About the Role

What You’ll Be Doing

Manage relationships and inputs with important stakeholders across the education, political and commercial sectors. Act as the lead policy liaison between Oak and the Department for Education

Work with partners and the Department for Education to develop, agree and fulfil Oak’s policy role and remit within the curriculum, education, AI and edtech landscape.

Write speeches, presentations, briefings and public papers to communicate Oak’s role and impact, and support Oak’s proactive and reactive media work. You will also represent Oak at public events and in meetings with key figures interested in our work.

Ensure the continuous improvement of Oak’s external monitoring, stakeholder engagement and policy work.

Deputise for the Head of External Relations and take on other general responsibilities as required.

Role description and core responsibilities
The Office and IT Assistant plays a key role in the Foundation supporting a busy office, as well as providing hands on support to IT function.
This role goes beyond simply checking off tasks - It is about being confident, approachable, and unafraid to speak up when needed (yes, even with a lighthearted “Hey! Who left their mug in the sink?”).
Office Administration
· Act as first point of contact for general operational enquiries
· Manage post, deliveries and couriers for the Foundation
· Ensure that the office facilities are maintained to the highest of standards and any issues identified are escalated promptly and resolved
· Responsible for ensuring office supplies are maintained and ordered as required
· Responsible for reporting and following up with all office faults/issues to the Facilities Management Helpdesk
· Support office health and safety, including undertaking first aid and fire warden training
· Support Director of Finance and Operations and the Finance team with occasional ad hoc administration tasks as required
· Other general administrative support as required
IT Support
· Liaise with outsourced IT Support for devices setup for new and existing users
· Manage mobile phones for the Foundation
· Manage IT equipment (including Photocopier contract, AV Equipment) at the office and raise any faults with the relevant stakeholder
· Support the Business and Governance Manager with any other IT management as required
· Support Salesforce CRM Administrator with basic Salesforce administrative tasks
· Assist in the coordination of daily operational tasks and processes
· Maintain accurate records and ensure timely processing of orders, invoices, and inventory management
· Liaise with internal teams, suppliers, and customers to ensure smooth communication and operations

Main duties
Fundraising CRM Project Leadership
- Lead the end-to-end project to replace the current CRM system, including an audit of existing data, research into CRM options, supplier selection and full onboarding and implementation.
- Manage and maintain the current Salesforce system during the review period, ensuring it remains functional, accurate, and fit for purpose while supporting the transition process.
- Act as the day-to-day lead for the CRM system within the Fundraising and Communications team, ensuring it meets team needs and supports strategic goals.
CRM and Data Management
- Maintain and improve the quality of supporter data through regular cleansing, deduplication, and tagging to ensure accuracy and GDPR compliance.
- Working with data flows and setting up integrations, ensuring the system runs smoothly on an ongoing basis, making updates, troubleshooting issues whilst maintaining data consistency.
- Work with the Finance team to support integration between the CRM and finance systems for seamless donation and income reporting.
Data Selections, Segmentation and Campaign Support
- Collaborate with the Fundraising team to perform targeted data selections for appeals, newsletters, stewardship journeys, and events.
- Develop and maintain segmentation structures and logic to support personalised supporter journeys and strategic targeting.
- Work closely with the Marketing and Communications team to provide campaign-ready data for fundraising, advocacy, and engagement activities.
Reporting and Insight
- Design, build, and maintain dashboards and reports that provide real time insight into fundraising performance, donor behaviour and campaign results.
- Create and deliver regular and ad hoc fundraising analysis to inform strategic decisions and performance tracking.
- Proactively identify opportunities to improve donor retention, upgrade journeys and lifetime value through data driven insight.

- In conjunction with your Line Manager, continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of The Passage.

The Operations Administrator will work closely with the broader Operations team to provide centralised communication and administrative support, and effective coordination across all aspects of the work of the Operations team.

Licensing & quality:

- Support coordination of annual policy review.
- Support coordination of the Operator Annual Reporting process.
- Manage the coordination of the external activity provider processes and ensure the published list is accurate and up to date.

- Support Operations Managers to process Award authorisations for IACs.
- Support the administration of Operator events including centralised coordination activities such as setting up virtual meetings, producing event calendars etc.
- Research new prospect Operating Partners.
