As Scheduler, you’ll help allocate new client referrals to our team of practitioners and coordinate smooth handovers between team members. You’ll work closely with the Scheduling Lead and wider operations team to ensure efficiency and continuity of care.

In the Response Coordinator role, you'll manage all incoming enquiries via phone and email, ensuring timely responses and directing queries to the appropriate team member.

As Volunteer and Placement Coordinator, you’ll oversee the onboarding of volunteers and Music Therapy student placements, matching individuals to suitable settings, and handling DBS checks and references.

You’ll also contribute to ongoing improvements by sharing feedback and insights from your role to support the development of internal systems and processes.

Accountabilities

This role involves a range of duties that may vary week to week. Key responsibilities include:

Job Title: Activities Coordinator

Location: Face to face delivery, based in Royal Borough of Kensington and Chelsea (RBKC) - Local Stations: Westbourne Park and Ladbroke Grove (Circle & Hammersmith and City lines)

About the role

We are looking for an Activities Coordinator to work across multiple services within the area, to manage the running and coordination of regular activities, events, and trips for our residents. Our service provides support to residents who have multiple and complex needs which could include mental health, substance use, homelessness, and/or offending backgrounds. You will line manage a team of 2 peer support mentors. Our Peer Mentor role is designed for people who have lived experience of that faced by our residents. You will support with all aspects of line management and wellbeing support, ensuring they are well supported within their role. 

As an Activities Coordinator, you will coordinate and deliver high quality activities and programmes which work in support to individual support places and goals, by creating a calendar of activities, celebrations, awareness months/days/weeks and events to encourage social skills and community engagement. You will also maintain effective stakeholder relationships, find new partnerships, and create a catalogue of partners which are easily accessible.

About the Role

This is a dual-role position supporting both the Finance and HR functions of the charity. You will be responsible for maintaining accurate financial records, supporting budget management, and ensuring smooth day-to-day HR operations. This role is ideal for someone with a strong foundation in finance who is looking to broaden their experience in HR.

What you will do

Finance

· Post transactions into our accounting software, Xero, ensuring that everything is accurately recorded and coded.

· Process and record financial transactions, including invoices, payments, card payments and expenses, and organise a twice- monthly pay run.

· Perform bank reconciliations.

· Manage the accounts mailbox.

· Complete the quarterly gift aid claims.

· Support the Head of Finance and Resources with the completion of the monthly management accounts, financial reporting and budgeting.

· Maintain financial and other administrative records, e.g. fixed asset register.

HR

· Maintain up-to-date employee records and keep our HR Information System (Breathe HR) up to date.

· Support the HR Lead by producing monthly or quarterly reports from Breathe HR.

· Support recruitment processes including posting job adverts, scheduling interviews, obtaining references and assisting with onboarding and induction of new staff.

· Work with the HR Lead to ensure that HR policies and procedures are up to date and compliant with legislation.

· Organise mandatory training for staff and maintain training records.

· Support employee wellbeing initiatives and internal communications.

· Assist in the payroll process by providing accurate HR data to the finance team.

· Minute the People Committee meeting on a quarterly basis.

· Support for trustee meetings set up and diary management.

What you will bring to the team

Flexibility

Our staff who live in or near London operate on a hybrid model, working in our office within South Bank University (one minute from Elephant and Castle tube station) on Mondays and Tuesdays. Full-time staff work in the office both those days and at home the rest of the week, while part-time staff who live in or near London are required to work in the office on one of those days, and at home for the rest of the week. We also have staff outside London who are fully home-based. We would ideally like the Finance and HR Officer to work in the London office on either Monday or Tuesday (or both if they would prefer that) but we are flexible as to when in the week the remainder of the hours are worked, provided that there is a consistent working pattern each week.

The charity offers a flexible working environment, with hybrid working, and an expectation to work from their Vauxhall office one day per month.

This new role will be responsible for helping to develop and manage the legacy and in memory programmes. As the Senior Legacy and In Memory Executive you will have the opportunity to develop and grow the Legacy and In Memory, helping shape our strategy to recruit, engage and steward legacy pledgers and in memory donors. You will be responsible for managing and delivering a range of In Memory and legacy campaigns across multiple communication channels including email, social and print. You will also be responsible for stewarding existing in memory supporters and legacy pledgers, developing and delivering engaging communications in order to maximise lifetime value. 

Key Responsibilities:

· Support the Legacy and In Memory Manager with developing the strategy and budget.

· Responsible for managing the monthly budget report for expenditure.

· Responsible for developing campaigns to market the legacy and in memory areas to our supporters.

· To work with the Legacies and In Memory Manager to develop a supporter acquisition, stewardship and retention plan.

·  Responsible for tracking and monitoring the agreed KPI’s reporting monthly on activity and targets. To use this analysis to review the portfolio of activity quarterly with the Legacy and In Memory Manager and make recommendations about future marketing activity.

· To work collaboratively with other teams in the Fundraising, Comms and Policy directorate to cross sell legacies and support all teams with their in-memory fundraisers.

· To work closely with the Supporter Care team to ensure all donors and next of kin are thanked appropriately and that a relevant stewardship programme is put into place.

· Work collaboratively with the Digital Engagement and Mobilisation team to ensure that all agreed marketing activity is delivered as agreed on time and budget. To ensure that all legacy and in memory enquiries are responded to promptly and professionally.

· Work with the CRM and Supporter Care team to ensure that all Legacy and In Memory data on The Raiser’s Edge database is accurate, valuable and kept up to date.

Person Specification:

· Experience of managing successful programmes and campaigns to recruit and retain legacy and in memory supporters through a variety of channels

· Experience of working to and achieving financial targets

· A self-starter, able to work on own initiative but also able to work within a team and achieve strong results.

· Experience of cultivating supporters through effective stewardship programmes.

· Experience of CRM database such as Raiser’s Edge to record, inform and analyse data.

· Experience of creating stewardship plans for supporters

Bereavement Support Services Lead (Digital). This is a rewarding and key role in the Bereavement Support Services team. The team provides a wide range of services, including the Helpline, Online Community, memory making, and print materials. The aim of this post is to provide operational and line management so that the BSS team can provide consistent, high-quality emotional support to bereaved families who seek support from Sands, as well as supervising the work of the Bereavement Support Officers on the frontline. As our digital support continues to grow and develop, we are looking for someone to support and inspire the team in this expanding area, working closely with Sands’ Bereavement Support Digital Coordinator. The Bereavement Support Services Team offers 1-2-1 support via telephone, email and other digital channels, and is usually open from 10-3 from Monday to Friday and 6-9pm from Tuesday to Thursday with occasional extended opening hours. Support is also available through digital channels; our Online Community, direct messenger on Instagram and Facebook and various closed groups on Facebook which need to be regularly monitored and moderated to provide a safe, user-led space accessible to all. In future a wider range of channels may be used. There are three Bereavement Support Leads (BSLs) including this post holder, and between them they are expected to cover all regular opening hours on a rota basis. Each shift will start 30 minutes before the helpline opens and end 30 minutes after the helpline closes, and BSLs will divide up the week in order to be present during shifts and ensure at least one BSL or the Head of BSS is available to the team 9am-4pm Monday to Friday and 5.30pm-9.30pm Tuesday to Thursday for safeguarding and general support. The role will be split between operational management of the BSS team, line management of BSSOs, supporting and contributing to other strands of bereavement support work, as well as some direct work on all of the support channels.
