The HR and Operations Manager plays a pivotal role in ensuring the effective and efficient functioning of the London Irish Centre’s (LIC) internal operations, with strategic oversight of all HR functions, organisational policies, facilities management, and volunteer coordination.

 About You

• You are a professional and enthusiastic HR and Operations practitioner with experience spanning people management and day-to-day organisational operations. 

• You have a strong track record of developing, motivating, and supporting both staff and volunteers. 

• You have the ability to manage a wide range of operations - including health and safety, policy, compliance, quality, governance, contracts, and contractor oversight - to support service delivery across the Centre’s diverse functions.

Key areas of responsibility

• Lead the day-to-day HR function providing support to staff across all areas of HR.

• Ensure HR policies are reviewed and updated to ensure compliance with employment laws, regulations and best practice. Develop new policies that are fit for purpose, legally compliant, and embedded within the team.

• Update, maintain and develop employee handbook, HR templates, processes, and systems to support the delivery of an effective HR function.

• Manage HR systems ensuring all records are maintained accurately and comply with GDPR.

• Oversee all recruitment processes.

• Oversee the entire employee lifecycle - from induction to exit - while implementing talent retention strategies, performance management systems, and succession planning.

• Oversee organisational volunteer management, ensuring compliance with policies and alignment with strategic objectives 

• Coach and advise line managers on people issues withing their teams from probation to sickness absence to performance.

• Manage grievances and disciplinary actions in accordance with policy.

• Lead on delivery of annual training plan and annual appraisal process. 

• Oversee day-to-day office management to ensure a warm, inclusive, and safe working environment. 

• Ensure health and safety, compliance, and quality standards are consistently upheld across all HR and operational practices, fostering a safe, legally sound, and high-performing work environment. 

• Manage outsourced IT contracts and service level agreements, overseeing IT and communications providers - including VOIP systems - while coordinating support and resolving issues as needed. 

• Oversee office supplies, contracts, and supplier relationships, ensuring cost-effective and efficient operations. 

• Responsible for governance and compliance matters, providing comprehensive board support, and managing company secretarial duties, including filings and updates with Companies House and the Charities Commission. 

• Oversee and manage operational expenditures to ensure alignment with the allocated budget, while identifying opportunities for cost efficiencies.

About the role

As our Temporary Finance Manager, you will be managing a finance assistant and will be part of our organisation’s Senior Leadership Team, helping to collaboratively shape and steer the charity as we work towards our 2022-2027 strategy. The Finance Manager is at the heart of Woman’s Trust; you will play an essential role and have oversight of not just the finance team - you will have direct exposure to CEO/Board Members and decision-making for the future of the organisation. 

We are looking for a highly motived Temporary Finance Manager with demonstrable experience working in a similar senior level role. You’ll be a fully or part qualified accountant e.g. CIMA/ACA/ACCA/Cipfa, with a thorough understanding of charity accounting.

We’re looking for a Customer Experience Executive to join our team on a fixed term basis covering an internal secondment. You’ll have experience using a CRM system (like Raiser’s Edge) and understand the importance of handling sensitive data in line with GDPR regulations. Ideally, you’ll also have a good understanding of fundraising rules, including Gift Aid.

About the Role

Roles and Responsibilities

Accounting (40%)

• Oversee day-to-day transactions, including accounts payable and receivable, for both the UK charity and the newly created US charity
• Ensure that accurate and comprehensive records of accounting evidence for all transactions are maintained
• Monitor cashflow
• Support the HoFO in the month-end process
• Oversee and control monthly payroll with external payroll provider
• Oversee and control VAT returns with external accountants
• Check monthly Balance Sheet reconciliations
• Develop the purchase order system

Financial Planning & Analysis (35%)

• Support the HoFO in the preparation of the monthly management accounts
• Control all accounts payable in dialogue with budget holders

• Ensure compliance with relevant financial regulations and standards, including charity-specific requirements

Operations (15%)

• Responsible for the financial management of grant payments, in coordination with Grant Managers and Grant Budget Holders
• Drive good practice in procurement and manage the relationship with suppliers
• Support the wider Ops team in ad hoc projects and activities

Skills and experience

Essential

• Newly qualified or part qualified, working towards a chartered accountant qualification (ACA, ACCA, CIMA)
• Able to be hands-on in a small finance team
• Able to drive relationships with outsourced accountants
• Fluent in using spreadsheets for financial information
• Excellent communication skills and the ability to clearly explain complex financial data and concepts to non-finance staff and stakeholders to support decision-making
• Strong critical thinker with keen attention to detail
• Experience of project management and knowledge of project management principles
• Minimum of 3 years of experience in finance or accounting roles, preferably within the non-profit sector

Philanthropy Fundraising

The role

We are looking for an experienced part-time NEBOSH or IOSH qualified Health and Safety Manager, who will lead manage and develop our health and safety requirements and responsibilities around working outside and around water.

We have a health and safety management plan which following on from our Health and Safety audit, has outlined the framework for this role and what is needed to be implemented over the next 12 months.

Main duties and responsibilities

• Work with both Head of HR and Operations Manager on certain aspects of office Health & Safety with as and where necessary
• Project manage and deliver all requirements of the new created H&S Management Plan
• Work with managers on Construction Design Management (CDM) health and safety
• Track and ensure that risk assessments are being completed within teams for events and elsewhere where required in Thames21
• Work with HR and line managers to ensure that Standard Operating Procedures (SOPS) are created, updated and reviewed periodically
• Deliver the H&S induction session with new joiners when and where applicable
• Work with the Operations Manager to ensure vehicle checks are conducted in accordance with the vehicles policy, and that all drivers are trained in the use of the inspection checklists and all aspects of vehicle inspection.
• Compile a quarterly incident report to the Head of HR
• Manage the incident reporting system, escalating serious incidents (including risks) to senior management

• Manage a programme of safety audits to reporting these to the management team
