Job description

Frazzled is a mental health and wellbeing charity founded by Ruby Wax OBE. We provide free, facilitated peer support meetings for people feeling overwhelmed by the stresses of modern life.

Our online and face-to-face meetings offer a safe, confidential and non-judgemental space where people can share openly, listen to others and feel heard. Everything we do is underpinned by high-quality volunteer facilitation, thoughtful training and a supportive community.

As we continue to grow, we're looking for an organised, compassionate and proactive Programme Coordinator to help deliver and develop our programme of peer support meetings, while ensuring our volunteers feel confident, supported and connected.

Purpose of the role

The Programme Coordinator is responsible for the day-to-day coordination of Frazzled's online and face-to-face peer support programme.

Working closely with the Head of Programmes, you'll oversee Frazzled’s meeting schedules, recruit and support volunteer facilitators, coordinate training and onboarding, carry out regular observations and contribute to the continuous improvement of our programme. You'll play a key role in ensuring our services are delivered safely, consistently and in line with the Frazzled model.

This is a varied hands-on role that combines excellent organisation with relationship building, volunteer development and continuous improvement. You'll be equally comfortable organising complex schedules, supporting volunteers through challenging situations and contributing ideas that help our programmes continue to grow while staying true to what makes Frazzled unique.

Frazzled runs meetings from early morning until late evening, seven days a week. As a core part of this role involves observing and supporting facilitators as issues arise, some evening and weekend work will therefore be required as well as regular travel to our face-to-face sites across England.

Key Responsibilities

Programme Coordination

  • Coordinate the delivery of Frazzled's programme of online and face-to-face peer support meetings.

  • Manage facilitator schedules, ensuring meetings are appropriately staffed and volunteers are well supported.

  • Respond to day-to-day operational issues and work with colleagues to resolve them effectively.

  • Coordinate new or one-off themed meetings and support the ongoing development of existing programmes.

  • Maintain accurate programme records, schedules and systems.

Volunteer Recruitment and Support

  • Coordinate the recruitment and selection of volunteer facilitators.

  • Manage volunteer onboarding, including DBS checks, induction, training administration and access to systems.

  • Build positive relationships with volunteers, providing regular communication, encouragement and practical support.

  • Coordinate volunteer meetings, communications and other opportunities for connection and development.

Training, Coaching and Quality Assurance

  • Design, coordinate and deliver engaging facilitator training, refresher sessions and development workshops that bring the Frazzled model to life through discussion, reflection and practical learning.

  • Carry out regular facilitator observations, both online and in person, providing thoughtful and constructive feedback.

  • Support volunteers to develop their confidence, skills and understanding of the Frazzled model.

  • Identify and respond appropriately to safeguarding, wellbeing or performance concerns, escalating where necessary.

  • Help maintain the quality, consistency and integrity of all Frazzled meetings.

Programme Development

  • Contribute to the ongoing development of Frazzled's programme, systems and volunteer experience.

  • Review feedback, observations and programme data to identify opportunities for improvement.

  • Help develop resources, guidance and processes that support volunteers and improve programme delivery.

  • Help promote Frazzled sessions, both face to face and online.

  • Contribute ideas for new initiatives, projects and ways of working as Frazzled continues to grow.

Team Contribution

  • Work collaboratively with colleagues across the organisation to deliver high-quality programmes.

  • Manage the volunteer and public inbox

  • Support organisational projects and events where appropriate.

  • Contribute positively to a small, flexible team, taking ownership of work and supporting others when needed.

Person Specification

Essential

We're looking for someone who has:

  • Experience coordinating programmes, projects or services.

  • Experience recruiting, supporting or managing volunteers, staff or facilitators.

  • Experience delivering or coordinating training, workshops or learning activities.

  • Exceptional organisational skills, with the ability to manage multiple priorities and competing deadlines.

  • Strong interpersonal skills and the ability to build trusting relationships with a wide range of people.

  • Confidence giving kind, constructive feedback and having sensitive conversations when needed.

  • Good judgement, emotional intelligence and the ability to handle confidential information appropriately.

  • Experience improving systems, processes or ways of working.

  • Confidence using digital systems including Zoom, Google Workspace and online scheduling tools.

  • A commitment to Frazzled's values and an understanding of the importance of peer support, inclusion and psychological safety.

Desirable

  • Experience working within the charity, mental health or wellbeing sector.

  • Experience coordinating or supporting volunteers.

  • Experience facilitating groups or delivering training.

  • Knowledge of safeguarding in a community or volunteer setting.

  • Experience using data and feedback to improve services.

  • Understanding of coaching, learning and development or reflective practice.
