals from recruitment through to employment. You will assist with 1-2-1 mentorship and employability training, ensuring trainees are supported and nurtured through training. You will support the Programme Lead to engage and recruit trainees onto our programmes working in partnership with the local community, and in ensuring trainees successfully complete their work placements. You will support wider organisational tasks such as communicating with trainees, ensuring monitoring forms are completed and keeping our internal systems up to date with trainee information. Safeguarding, monitoring and reporting are essential to this role.

Key tasks

• To support with employability training and mentorship of trainees (including CV coaching and interview preparation)

• To efficiently and professionally manage inbound enquiries and communicate effectively with Well Grounded trainees and colleagues

• To complete all required data capture and input for funding and internal learner management, including use of the Aptem learning platform

• To input and maintain monitoring and evaluation information, attendance, personal development, outcomes and sustainment and to produce reports as required

• To support the recruitment of trainees on to our various coffee training programmes through a range of means, including attending recruitment events, conducting calls, and running assessment days

• To ensure trainees are supported on and through programmes

• To support the programme coordination of regional training programmes

• To lead on project administration tasks working closely with the Programme Lead

• To lead on administrative tasks such as mailing lists, Eventbrite invitations and other ad-hoc tasks as required

• To lead on the promotion of Well Grounded to potential trainees and clients

• To be an Ambassador for Well Grounded, attending recruitment and partner-related events

• To attend staff meetings to ensure all staff are kept up to date

The charity is currently in the discovery phase of its CRM project, to deliver its future Dynamics 365 CRM. The new Dynamics 365 CRM will be at the heart of the charity’s success, to deliver excellent supporter data quality for its fundraising and communication campaigns to supporters.

Reporting to the Director of Fundraising, and collaborating closely with the Head of IT, CRM Project Manager and Data Analyst, the CRM Manager shall be a vital and visible role, fundamental to the charity’s fundraising success, to further its vision of a world where every horse is treated with respect, compassion and understanding.

Through your proven Dynamics 365 CRM skills and experience, you will also lead on the charity’s CRM business processes and data quality, collaborating with fundraising, communications, IT and finance stakeholders, colleagues and third-party suppliers.

This position is based remotely. But you must be a resident of the United Kingdom with all the necessary legislative ‘right to work’ documentation. You will be required to attend the charity’s head office located in Norfolk a minimum of 6 times per year and this will be at your own expense for travel and accommodation.
