Job description

We are seeking a reliable and detail-oriented HR Assistant to support our recruitment and volunteer coordination processes. You will work closely with the HR & Recruitment Officer to help manage and streamline recruitment — from posting roles to onboarding new volunteers.

A key part of this role involves helping us maintain accurate and up-to-date records in our CRM system, which we use to track applicants, monitor recruitment progress, and support onboarding. This is a great opportunity to gain practical experience in HR and systems administration within a grassroots charity environment.
 

What are the key responsibilities of this role?

This role will have the following duties, but are not limited to:

  • Support the creation and editing of clear, inclusive job descriptions and role advertisements.

  • Upload and promote vacancies on recruitment platforms, volunteer sites, and social media.

  • Track applications using our CRM system and maintain accurate candidate records.

  • Assist with application screening based on set criteria.

  • Schedule interviews and communicate with candidates professionally and promptly.

  • Support onboarding tasks such as reference checks, document collection, and CRM updates.

  • Collaborate with the HR & Recruitment Officer to keep our recruitment processes efficient and well-organised.

  • Help ensure that our recruitment is inclusive, fair, and data-compliant.

  • Attend a monthly meeting with your line manager, updating on any progress, challenges etc. 

  • Maintain clear records on the organisation’s shared systems (Google Drive)

 

What do we expect from a HR Assistant?

Essential:

  • Strong administrative and organisational skills.

  • Attention to detail and ability to manage sensitive data responsibly.

  • Comfortable using Google Workspace (Docs, Sheets, Drive).

  • Good written and verbal communication skills.

  • Commitment to confidentiality and data protection best practices.

  • Alignment with the values and mission of Hidayah LGBTQI+.

 

Desirable:

  • Experience using CRM or applicant tracking systems to manage people or processes.

  • Previous involvement in recruitment, HR, or volunteer coordination.

  • Knowledge of inclusive recruitment and accessibility best practices.

  • Understanding of challenges facing LGBTQI+ Muslims and other marginalised groups.

  • Experience volunteering or working in a charity or community-based organisation.
