Role summary

The Minster Centre is a small, friendly organisation and the Reception Manager needs to be an adaptable and flexible person who enjoys teamwork within a continuously evolving environment. The Reception Manager role is varied, and you will be expected work with initiative and autonomy to respond to the needs of the Centre.

Terms and conditions

Salary: £21,064.54 pro rata (£29,489.77 FTE)  

Hours: 25 hours per week as follows Monday 9am – 5pm, Tuesday 9am – 4.30pm, Wednesday 8am – 1pm, and Friday 9am – 5.30pm. Some flexibility in hours may be possible.

Background

The Minster Centre is a registered charity based in Queens Park, London NW6 that trains psychotherapists and counsellors and provides an accessible therapy service. As an accredited higher education organisation, we provide in-person and online courses throughout the week and weekend. The Minster Centre provides a psychotherapy and counselling service to the local community and has a number of rooms that are hired out for therapy, training, and events.

The Reception Manager is a critical and central role at The Minster Centre, providing a welcoming service to students, room hirers, therapy clients and staff members that is efficient and aligned with The Minster Centre’s Ethos. As part of this role, you will provide first-line support to tutors and students as well as undertake administrative duties crucial to the running of the Centre. You will also provide support to other staff members where appropriate.

Job summary

The ideal candidate will have previous administration and front of house experience to help ensure that all building users (students, room hirers and clients) are welcomed, that the building is available and set up for training and therapy services, and that the building is closed and secured at the end of the day. Furthermore, they would be organised, have excellent IT skills and knowledge and, ideally, practice of using Zoom. They will have the ability to work calmly and efficiently under pressure. In addition, they will be able to work autonomously on various tasks and work well in a team. This is a great opportunity for someone with relevant transferable skills to develop those skills further.

Duties and responsibilities

Oversee and manage the Reception Team

• Ensure Reception is always covered by organising a reception rota that covers absence, holidays, etc.

General management of Reception

• Receive and welcome visitors.
• Co-ordinate access to the building, opening and closing of the building.
• Respond appropriately to emergencies.
• Order stationary and other supplies as requested.
• Manage petty cash.
• Keep the reception area tidy.
• Ensure there are adequate supplies of daily refreshments and organise catering for specific events.

Event and training support

• Set up for events and assist with special or evening events when requested.
• Organise and keep track of First Aid and Fire Marshal trainings.

Administration

• Manage the room booking system, including the processing of invoice figures in communication with Finance Assistant/Credit Controller.
• Deal with room booking enquiries and bookings for events.
• Answer, screen, and forward incoming telephone calls, and provide basic information when needed.
• Undertake data entry tasks, or similar, in quiet periods.
• Deal with customer queries or complaints politely and positively.

Facilities

• Work with the Facilities and Membership Manager to source and organise suppliers to meet the various facility needs of the building.
• Ensure that the building has adequate cleaning by working with the Facilities and Membership Manager in communication with Total Clean.
• Conduct daily spot checks of the building and report any significant problems to Facilities and Membership Manager.
• Undertake small repairs of damaged equipment or fixings.

IT support

• Field/triage general IT Support emails with the IT Team.
• Diagnose and resolve equipment issues on site.
• Support tutors and office staff with basic Office apps, Moodle, Zoom queries (support and training can be provided).
• Provide IT support for tutors facilitating Zoom teaching sessions including troubleshooting.
• Manage tutor Zoom accounts.
• Schedule Zoom sessions.

Student support and progression 

• Ensure that students are enrolled on courses and set up on systems accurately.
• Manage the re-enrolment process between academic years. 
• Oversee the recording of student progression. 
• Liaise with and support the Operations Team in organising the annual Graduation event and ensuring all eligible students receive timely information.

Overall purpose

Reporting to the Director of People, the HR Manager will take responsibility for the operational delivery of Breaking Barriers’ key People and HR activities and initiatives. You will have a strong knowledge of all aspects HR and provide proactive, practical support on day-to-day operations as well as leading strategic HR projects. A keen understanding of Diversity, Equity & Inclusion (DEI) in the workplace and employee wellbeing is an advantage.

This role is essential to ensure we continue to be an effective, inclusive and people-led organisation. Your role will be vital in making sure Breaking Barriers is and continues to be a great place to work for its staff.

You will deliver day to day HR support to team members and managers, work across the organisation to advise on HR policies and good practice, deliver recruitment processes, and deliver and track Learning & Development. You will support on wider strategic initiatives, working with the Director of People to embed new strategies and projects informed by employee feedback.

The Racial Justice Unit reflects the Church's renewed commitment to justice as part of the wider theological imperatives to see Christ in the other, to be united in Him and to love our neighbours. The primary role of the RJU is to lead on the coordination of racial justice initiatives which involves the implementation of(FLTA), supporting key stakeholders including the senior leadership, dioceses, NCIs, TEIs, and other related institutions, coordinating and supporting the governance mechanisms, and managing the related Triennium Fund.  

This is a six-month interim role to provide operational leadership to support the delivery of the Unit's priorities which could be a suitable secondment opportunity.

The Racial Justice Unit is seeking a skilled Grants Manager, to lead the delivery of its funding programme. This role is central to managing grant operations, assessing applications, supporting grantees, and evaluating impact.

• Lead on the development and delivery of Sense campaigns, working alongside the Head of Media & Campaigns and Head of Policy, Public Affairs and Research.
• Decide on campaign priorities and make recommendations on the most appropriate course of actions to achieve Sense’s campaigning and influencing strategy.
• Ensure Sense has a consistent narrative and that disabled people and their families remain at the heart of our campaigns, that Sense is a sector leader in terms of campaigning, and that we are compliant with new charity regulations.
• Lead on the evaluation and reporting back of campaigns to the team and wider organisation.
• Provide leadership and expertise around campaigning strategy and management to senior management and trustees.
• Be an active member of the Media & Campaigns management team, ensuring team and project plans and budgets are developed, managed and reported against.

We are seeking a Business Development Manager to help us realise our plans to secure a menu of commercial contracts that all of our 175+ member library services can choose to benefit from, according to the skills and assets of their service, their focus and strategy and of course the needs of their communities.

Our Commercial Team

Currently we hold a single commercial contract worth around £3m per year delivered through 12 libraries. Our aim is to reach a point where we have a menu of commercial contracts that all of our 175+ member library services can choose to benefit from according to the skills and assets of their service, their focus and strategy and of course the needs of their communities.

In the current funding climate for local authorities and local government services, these contracts are not just about the income and the services they can provide, but about demonstrating nationally the power of the library sector, and how national services can be delivered locally through library services and the communities they serve.

This is a long term aim of ours – we are seeking to build the commercial team with this role and while it is initially a 12 month contract, our hope is that with the role in place we can generate the income to sustain and build on it.

Main purpose of role: 

• Support the delivery of commercial projects across the library sector
• Lead the bidding process for new contracts and services
• Manage the mobilisation and setup of contracts and services
• Manage the ongoing delivery of commercial contracts and services including management reporting and contract / service optimisation to increase benefit to the libraries and sector
• Support the development of commercial skills and capacity across the library sector
• Contribute to the growing commercial awareness and understanding within the organisation, its partners and its members.

We are an independent charity that supports, promotes and represents public libraries. Our work is driven and led by our membership, which includes almost every library service in England, Wales, Northern Ireland and the Crown Dependencies (Guernsey, Jersey and the Isle of Man).  

Across the areas we serve there are 176 individual library services with around 3,000 library branches serving over 61 million people.

We’re seeking a Finance Manager to lead robust financial reporting and governance across 80 parish sites, while supporting central operations from our Crawley base.

In this key role, you’ll produce timely and accurate management accounts, oversee cloud-based reporting, and lead on the preparation of annual statutory accounts. You’ll be the primary contact for external auditors and play a central part in reporting to our Trustees and Diocesan Finance Committee.

You’ll also manage cashflow forecasting, tax compliance, treasury and investment activity, and VAT (for one subsidiary). Charity sector experience is highly desirable, but your collaborative, flexible leadership—especially of a diverse network of staff and volunteer finance teams—will be most essential.

Reporting to the Chief Operating Officer, you’ll oversee the support of cloud-based reporting for 80 parish sites and the delivery of timely, accurate management accounts for central operations based at our Crawley site. You will have a key role in providing high-quality financial reporting to our Trustees and Diocesan Finance Committee (DFC). You'll also lead the team in producing statutory audited accounts, acting as the principal contact for external auditors.

In this role you will lead on renewing and managing income from major trusts, foundations, and institutional funders, while building strong relationships with some of our largest and most strategic partners. Meet your Manager

You will be managed by Jamil De Dominicis. Jamil joined ClientEarth in 2019 and is based in London. As Global Head of Grants, he leads the Grants Management team and oversees ClientEarth’s grants income from trusts, foundations and other statutory and institutional funders. Prior to joining ClientEarth, Jamil worked in various policy, research and grant management roles at the international affairs think tank Chatham House and the National Foundation for Youth Music.

Main Duties

• Manage a portfolio of grants from key Trusts, Foundations and statutory funders. Ensure that funders are aware of project performance, and that ClientEarth’s implementation is always in compliance with grant agreements. 
• Develop and produce well researched and comprehensive proposals and reports to existing donors that meet funding priorities and requirements, within the submission deadline and oversee the coordination of Programme, Development and Finance teams as required for effective grant management. 
• Work closely with the Global Head of Grants, Grants Management Lead and wider Development Leadership on budget forecasts and donor pipeline to ensure effective, joined-up cultivation of prospects and income generation. 
• Oversee, review and, as appropriate, sign–off on the work of line managed staff (including reports, proposal, and other written material for internal and external purposes). 
• Support the Global Head of Grants to develop and implement the team’s annual planning and wider fundraising strategy.
