The Board of Trustees are looking to recruit a knowledgeable and experienced individual for the voluntary role of Secretary (Board of Trustees). The main activity at Swansea Community Workshops (SCW) is to provide facilities for hobbies, recreation, and leisure time occupation in a socially interactive and practical environment, where there are skills sharing, learning of new skills, and helping community-based projects. As we are a charity, these facilities are for public benefit, specifically targeting socially excluded members of the local community in Swansea.

Role Overview

Title: Secretary (Voluntary) Reports to: Board of Trustees.

Hours: 3-6 hours per month as minimum. Attendance to monthly sub-committee meetings and bi-monthly Board of Trustee meetings is expected.

Role Summary

The Secretary is responsible for the recording and documentation of all charity and Trustee meetings.

Role and Responsibilities

Overall 

• Leading the charity to enable it to fulfil its purpose.
• To ensure an effective relationship between:
• the charity and the staff/volunteers
• the charity and the external stakeholders/community
• Acting as a spokesperson and figurehead as appropriate.
• To supervise and support the Centre Manager.

Specifically 

• Support the Chair or Vice-Chair in the planning and preparation of the charity meetings and the AGM, as appropriate.
• In charity meetings, ensure that:
• Decisions, actions, and deliberations are adequately minuted.
• Meeting minutes are distributed to all members of the Board promptly after the meeting takes place.

Person Specification

Personal Qualities 

• Friendly and approachable 
• Clear communication skills – both written and verbal. 
• Good attention to detail 
• Happy to volunteer on evenings and weekends when required. 
• Enthusiasm or interest in craft activities 

Education, Experience and Knowledge 

• Secondary education required as minimum. 
• Knowledge and experience of charity law, good governance, and operation relevant to voluntary and community organisations. 

Skills 

Essential 

• Good listening, writing, and typing skills. 
• Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat 
• Excellent customer service skills. 
• Excellent organisation skills. 

Desirable 

• Knowledge of specific software and systems, such as WordPress, Skedda. 
• Clean and valid UK driving license, personal vehicle, and insurance. 
• Basic Welsh language skills.

PUBLICITY & MARKETING VOLUNTEER

Across the UK, our 65 local branches work with disabled people to help them live the lives they choose. Our network of skilled volunteers respond to thousands of requests each year to design and make customised equipment free of charge.

Our Publicity & Marketing volunteers play an essential role in publicising and raising awareness of their local branch’s activities.

What the role involves

This is a varied role that each branch tends to do a bit differently, but it will involve:

• Collecting case studies from the clients we help

• Writing stories for the local press

• Distributing literature

• Arranging talks

• Working with the Central Team to promote panel activities

We can support you to develop the skills you need for this role, and there’s an induction that covers all the areas above. You’ll also have chance to discuss your role and any additional needs with us.

We are looking for someone keen to move into the area of advising small charities on management and governance issues and assessing their needs in these areas.

We are a very ambitious local grant-making charity that also offers various training, support and consultancy services to small charities and community groups in Ealing & Hounslow. Our broad-ranging plans are now beginning to bear fruit and so we need someone to help us in the following areas as demand for our services begins to grow:

• Supporting small groups and start-ups with basic governance and management issues
• Promoting our services to local groups and assessing their needs

Our ideal candidate would have a good all-round management or professional background gained over a number of years, but need not be experienced in the areas mentioned above. You'd be given full training, with the opportunity to shadow the people already working in these areas. Far more important is adaptability, initiative, an ability to get on well with people from all sorts of backgrounds, and good organisational and writing skills. Most crucially you would have a demonstrable commitment to our ideals of promoting a strong and influential civil society in West London. You will thrive on challenges and find rewards in seeing our objectives achieved.

The role would probably require an average of 1 day a week and would involve dealing with our clients during office hours, so you will probably be someone who is working part-time, or is perhaps retired or semi-retired, or is otherwise not in full-time employment.

Much of the work would be taking place from home, but it will also involve quite a lot of face to face contact with clients, so living in the Ealing and Hounslow area would be a definite advantage.

As a Business Development Manager you will be the front of the charity by helping to create opportunities when engaging small, medium and large enterprises.  The role will provide effective day-to-day management relating to all aspects of the charity’s set up and operations.

The role will ensure financial sustainability by assisting the CEO, Marketing Lead and fundraisers identify and secure appropriate funding that supports the values of the charity, and to clearly demonstrate and promote the positive impact of the charity. 

What will you be doing?

• To manage all operational activity of the charity according to the strategic direction provided by the CEO and Trustees.
• Where required to undertake aspects of business development including identification of funding opportunities, bid writing and tender submissions.
• To assist the CEO with updating and revising the charity’s business plan and fundraising strategy in accordance with the Trustees’ strategic direction.
• Contacting potential partners to establish rapport and arrange meetings.
• Researching organisations and individuals to find new opportunities.
• Where appropriate attend conferences, meetings, and charity events.
• Develop a growth strategy focused both on financial gain and stakeholders’ satisfaction.
• To undertake any other relevant duties within the overall scope of the role, as requested by the CEO and Trustees of the charity.
• Lobby government and other policy makers on behalf of the charity’s cause or client group.
