Supporter care and database coordinator volunteer roles

Are you passionate about supporting and managing volunteers in a small charity? Our Volunteer Coordinators will recruit, support & develop a team of volunteers, to enhance our work supporting people impacted by a chronic pain condition

What will you be doing?

We are looking for 2 volunteer coordinators to join the coordinators team who will volunteer to support our volunteers in various roles. The volunteer coordinators will 

• Help to recruit, and assure the adequate training of suitable, reliable volunteers
• Co-ordinate the volunteers to ensure that there is always someone available to support all our services 
• Help to create and distribute information regarding volunteer policies and procedures
• Monitor volunteers during their appointments to retain or replace candidates
• Meet with volunteers to assess their progress and satisfaction, as well as to conduct evaluations or skills audits
• Help to assess organisational and programme needs to determine number and range of volunteers needed for particular projects
• Induction of new volunteers
• Maintain regular communication among volunteers and between an organisation and its volunteers, in order to share news, progress, and available positions
• Maintains a database of volunteers and projects and track metrics
• Help to promote the charity and its volunteer accomplishments 
• Set up and arrange any relevant training required for volunteers

What are we looking for?

The Volunteer Co-ordinators role requires proactive and detail orientated individuals with an organised approach and an interest in supporting small charities. They will have good communication skills. The Volunteer Co-ordinators are responsible for the volunteer aspects of Burning Nights CRPS Support to ensure the smooth running of the charity’s services and ensuring that the volunteers are used optimally.

Our Volunteer Co-ordinators are also responsible for ensuring that suitable volunteers have DBS checks where needed and they are adequately trained to do their role working with our Charity Administrator.

But we see and know first hand the impact it has on those living with it and on those caring for someone with the condition. This role is done remotely using Zoom, phone and email. You would be working closely with the volunteers and trustees. However we would have regular updates and remote meetings with the Chair and/or Trustees.

We are looking for a volunteer with fundraising experience to lead and shape Act4Africa's fundraising activity,

In this role you will work remotely with our small team of interns and volunteers, and in conjunction with the Ugandan fundraising and communications team.

Reporting directly to the Board of Trustees, you will have the opportunity to

About the Charity

From Me to You is an inspiring charity dedicated to alleviating loneliness and isolation for people living with cancer. We make connections for people living with cancer through the simple, powerful act of letter writing easing loneliness and bringing comfort, hope and human connection, one letter at a time. Recent feedback showed that 93% of our letter recipients reported the letters lifted their mood and a quarter said that they made them feel less alone. Each year thousands of anonymous letters are collated by our team of volunteers and then given to patients at home, in hospitals or cancer centres by nurses and our charity partners, with 80% of recipients saying that our letters made them feel cared for. Our work is powered by a passionate community of volunteers, in 2025 with their help we processed over 17,000 letters from all over the world, delivering them to cancer patients throughout the UK. 

Our Donate a Letter programme supports our 2,500+ volunteer letter writers to contribute anonymous letters, some people write a couple of letters a year, others one a week. These letters are all delivered to our PO Box in Ascot. They are then sorted, read and processed by our wonderful team of local Donate a Letter volunteers which this role would be a part of. These volunteers also then repackaged and redistributed the suitable letters to cancer patients through our partnership with hospitals, cancer centres and other charities that act as distribution partners. 

About the Role

We are looking for compassionate and reliable volunteers to support our Donate a Letter programme by undertaking the letter reading, processing and packaging tasks from the comfort of their own home.

This role can involve collecting the letters from our PO Box, reviewing donated letters to ensure they meet our content guidelines and packaging up the letters ready to be sent to individuals living with cancer in their home or through our outlet partners. 

Our volunteers play a vital role in helping us deliver safe, thoughtful and uplifting correspondence so this is a vital role to the charity but it can be very flexible so can suit volunteers needs and time allowance. Volunteers for this role are all based within the area local to the PO box so there is opportunity to undertake this volunteering with others but there is no requirement to do this. You will receive all the training you need to confidently fulfil this role, training would be in person or online with our Founder Alison and would include reading letters together to identify content issues and will be supplemented with written resources including a fact sheet on the do’s and don’ts of what letters can contain.

Key Responsibilities

• Collect letters from the PO Box and disseminate to the volunteers for processing 

• Read donated letters to ensure content is appropriate and in line with charity guidelines

• Flag any letters that require further review or that are not suitable for distribution

• Prepare and package approved letters for distribution

• Handle all materials with care and confidentiality

• Communicate with the Volunteer Coordinator as required 

• There is no minimum time requirement, though consistency is appreciated

There is opportunity for volunteers to undertake one element of this process or undertake it end to end, this will depend on the number of active volunteers we have and how much time each volunteer is able to commit. We believe in this role being fully flexible so we can discuss what set up might be suitable in our introduction meetings to ensure we can meet your needs.

How to Apply
To process your application, we will hold an initial 30 minute introduction call with you to go through the opportunity in more detail, ensure we are a right fit for each other and answer any questions you might have. You will then need to complete a short Volunteer Registration Form so we can ensure we have all your details. We will then arrange some training to support you in delivering the role and if needed introduce you to other volunteers doing the role so you will have some peer support. Then once you are onboarded the Volunteer Coordinator will be your day to day point of contact. 

You will welcome clients and visitors, and support the smooth running of our local office at our drop in sessions on Mondays or Thursdays (or both)

Commitment: 6 hours/week (flexible)

Receptionists are the first point of contact for clients, welcoming visitors. You’ll record client details on our computer system, explain waiting times, and help ensure the service runs smoothly. The role builds communication, IT, and teamwork skills while making a real difference in the community. Full training and expense reimbursement are provided.

The Position

We are looking for a Grants Officer who can support us with diverse tasks that include looking for grants opportunities, project development, proposals writing, and liaising with potential partners and donors. In this role you’ll be a key contributor to the continued existence of Second Tree, which is dependent on grants to survive, and to the creation of new projects and partnerships. To do this successfully, you'll need to employ meticulous time-management and organisation skills, as juggling multiple tasks with competing deadlines is common in this role.

The role will include:

• Researching and identifying new grant opportunities on a weekly basis

• Summarising relevant grant opportunities and suggesting how to best respond and comply with them

• Researching information and data necessary for grants and grant reporting

• Supporting the design of new projects

• Supporting with proposal writing

• Maintaining necessary records, files, reports, databases, and resource materials for the Grants team

• Working with the wider Second Tree team to ensure that all project proposals align with organisational, and programme strategies

• Establishing and maintaining connections with funding bodies

You should be able to:

• Professionally communicate in English (verbally and in writing)

• Read, comprehend, interpret, summarise and follow proposal guidelines

• Work to tight deadlines with flexibility and a problem-solving attitude;

• Conduct thorough, high-quality, independent research

• Work both independently and as part of a team

• Manage and prioritise projects effectively to meet team and proposal deadlines

The ideal candidate will have:

• Working knowledge of project management techniques such as LFA

• Knowledge of and experience with grant-giving bodies and other external funding sources (e.g. European Commission)

• A strong sense of logic while building an argument

In certain periods of the year, demand is extremely high, and the shared houses might be full. If you have the means to pay for your own accommodation, please let us know.
