Finance Assistant (Part-Time) 
 
Location: Shoreditch, East London 
Salary: £27,008 (pro rata to £16,205 for 22.5 hours per week)

Reporting to the Head of Operations, the Finance Assistant will play a vital role in the day-to-day financial administration of the charity. You will manage transactions using QuickBooks, process invoices and payments, assist with payroll, support the preparation for audit, and maintain accurate financial records. You'll also help us improve our financial systems as we continue to grow and adapt. 

This role also includes occasional receptionist cover, so we’re looking for someone friendly, reliable and adaptable.

Purpose:

To support the effective management of Ella’s office, community hub and homes, ensuring they remain safe, well-maintained, and fully operational. The Facilities Assistant will act as a key point of contact for contractors and suppliers, assist with general upkeep of the facilities, and contribute to a safe and welcoming environment for staff and service users.

Main responsibilities:

Office and community hub support

• Ensure Ella’s office and community hub is well-maintained, clean, and organised for staff and service user use.

• Manage office supplies, ensuring sufficient stock levels of stationery, cleaning products, tea/coffee/milk, and other essentials.

• Collect the post regularly from Ella’s post address and ensure the post is delivered to the correct people. 

• Conduct basic maintenance tasks (e.g., replacing light bulbs, tidying storage areas) and liaise with contractors for more significant repairs or upgrades.

• Perform regular health and safety checks, reporting any issues to the Operations Manager.

Home visits and contractor management

• Obtain quotes for externally commissioned maintenance and facilities related contracts, ad hoc repairs, and redecoration of the building.

• Oversee and maintain the safehouse repairs log, ensuring accurate and timely updates are provided to caseworkers.

• Travel to Ella’s safe homes as required to meet contractors, suppliers, or delivery personnel.

• Oversee on-site work, ensuring contractors adhere to safety protocols and complete work to the agreed standard.

• Provide access to properties for repairs, maintenance, and inspections, and communicate progress to the Operations Manager. 

• Conduct basic checks within the homes, reporting any maintenance or safety concerns.

• Oversee and maintain the safehouse repairs log, ensuring accurate and timely updates are provided to caseworkers.

Health and Safety

• Ensure compliance with health and safety standards across all facilities, reporting hazards or risks to the Operations manager.

• Regularly inspect fire safety equipment (e.g., fire extinguishers, alarms) and assist with evacuation drills when necessary.

General administration

• Maintain accurate records of contractor visits, maintenance schedules, and stock inventories.

About the Role

Our Alliance’s geographical reach is unprecedented: 103 governments are members along with 82 private sector companies, 126 civil society organisations and 10 intergovernmental organisations. WeProtect Global Alliance is supported by a high-performing secretariat of eleven staff based in the UK and Belgium and is overseen by an influential Global Policy Board that the Head of Strategy will work collaboratively with to ensure the Alliance members remain impact and child centred.

Overall purpose of role

As the WeProtect Global Alliance Head of Strategy, you will lead a small team to build a global network, evidence base and policy portfolio to guide and drive the implementation of our Strategy and mission targets. Your team will provide high level analysis and ask critical questions, supporting the Alliance to identify immediate and emerging issues which may require investigation or exploration, support the Policy Board, Executive Team, Head of Members and Head of Development to navigate key strategic decisions.

You will also work closely with the Head of Members and Head of Development to support the development of new ways of working to harness Alliance members and broader community of practice to understand our collective impact and ensure our secretariat, members and broader organization actively remain relevant and focused on delivering our mission and strategic objectives. 

You will lead the WeProtect Global Alliance Research and Policy work, with key accountability for the following outcomes:

· Work with the Executive Team and Policy Board to implement the existing WeProtect Global Alliance strategy and ensure the forthcoming strategy remains targeted and focused on achieving the Alliance’s global ambition.

Macular disease is the biggest cause of sight loss in the UK, with around 300 people diagnosed every day. The Macular Society is the only charity determined to beat the fear and isolation of macular disease with world class research, and the best advice and support.

To support people affected by macular disease now, the Macular Society provides a range of support, information and services. Our research programme is focused on finding new treatments and a cure to Beat Macular Disease forever.

This exciting role is responsible for delivering income from a range of donors and prospects, with a focus on trusts and foundations, lottery and statutory sources, as well as HNWI. The Governance Team manages the effective operation of The Scout Association’s Board of Trustees and its sub-Committees. Our Governance Officers have a key role in the management of these and the production of the documentation required to facilitate each meeting.

We are looking for a highly organised and competent individual who has good experience of minute taking at Board and Committee level, and who is keen to broaden their knowledge in the third sector and in the company secretarial profession. You’ll have a keen eye for detail and confidence and sensitivity to manage strategic level information in a professional manner.

Time management will be key in ensuring you are fully prepared for the committee cycle which includes agenda preparation, in consultation with the Chair and key staff support, collation and distribution of papers, taking minutes at the meetings and sharing agreed actions with Committee members.

You’ll be expected to provide ongoing support to the Chair of the Board, including diary management, and support to our trustees, including ad hoc enquiries, inductions, arranging appraisals and booking accommodation.

As a volunteer led organisation, The Scout Association holds Board meetings at weekends and Committee meetings during normal office hours (between 9am and 5pm) as well as some in the evening and at weekends. Reasonable notice will be given when required to attend these meetings.

Governing Documents and Events

The Governance Team also manage the Association’s Policy, Organisation and Rules (POR) document which needs careful scrutiny and annual updates in line with changes to legislation and operationally within the movement.

Working with the Governance Manager, the Governance Officer is responsible for providing statistical reports on a quarterly basis for the Board.

Key Responsibilities:

• Supporting the Company Secretary and Governance Manager with effective management of the Committees serviced by the Governance Team. This includes being aware of agenda items prior to each meeting to mitigate any potential issues that may arise. 
• Taking the minutes of agreed Committee and Board meetings and producing a set of minutes for approval within agreed time period.

About the role:

The Social Care IDVA will work within a dynamic, fast paced, crisis intervention, advocacy, and support service to ensure the voice of survivors informs every stage of the process, specialising in working with women whose families are involved with Family Children Services and risk to children is a factor.  You will work to make proactive contact and provide high quality advocacy and support based upon a client led needs and risk assessment to women, focusing on working with those aged 18 and over who access the domestic abuse service. This role is part advocacy, part training/education and project work to improve response to victim/survivors experiencing domestic abuse. You will be embedded in the local authority Family Children Services team, working with Social Care professionals to ensure they adopt a trauma informed approach, can recognise the dynamics of domestic abuse and are providing more holistic support. You will be the domestic abuse subject matter expert on site, upskilling fellow professionals and acting as a point of contact for any clients experiencing domestic abuse and support requirements from Family Children Services.

The Social Care project was established in 2021 and has been working in partnership with Hammersmith and Fulham Family Children Services, so the IDVAs will inherit strong working relationships and a commitment from all parties to offering more trauma-informed services.  The borough has a focus on prioritising and developing good DA work in social care and this is an opportunity to be a major player in institutional change, ensuring that women accessing Family Children services for their children have an improved experience and that the local authorities are leading the way for all survivors engaging with their services.

Advance delivers nationally accredited, quality marked services in Hammersmith & Fulham, Westminster, Kensington & Chelsea, Brent, Ealing, and across parts of East London. We work within a coordinated partnership response to domestic violence to provide independent domestic violence advocacy and support for women, children and young people and women’s community services for women who are involved in the criminal justice system, in anti-social behaviour or are at risk of breaking the law.

About You:

You will have an excellent understanding of domestic violence and its effects on women and children and of best practice within the domestic abuse in various areas of need, with particular knowledge on children safeguarding/legislation. As an experienced domestic violence advocate who has worked with complex and multiple needs, the post holder will be skilled in risk management and safety planning, remaining calm in a crisis and in handling sensitive information on a daily basis. Experience of direct work with female survivors of domestic violence, of supporting women with child safeguarding, needs, and of working within safeguarding procedures is essential for this post, as is the need to adopt and promote a strong partnership approach to service provision.

To be successful as the Social Care IDVA you will need the below experience and skills:

You will establish positive, proactive, and innovative working relationships with housing services and partner agencies.Provide high-quality crisis intervention, information, advocacy, and proactive support to women referred to the service, in respect to risk management and safety planning, criminal and civil remedies, housing, health, welfare rights, and children’s legislation.

Your abilities extend to assessing the needs and risks of survivors, carry out short and longer-term risk management, safety planning and support and identify and refer to services appropriate to their needs.Advising women of their rights and options for seeking help and support from other agencies and proactively advocate to ensure barriers to accessing support and protection are reduced. You will work as an advocate and educator to raise awareness and upskill professionals within Children Social Care plus work with colleagues to successfully develop and deliver training.
