Administration
You will support the whole organisation with a range of administrative tasks which will include:
· Completing minutes for key meetings.
· Processing of Expenses on behalf of the Senior Leadership Team.
· Arranging room bookings both internally and externally.
· Support with co-ordinating organisation wide meetings i.e., monthly staff meetings, away days, including booking venues and arranging catering.
· Supporting with governance committee cycles, preparing documents and reports as required.
· Support with the administration of our grants programme, including preparing and issues letter to grant applicants as instructed, updating and maintaining grant budget spreadsheets.
· Inputting data into relevant systems accurately and in a timely manner
· Dealing with enquiries from patients, donors, supporters, service providers and volunteers as required in a timely and effective manner.
· Provide general administrative support to the wider team as required.
· Taking donations in any of the Weston Park Cancer Charity locations
You will work on time limited ad hoc projects, which could include:
· Creating and implementing new processes, including building templates / documentation / matrixes.
· The build-up to / during and/ or after a campaign / or event.
Cover Support
You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:
· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.
· Dealing with telephone, email and postal enquiries across the organisation
· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.
· Booking in and logging patients onto the relevant records and databases to provide accurate data.
· Sending appointment reminder calls/texts/letters to clients as required
· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.
· Managing the consumables within this patient space and ordering replacement stock as and when required.

A new project to support survivors of Domestic Abuse named 'SAFER' means we have a vacancy in the Administration Team. Undertaking a range of administration tasks to support the Kent Team in their day to day operations helping people affected by crime. Shelter Sheffield provide housing advice and support to people across the city with a focus on emergency homelessness, intensive support for children and families, people experiencing domestic abuse and people with multiple and complex needs. We take a holistic approach to help people deal with interrelated issues that can impact their ability to keep a home and help over 5000 people a year while also working to change the underlying systems that cause the housing emergency.

You will be the first point of contact for in-person and telephone callers to the service - taking client details, providing information and working with advisers to direct enquiries to the right people.
You’ll provide administrative support and have responsibility for designing and developing office systems and processes, data input, extraction and analysis and finance administration. Our mission is to help children and young people have a fair chance to be who they want to be. We do this by providing a safe home, increasing life skills and self-confidence, and improving emotional wellbeing and mental health.
is led by YMCA DownsLink Group in partnership with Sussex Partnership Foundation Trust / NHS. The CYP Wellbeing Service works with children and young people aged 2 -24 who have mild to moderate mental health difficulties. We provide therapeutic interventions such as counselling, CBT, groupwork and family work to children and young people across Brighton & Hove.
We are seeking a Wellbeing Service Administrator to join our committed CYP Wellbeing service based in Brighton & Hove. In delivering the role, you will provide efficient administrative and organisational support to a high standard for YMCA DownsLink Group, The Wellbeing Service and YMCA Dialogue Therapeutic Services, supporting the team of counsellors and therapists. You will be part of a dynamic team, tasked with supporting on all aspects of the administration of service delivery and be flexible in providing support to adapt to the requirements of the service, including working on reception at our Hove sites.
This role is based on site, working from various YMCA DownsLink Group sites when required within the Brighton & Hove area, with a working pattern between Monday and Friday, working pattern detailed below:
Monday 12pm - 8pm, Tuesday 12pm - 8pm, Wednesday 11am - 7pm, Friday 10am - 6pm

You will already have experience working in a busy and varied administrative role and competent in using software packages (MS Office applications). You will be an effective communicator at all levels with both colleagues and external partners, a strong team player, with the ability to self-motivate, work using your initiative and prioritise your workload. You will be able to be responsive, whilst managing the expectations of professionals, young people, parents, and carers accessing support. You will appreciate the need for an eye for detail and have demonstrable experience of data entry/collection, creating reports and competently receiving and effectively dealing with telephone calls from service users, parents and carers and professionals.
In addition, you will have a basic understanding of external environment in which the YMCA DownsLink Group operates and some knowledge of the services provided by the Wellbeing Service.

Experience working as an Administrator is essential. You’ll need to be proactive and adaptable, with excellent communication, administration, finance and minute taking skills and experience, along with experience of completing contract management data reports.
As an Administrator your role will include:
- Dealing promptly with the issuing and payment of invoices.
- Liaising with all Head Office departments, particularly Finance, as required to ensure the payment of invoices.
- Obtaining quotations from suppliers and making purchases based on a value for money structure.
- Answering and responding to all initial enquiries from outside agencies or prospective service users.
- Providing telephone reception and maintaining and updating all service information resources.
- Co-ordinating the taking and passing on of internal and external messages and assisting in the preparation of written reports, having due regard for confidentiality.
- Providing typing and word processing support for the staff team as necessary and taking and distributing minutes of meetings as required.
- Attending staff meetings, staff support groups and service meetings.
