Crisis of Faith: 1 in 4 young Muslims are leaving the religion due to various factors, primarily the pervasive anti-religious content and temptations they encounter online and offline. 

Roots Academy exists to bridge this gap by providing a structured and transformative Islamic education that speaks directly to the needs and challenges of young Muslims today, delivered in an engaging and accessible form that removes barriers to access and provokes thought and action.

Role Summary

The People Operations Coordinator supports the day-to-day administration of the People & Culture function, ensuring smooth onboarding, accurate record-keeping, and a positive volunteer experience. This role plays a key part in maintaining organized people operations while also supporting volunteer engagement and appreciation initiatives.

Key tasks

• Coordinate and schedule onboarding sessions in collaboration with the People Lead
• Maintain accurate records by tracking volunteer training completion and participation
• Upload, organize, and manage personnel documentation within Roots’ Google Drive in accordance with confidentiality and data-handling standards
• Support volunteer engagement by planning and organizing logistics for volunteer appreciation events
• Assist with coordination, communication, and follow-up related to recognition initiatives

As we prepare to launch The Lysene Cultural Foundation, we are seeking a highly organised, thoughtful, and dependable volunteer Head of Operations to join our founding team and help build the internal structures that will support this new cultural charity.

The Foundation exists to advance public understanding of Renaissance, Beaux‑Arts, and classical artistic traditions. We believe that beauty is a public good, something that enriches lives, strengthens communities, and connects us to our shared cultural heritage. Inspired by the artistic world of the Principality of Lys, the Foundation brings this vision to the public through exhibitions, educational programmes, research, and artistic support.

To bring this mission to life, we are seeking an operations leader who can help establish the systems, processes, and organisational rhythm that will allow the Foundation to flourish.

About the Role

We are seeking a volunteer Head of Operations who will:

• Lead the development of the Foundation’s operational systems, processes, and workflows.

• Support the setup of administrative structures, policies, and internal procedures.

• Ensure smooth coordination across teams, trustees, volunteers, and partners.

• Oversee day‑to‑day operational needs during the Foundation’s setup and early growth.

• Contribute to planning, scheduling, and the practical delivery of programmes and events.

• Work collaboratively with trustees and advisors to ensure operational excellence.

• Dedicate approximately 4–8 hours per month, with full flexibility around schedule and involvement.

• Bring organisation, reliability, and a passion for building strong foundations for cultural work.

• Embed D&I principles and social justice themes into all content, ensuring cultural relevance and representation.
• Develop microlearning resources and toolkits to support continuous, self-directed learning in a remote environment.

AI-Enhanced Instructional Design

• Using various platforms, create dynamic, AI-generated content (e.g., simulations, scenario-based learning), and adaptive e-learning modules.
• Build AI-driven assessments and feedback loops to measure knowledge retention and behavioural change.

Onboarding & Integration

• Lead the design and delivery of induction programs that immerse new hires in QuilomboUK’s mission, values, and D&I commitments.
• Collaborate with cross-functional teams to ensure onboarding content reflects role-specific and cultural integration needs.
• Monitor new hire feedback to refine onboarding experiences and reduce time-to-productivity.

Training Evaluation & Continuous Improvement

We are looking for a  Volunteer & Recruitment Manager who will be a proactive, outgoing and organised person with a passion for volunteering and who understands the difference that volunteers can make to the community. In this role you will help to recruit Trustees, Committee Members, activity leaders and other volunteers to build and maintain a robust infrastructure around our current team members enabling the organisation to grow and prosper.

Volunteers are a critical part of the Charity’s foundation, providing the organisation’s services and supporting the fundraising goals. The Volunteer & Recruitment Manager role is to recruit, maintain and manage the Charity’s volunteers as well as raising awareness of volunteer opportunities within the community through various engagement initiatives.

You will help develop and grow our team by increasing the number of volunteers, meeting internal demand and enabling growth in new areas. 

We would like you to:

• Write job descriptions for current vacant roles
• Source relevant websites / organisations which specialise in recruiting volunteers
• Advertise vacancies through specialist volunteer websites and other outlets
• Research websites / sources to find and contact suitable candidates for CAG vacancies
• Review covering letters and CVs and shortlist potential candidates
• Regularly communicate with and feed back to the Committee on progress made
• Interview candidates along with another member of the Committee
• Process relevant paperwork for successful and unsuccessful candidates
• Maintain relevant records in a confidential manner as per GDPR
• Maintain a close working relationship with current team members to ensure the aims of the organisation and individual are being met

Ideally you should have:

• Experience of managing a volunteer function 
• The ability to attract, motivate and retain volunteers
• An understanding of the legislation and best practice for volunteering
• Knowledge and experience of other relevant agencies working with volunteers
• Be able to communicate effectively and clearly to a range of internal and external customers

Making a difference – what impact will the opportunity have?

Your input is key to the day to day running of CAG as well as securing its future.  We want you to help us find the right people to fill roles such as Treasurer, Program Manager, Secretary as well as recruiting new Leaders to help run our weekly activities and to take our members on exciting weekends away.  You will be helping us build a team of volunteers who can support both the administrative side of CAG as well as those running our termly program.  Our volunteers are the lifeblood of CAG and you will play a crucial part in keeping that heart beating.

You would become part of our small, friendly team and you have the opportunity to use your time, skills and experience to make a real difference to CAG and the community in which we operate.   This is a new role so you have the flexibility to make it your own under the guidance of CAG Committee.

This role is partly remote but ideally the candidate should be available for face to face Committee and other meetings.

• You would need to be available to attend Committee meetings which normally take place in the evening
• Occasional weekends to attend recruitment events
