Job Description – Warehouse Shift Coordinator
Reporting to: Warehouse Manager

Contract: Permanent
Hours: Full time, 35 hours
Salary: £22,495 - £23,170 (We normally offer a starting salary at the start of the range)

FareShare is the UK’s national network of charitable food redistributors, made up of 18 independent organisations. Together, we take good quality surplus food from right across the food industry and get it to nearly 9,500 frontline charities and community groups.
The role
This role is about so much more than just coordinating the day-to-day operations of a busy FareShare warehouse: it’s about sharing the FareShare mission that “no good food should go to waste”. Your work will make sure that quality surplus food is helping feed people in need.
As a Warehouse Coordinator you will be the face of FareShare, involved in the supervision of a large team of volunteers to ensure our charity members receive their food orders each week. Each shift you will be responsible for ensuring health and safety of the team supporting FareShare, whether they are regular volunteers, supporters from our corporate partners, visitors to the warehouse, or your colleagues. You will also be ensuring your team follows the food safety standards set out in the FareShare operating manual to ensure the safe receipt of food by all our charity members.
Main responsibilities
In the FareShare Regional Centre warehouse you’ll:
- Get to know your team and respond to questions about FareShare’s mission, the food partners who support us, charities who receive food and the planned activities for the day
- Work as a team with the Warehouse Manager, warehouse colleagues and volunteers to ensure all shifts are well planned, supervised and meet daily operational needs
- Be responsible for the health & safety and security of buildings, vehicles, staff and volunteers, including the delivery of appropriate health & safety briefings
- Carry out & update risk assessments as defined by the FareShare operating manual and complete risk assessments for all new activity as required
- Ensure compliance with all FareShare policies and procedures and industry standards as required by food partners and regulators and that all staff, volunteers, food suppliers, charities and visitors adhere to them
In the FareShare Regional Centre office you’ll:
- Support the Warehouse Manager in managing the office, responding to emails and taking phone calls
- Support the Warehouse Manager in organising food distribution using the FareShare food management systems and training volunteers as required
- Maintain excellent relations and communications with volunteers, staff, food suppliers and charities
If required to drive a FareShare van, you’ll:
- Drive safely, responsibly and within the law

Like the supply of surplus food to FareShare no two shifts are the same. Every day new food arrives and your team will include new people who want to get involved in the FareShare mission. Experience & Knowledge
- At least six months experience of one or more of the following:
- supervising/managing volunteers
- warehousing operation
- food distribution
- Experience of working in a team with evidence of demonstrating a flexible approach to team working
- Experience of working on own initiative, able to manage own workload and prioritise tasks to meet objectives
- Computer literate with experience of working with MS Office and other bespoke software packages

Desirable

Operating Hours and Shift Pattern
Position will be part of a rota: Monday – Friday either 7am – 3pm/8am-4pm or 9am – 5pm and, on occasional Saturdays on a rota basis.
Flexibility to provide cover for planned and ad-hoc absences as well as Public and Bank Holidays is highly desirable in this role and also offers the opportunity for additional hours to supplement the core hours.

FareShare Midlands is the region’s largest food redistribution charity, fighting food poverty and hunger by tackling waste. We source good quality food that is surplus to requirements from the food industry. An army of volunteers help redistribute this food to over 500 frontline charities and community groups such as school breakfast clubs, community centres and organisations supporting those who are homeless, unemployed, socially isolated and recovering from addiction. These organisations provide meals and food parcels to over 67,000 vulnerable people every week. We also support people through our Employability programmes, enabling them to learn skills and find rewarding work – some for the first time.
Hunger is a growing issue in the UK and while there is surplus food that is otherwise going to waste, we believe that this food should be used to feed people first.
The Role
FareShare Midlands is a high-profile charity with stakeholders from varying sectors not least over 500 companies in the food industry and FareShare UK. You will work towards, and achieve, a best-in-class in operation not accepting standards or a service that falls short of this.
As the senior person on site, you will be the key point of contact for operations, logistics and stock allocation for your region. You will be responsible for all compliance issues including food hygiene, health & safety and security of the depot and the safety and wellbeing of all visitors, contractors, depot staff and volunteers.
The main role will be to lead the successful day to day operations and ensure the ongoing success of the FareShare Midlands Regional Centres. This will involve working closely with staff and volunteers to ensure that all activities, including operational and order processing are completed to the agreed standard & daily timetable.
With colleagues in the Supply chain & Development functions, you will help develop new operational/logistic activity and lead on the implementation of growth of your RCs activity, capacity and output.
You will report to the Regional Warehouse Operations Manager and will be a key member of the Operations team across the Midlands region. You will identify and share good practise within and outside the Midlands, working closely with colleagues in the other regional centres.
In agreement with the Regional Warehouse Operations Manager, you will set out relevant Ops KPIs and targets and will join daily calls and weekly meetings to discuss and help resolve issues across the Midlands region, working as ‘one team’ with colleagues from other functions and regions.
Opening times:
Over the week the depot will be open for the hours required, with staff working 37.5 hours per week which may include working in evenings and weekends on a rota basis if the performance and growth of the region requires it. You will work with the Regional Operations Manager to implement the shift patterns required to provide the service to our members and communities.
Main responsibilities
Job responsibilities will prioritise but not be limited to:
1. Operations:
· Co-ordinate the work schedule and daily activities of the depot, within the guidelines of FareShare Midlands policies and procedures on food safety and Health & Safety
· Be responsible for the supervision, development, and training of all staff & volunteers
· Ensure that all shifts are efficiently planned, controlled, and resourced at least a week in advance.
· Maintain and use the in-house stock management system, with responsibility for the training of depot staff and volunteers on the database and accuracy of stock. Maintain good relations and communications with food suppliers and community member recipient projects, responding to any complaints or service issues with pace and courtesy as set out in our Service Charter
· Ensure that the vans are maintained as roadworthy and legal (taxed and insured)
· Ensure that community food members in your region receive a service, supply and variety of food that is expected / agreed, working closely with the Development Manager to flag potential issues with supply and/or service
2. Health & Safety, Food Hygiene & Equal Opportunities:
· Be responsible for the Health & Safety and security of the operation, including warehouse, vehicles, staff, visitors, and volunteers
· To support health and safety advisor in carrying out risk assessments
· Ensure compliance with all FareShare policies and procedures and industry standards as required by food donors and regulators, and maintain gold standard at audit level
· Ensure the service is delivered in accordance with FareShare Equal Opportunities Policy and maintain the values and culture of the FS Midlands operation.
3. Human Resources
· Lead & develop your direct reports on a day-to-day basis, ensuring that all are aware of their responsibilities and have the resources, capacity and capability to carry them out
· Be responsible for warehouse staff personal development reviews, regular 1-2-1 meetings and support as required
· Work with the Volunteer co-ordinator to recruit and train the right volunteers and other work placement trainees within the project
· Work alongside the volunteer team to ensure a complete and Up To Date rota is available – supervising volunteers should also be included on the JD

Person Specification - Skills, Qualities & Experience
Essential
· Established (minimum 3 years) warehousing knowledge including managing Staff and Rota’s.
· Depot management experience, managing stock control, payment reconciliation and putting all required warehouse processes in place.
· Stock management of perishable goods, putting processes and checks in place from goods in to goods out, creating stock count processes, managing stock rotation.
· Line management experience, including projects and associated budgets to time, to cost and to quality.
· Commercial experience; managing budgets, identifying cost savings, revenue generation and meeting KPI targets.
· Familiarity with and experience of working in CI or Lean culture including leading on review and improvement processes.
· Experience of developing and implementation of performance management systems for service delivery including monitoring and evaluation.
· Understanding of the voluntary and community sector and volunteering.
· Strong communication and interpersonal skills, with the ability to deal with people at all levels building successful and productive relationships, both internally and externally.

The Felix Project
The Felix Project is London's biggest food redistribution charity and the largest end-to-end food redistribution charity in Europe.
Our vision is a London where no one goes hungry and good food is never wasted.
We rescue surplus food from businesses, supermarkets, restaurants and farms. This food is nutritious, in-date, and safe and includes a high proportion of fresh vegetables, fruit, meat and fish. If we did not rescue this food, it would be at risk of going to waste. Instead, we deliver it free of charge to London charities, schools, food banks, food hubs and other organisations serving people in need. Our food is a vital lifeline for children and families, people on low incomes, people who have lost their jobs, the homeless, refugees, domestic abuse survivors, the elderly and keyworkers.
We are a very ambitious and dynamic young charity and we haven’t stopped growing since we were founded in 2016 in memory of Felix Byam Shaw, by his father, entrepreneur Justin Byam Shaw. We recently ran a very high-profile media campaign with the Evening Standard and Independent, raising £10million to feed London. We have celebrity endorsement from Reece James, Phoebe Waller-Bridge and Jack Whitehall, Steven Fry, James May and many others.
Last year we delivered enough food for 30 million meals to help people in need. Because nearly all the food we receive is donated by the food industry and volunteers, every £1 of expenditure redistributes £10 worth of food.
Purpose of the Job
The role is subject to a degree of flexibility but initially, the Team Leader will be involved with the following activities:
- Managing a team of staff and volunteers to run a warehouse of chilled and ambient food
- Customer relations management of the community organisations we work with
- Proper use of our Warehouse Management System
- Physically moving stock around on warehouse on a pallet truck or by hand
- Ensuring the warehouse is clean, safe and efficiently run
- Daily briefings of staff and volunteers of the days priorities and what to be aware of
- Carry out regular stock counts of food we are storing

Lewisham Foodbank is run by Transform Network (www.transformnetwork.london), a partnership of local churches. We have the Trussell Trust franchise for the London Borough of Lewisham and are one of a network of 1500 Trussell Trust foodbanks across the UK. The foodbank, which has been operating since November 2012, is founded on Christian principles. Purpose of the Post
This role will support the smooth running of all Lewisham Foodbank operations by providing effective and supportive communications to those who contact the main Foodbank phone line and inbox. The postholder will be based at the New Hope Centre office (353H Bromley Road, SE6 2RP) and will respond to enquiries in a timely manner with relevant information, or direct them to the relevant staff member. The candidate must have excellent interpersonal skills and will communicate well with other team members, clients and external organisations to troubleshoot when challenges arise, sometimes being required to provide information and support to people facing complex and distressing situations. The postholder will liaise and work closely with the rest of the team to ensure safeguarding procedures are followed and communication is in line with our policies and values.
Lewisham Foodbank works on a referral system and works with over 500 local organisations who refer people to our services. The postholder will be responsible for setting up new referral agencies on our system and sending out onboarding information and regular updates to these partners. They will also have responsibility for checking requests for home deliveries and coordinating the preparation and administration of these with a small group of delivery volunteers. This may occasionally require phoning clients and packing deliveries themselves if a volunteer has not been able to attend.
Main Duties & Responsibilities
● Respond promptly to enquiries on the main food bank phone and inbox from visitors, referrals organisations, donors and others.
● Either reply to enquiries or forward to the relevant member of staff.
● Sort emails into relevant folders and update records, when necessary, on the data collection system.
● Assess requests for deliveries and co-ordinate with delivery volunteer teams to prepare and deliver to a small group of clients’ homes.
● Liaise with referral agencies when more information or communication about deliveries is required.
● Keep the database updated with delivery requests.
● Set up new partners as referral agencies on the Data Collection System and send them all the relevant onboarding information.
● Contact referrers where clients have exceeded voucher limits and agree ongoing support in collaboration with the Project Manager.
● Create and send thank you certificates to donors at regular intervals.
● Support administrative volunteers to issue e-vouchers on behalf of job centres and other agencies that are not signed up as referrers.
● Deal with enquiries regarding Acts 435 grants and provide relevant information or signposting.
● Participate in relevant training courses and Food Network meetings.
● Keep up to date with local support and signposting information.
● Occasionally take minutes at meetings.
● Occasionally visit foodbank distribution centres and be prepared to step in to help at centres or the warehouse if there is an unexpected shortage of volunteers.
● To use online data systems and ensure all warehouse paperwork is stored securely in line with GDPR.
