Role Overview:

The Business Office Assistant serves as a link between the Business Administration Office and all the other departments of the Company.

He/ she helps in ensuring high levels of customer satisfaction and maintaining brand reputation through excellent coordination service.

As a Business Office Assistant, you will play a crucial role in supporting the efficient operation of our company's administrative functions. Working closely with various teams, you will ensure the smooth running of our office environment, enabling our business to function at its best.

With the key personnel often occupied with strategic initiatives and high-level responsibilities, there arises a need for dedicated support in managing day-to-day administrative tasks. This position is essential for ensuring that our office environment remains efficient, organized, and conducive to productivity. Additionally, as our company continues to grow and expand, the demand for administrative support becomes increasingly critical to maintaining operational excellence.

By having a Business Office Assistant in place, we can optimize workflow, enhance communication, and provide valuable assistance across various departments, ultimately contributing to the overall success and effectiveness of our organization.

What you'll doing?

·         Prepares communications such as memos, emails, invoices, reports and other correspondence

·         Routes / transmits correspondences, drafts letters, and documents, etc.

·         Prepares reports by collecting and analyzing required information and data

·         Secures confidential information by completing database backups

·         Completes all assigned tasks and projects on set deadlines

·         Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.

·         Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies

·         Ensures equipment operation by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.

·         Contributes to team effort by accomplishing related results as needed.

·         Answer phones and responds to client's queries, and take notes on calls with complaints

·         Performs other tasks that may be assigned by Management from time to time.

·         Ad Hoc Projects: Undertake ad hoc projects and tasks as assigned by management, demonstrating flexibility and willingness to contribute to the overall success of the company.
