Volunteer Admin Support

Across the UK, our local branches help disabled people live the lives they choose. Every year, our skilled volunteers respond to thousands of requests, designing and creating bespoke equipment free of charge.

As a local admin support volunteer you are the lynchpin of our local branch activities. You will often be the first point of contact, ensure useful information is circulated to other members and help us make sure we keep all the data and details we need up to date.

What the role involves

This is a varied role that each branch tends to do a bit differently, but it will involve:

• Keeping records and data up to date and taking notes at meetings

• Preparing mail-outs

• Answering enquiries

• Accessing the branch REMAP and Portal accounts

• Booking venues for meetings

• Ensuring branch members are aware of current agreements/activities

We can support you to develop the skills you need for this role, and there’s an induction that covers all the areas above. You’ll also have chance to discuss your role and any additional needs with us.

What you’ll need for this role

• Confident using Microsoft Office, the internet and email

• Comfortable organising the administration of a group

• Able to follow REMAP policies and procedures

• Able to understand and apply our risk management system

• Able to apply disability, equality, and inclusion practices

• Able to keep people’s personal details safe

• Able to keep people’s personal details safe

• Willing to follow Remap policies and procedures and a commitment to our aims and values

You’ll also need to complete the induction checklist and some online training.

Where will I volunteer?

This role is largely home based, but it varies from branch to branch – some branches hold in-person meetings once a month or so, and their volunteers tend to be based in the area the branch covers.

If it works better for you, however, there’s a possibility this role could be done remotely.

Time commitment

This also varies, but it’s generally around 1-3 hours a week.

Would you like to support people who have served in the Armed Forces?  You don’t need a military background, just the ability to listen, some basic I.T skills and good written and spoken English.  If so, this could be the role for you.

Our Branch provides lifelong support to anyone who has ever served, in the British Army, Royal Navy and Royal Air Force and their dependants. We also give support to those who has been in the Merchant Navy, Seafarers, Fishermen and their dependants, and British Airways staff past and present. Our main role is seeking welfare benevolent grants on behalf of clients who reside in the 26 counties in the Republic of Ireland. They can arrange anything from household goods, funeral costs, mobility aids or other general needs. Legal fees are not considered. We would advise clients to seek state and local benefits by signposting them to the relevant agencies.

What is a caseworker?

Caseworkers visit clients to work out what type of help they need, this might be funds for special equipment for someone with a disability, adaptions to a property so an older client can remain at home or funds for a rental deposit.  Caseworkers also sign-post clients onto specialist local services for advice on benefits, housing, mental health, debt, finding work etc.

Why do we need you?

Volunteer Caseworkers are the lifeblood of SSAFA, supporting a growing number of people in need of financial, practical and emotional support. Clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like Iraq or Afghanistan.  Our trained volunteers listen without judgement to assess and provide tailored support to help people navigate life in and beyond military service.  We need you to join your local SSAFA team to help us achieve this.

When would you be needed and where would you be based?

The essential part of the role is visiting clients, so you will need access to a vehicle or another way to travel to meet clients at home or in a care home setting. Our volunteers are based at home with a yearly AGM invite.

What does this role involve?

• Contacting clients and arranging to meet them at a mutually convenient time

• Meeting clients and completing a form to assess their circumstances

• Sign-posting clients onto local services providing specialist advice

• Keeping in touch with your branch so they know your availability

• Keeping up to date with training and SSAFA news so that you are best able to support clients

• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer or fundraiser

• Volunteering within the standards and values of SSAFA including observing our policies such as the

Volunteering policy and data protection policy (these will be covered in your training and local induction.)

What skills or experience do you need?

• Good listening and communication skills including written and spoken English

• Respectful and non-judgemental with clients, their family, other agencies and SSAFA colleagues

• Willingness and ability to learn basic digital skills.  Ability to send and receive emails – you will receive your own SSAFA email address which you will be required to use when exercising your role  

• Ability to make enquires on behalf of clients by phone, email, letter or by filling in forms

• If required, willingness to use our on-line case management system (this is covered in the caseworker training course)

• Ability to keep within boundaries of the role with regards to friendship or giving advice

• Reliable attitude, contact clients promptly, keep appointments, update the branch regarding your availability 

• Access to public transport or a car to travel to appointments with clients

• Friendly and approachable with some experience of coordinating people and admin

•       Practice confidentiality and data protection in line with SSAFA policies.

What will you be doing?

To support delivery of the E‑Save app, you’ll provide essential administrative support to our volunteer‑led, largely remote organisation. 

You’ll help keep the charity running smoothly by supporting the board and key personnel with communications, record‑keeping, document updates, online meeting organisation, task tracking and maintaining clear, well‑ordered systems.

What are we looking for?

We’re seeking a UK‑based volunteer with at least three years’ administrative experience, including confident use of Microsoft tools. 

You’ll be organised, detail‑focused and able to manage your own workload. 

You’ll support meetings, maintain online files, update documents, manage data and contact lists, and provide general admin support to the Board, Operations Director and volunteer HR team as needed.

Our housing association members provide homes for around six million people and are driven by a social purpose: providing good quality housing that people can afford.

Commitment:

We offer a lifelong befriending service for adults with learning disabilities. Matching the skills and interests of passionate visitors with the specific hobbies and interests of the people we visit. Visitors visit six times a year to create a 1-2-1 connection, offer companionship, encourage people to do the things they enjoy and check-in on their wellbeing. In many cases, the visitor is the only person in someone’s life who isn’t paid to be there for them.

We are looking for a patient and caring volunteer to visit a man in his early 60s who lives in a supported living home in central Coventry. He enjoys going to watch the football, woodwork and crafts, gentle walks, and watching sports and films.

Out and About Role

This is an Out and about visit role which means your visits are likely to be longer, very active and the person you visit will often take an active part in planning your outings and activities in the community. Your volunteer manager will be happy to help you with ideas and suggestions for things you can do. Visits will vary in length but tends to be around a couple of hours, sometimes shorter or longer, depending on what you plan to do.

In this role you will spend quality time with the person you visit and could do a range of different activities like:

• Sitting and having a chat
• Checking in on their well- being
• Going out to a local café/pub for a meal/drink
• Take part on community activities like visiting a place of interest, go shopping etc.
• Enjoying a walk
• A craft activity at home

Key responsibilities: Till volunteer

Being a till volunteer includes all the same responsibilities as a shop volunteer, however, when you’re ready, we’ll provide you with additional training to:

• Serve customers on the till in a warm and friendly way.
• Put sales through the till, packing them and thanking the customer for shopping with us.
• Talk to customers about Gift Aid and other fundraising initiatives.

We value volunteer development, and as part of this role your can develop your skills further by training to become a till user alongside your regular shop volunteer responsibilities, or progressing into a Key volunteer, a role which includes opening, running, and closing the shop in the absence of the manager.

You’ll spend time doing a range of activities, including:

• Welcoming and assisting customers, providing great customer service, helping create a wonderful shopping experience.
• Receiving donated items from the public, thanking them for their support.
• Sorting, steaming and preparing donations for sale.
• Helping to display stock in eye-catching and exciting ways.
• Keeping the shop floor clean, safe and tidy.
• Talking to customers about Sense and the work we do.

Key responsibilities: Till volunteer

Being a till volunteer includes all the same responsibilities as a shop volunteer, however, when you’re ready, we’ll provide you with additional training to:

• Serve customers on the till in a warm and friendly way.
• Put sales through the till, packing them and thanking the customer for shopping with us.
• Talk to customers about Gift Aid and other fundraising initiatives.

About the role:

As a community champion volunteer you’ll be supporting Sense’s fundraising team, playing a vital role in helping Sense to raise funds and awareness to support people with complex disabilities. 

You’ll engage with individuals, local businesses, and regional press to share our mission, organise events, and inspire others to take action. Whether you’re great at planning events, researching opportunities or connecting with your community, this role has something for you.  

This is a flexible role, with the opportunity to volunteer either virtually or in your local community. We are looking for volunteers able to offer a minimum commitment of 2 hours per month. 

We’re looking for people who are passionate about Sense’s work to support disabled people with complex needs and who have a calm, kind and friendly personality.

Please note that you will not be providing care for the people Sense supports as part of this role.

Due to the nature of the volunteer role, we cannot accept applications for anyone under the age of 18.

The four areas of the role:

As a Community Champion, you’ll have the opportunity to take part in a variety of activities, organised into four main role categories. You can choose to get involved in one or more of these areas, and we’ll discuss your preferences with you as part of the application process. Please note, we don’t expect volunteers to take on every area. Instead, we’ll focus on what interests you most and shape the role around your strengths and skills.

Event volunteer:

Support Sense’s Community Fundraising team by:

• Organising your own fundraising events in aid of Sense.
• Supporting and participating in fundraising events at your local Sense services, and shops.
• Supporting with fundraising admin, for example sourcing prizes for Sense fundraisers.

Skills needed:

• Creative, with fresh fundraising ideas and enthusiasm.
• Organised, with the ability help co-ordinate multiple aspects of an event.

Local public relations (PR) volunteer:

Boost Sense’s profile in your local community by:

• Writing content for local press releases.
• Building a network of local media contacts.
• Supporting regional output of national campaigns. 

Skills needed:

• Strong written communication
• Able to follow branding and messaging guidelines.
• Self-motivated and proactive in seeking opportunities. 

Fundraising researcher:

Help boost Sense’s regional income by researching available grants, partnerships and other local connections. Responsibilities include:

• Researching local grants and business partnerships.
• Researching networking events.
• Helping us to source prizes for Sense fundraising events.

Skills needed:

• Self-motivated, with the ability to work independently.
• Organised, ensuring new leads are accurately recorded and shared. 

Community connector:

Act as an ambassador for Sense, attending events across your community to thank supporters, and forge new partnerships.

• Attending cheque presentations, thanking our supporters.
• Giving presentations about Sense to local schools and community groups.
• Engaging with local businesses and groups, to forge new relationships for Sense.

Skills needed:

• Strong communication skills and enjoys public speaking opportunities.
• Well-connected in their local area, and love engaging with people.
