Job Title: Senior Finance Coordinator

Job Purpose

To manage the day-to-day accounting and financial tasks, ensuring accurate recording of financial transactions, and providing support in the preparation of financial reports. This includes processing of both purchase and sales invoices and the reconciliation of the books of prime entry. You will assist senior members of the finance team at month end and year end.

Main Duties

1. Go through relevant financial procedures as necessary with new staff.

2. Set up and train new starters on the purchase order system.

3. Review and post all monthly petty cash and prepaid card returns per the management accounts timetable.

4. Maintain the Purchase Ledger making any changes necessary such as name and bank details with the necessary correct documentation.

5. Maintain the Sales Ledger making any changes necessary such as name and bank details with the necessary correct documentation.

6. To clear accounts payable queries daily

7. Answer queries via telephone and e-mail relating to creditors and payment of invoices.

8. Reconcile monthly the balances on the creditor ledger and supplier statements.

9. Prepare BACS run with supporting documentation

10. Document processes used in the Finance function to support the ongoing development of the department and ensure that potential efficiencies are maximised.

11. Support the of Director of Finance with the Business Partnering approach to non finance colleagues.

12. Reconciling the Aged Debt report at month end to the General Ledger ensuring all payments are allocated and providing notes on any outstanding debt and action being taken for recovery.

13. Collecting Payment and managing the credit control function for both Field Lane and Fun.

14. Ensuring all Fee invoices are properly raised accurately for all Client Services

15. Ensure all rent and service charges are billed accurately.

16. To act as a point of reference for guardians when it comes to invoices queries and rent and service charge increases.

17. Produce weekly report showing voids per project and distribute to senior management team.

18. Produce monthly analysis showing the fees received compared with fees expected by client and to raise any adverse variances with the director of finance.

General

Role Summary

The Resources Coordinator role sits within the learning content creation team, which is responsible for the devising, commissioning and delivering of high quality, film-focused learning opportunities. These include the production of resources and online courses for teachers and their learners which are made available on our website, Into Film+ (our video-on-demand platform) and on our learning platform. 

Main Responsibilities 

• To produce high quality, exciting and engaging resources for educators and young people, including commercial resources for film industry clients. 
• To contribute to the planning and evaluation of resources within our three key areas of work: Teaching with Film, Careers and Progression, and Filmmaking
• To project manage the resource process from initiation to publication or delivery.

The Cleft Lip and Palate Association (CLAPA) is the national charity for people affected by cleft lip and palate in the United Kingdom.

CLAPA supports people affected by cleft to take control of their journey, connect with others, and use their voices to impact the future of care. Our vision is that no one affected by cleft lip and palate in the United Kingdom will go through their journey alone.

We are seeking a Fundraising Coordinator (Individual Giving) to join our small but dynamic Fundraising team.

The role requires excellent donor care and stewardship skills. All forms of communication will be required including the proactive use of digital channels such as the website and social media platforms.

The Individual Giving Fundraiser will play a vital role in increasing income from our existing supporters. You will support donor acquisition as well as taking the lead on retention of our supporters across multiple channels including cash appeals, regular giving, lottery and in celebration giving. The role will also support the Head of Income in the delivery of a legacy and major donor program.

You will develop and deliver excellent stewardship programmes that drive retention by deepening audience understanding of the challenges that people affected by cleft face and the impact that their donations make. Using data and insight, you’ll deliver compelling campaigns, with people affected by cleft right at the centre. The Catalyst Collective is an innovative and rapidly growing non-profit organisation. Since our pilot programme launched in January 2021, we have expanded significantly. The Programme Manager will work closely with the Programme Director to lead and manage key components of our mentoring programme. SPANA - The Society for the Protection of Animals Abroad is the global charity for working animals in low-income countries. Since 1923, we have supported the welfare of working animals, including donkeys, horses, camels and elephants, in communities that depend on working animals for water, transport, agriculture and their very survival. Today, we support working animals across 26 countries, through a series of global projects and partnerships.

We are looking for a Global Resources Coordinator to ensure operations within our global resources team run smoothly and efficiently. This role offers an exciting opportunity to grow and develop a Dementia Service that was launched at Age UK Westminster in 2022. Offering a weekly community-based Maintenance Cognitive Stimulation Therapy group that provides a vital contribution to living well with dementia and a monthly Memory Cafe, we are looking for someone with the knowledge, skills, experience and passion to ensure that more residents can benefit from this Service. 

Summary of role Age UK Westminster launched its Dementia Service in 2022 supporting older people (aged 50+) living in the City of Westminster who are experiencing memory and cognitive impairment and are experiencing confusion and dementia resulting in severe social isolation. The service also supports those who are caring for people with these issues.

In 2024 the ambition is to grow the reach of the successful monthly ‘Heart of Westminster' Cafe delivered in partnership with the Salvation Army’s Regent Hall and a weekly community-based MCST group and provide expertise to the Befriending team to manage some befriending matches. Demonstrating the value of these community-based activities and ensuring they are supported by a trained and supported volunteer team will contribute to securing continuation funding.

The role will involve close liaison with Westminster’s Memory Service and other community organisations that support older people living with memory loss and dementia.

Key responsibilities
● Co-ordinate the successful running of the monthly ‘Heart of Westminster’ Cafe in the Soho ward of the City of Westminster.
● Co-ordinate the successful running of up to two weekly MCST groups at Marylebone Church in Westminster including the co-ordination and triage of referrals for MCST groups
● Ensure the design and provision of activities and information that will enhance the lives of those attending and their carers. There is a significant resource bank of materials and activities
● Facilitate an environment where acceptance of dementia will bring about positive feelings for anyone affected by it
● Promote the service across Westminster to ensure that all those who would benefit are able to attend. This will include working with other professionals and ensuring that publicity materials are available
● Working with colleagues at Age UK Westminster and other professionals to identify and assess individuals who would benefit from being matched with a trained dementia volunteer. Home-visiting may be required.
● Deliver dementia awareness training to staff and volunteers
● Working with Age UK Westminster’s Volunteer Coordinator grow the volunteer resource
● Provide ongoing support and supervision to the team of Dementia volunteers
● Ensure that all records are kept up to date for the service and be responsible for the implementation of monitoring, evaluation and quality assurance procedures
