About the role
As our Senior Finance & Operations Officer, you will be at the heart of our organisation’s success. Working closely with the Director, Finance and Operations, you will help to manage financial processes, streamline operations, and ensure both our UK and EU teams are properly resourced to drive our mission forward. You will interact daily with a broad range of stakeholders in the UK and the EU including senior level staff, external consultants and suppliers in the while also working closely with Finance, HR & IT colleagues in the US.
Key responsibilities
Financial Management (30%)
- Support on day-to-day financial activities including financial reporting, accounts payable and accounts receivable.
- Develop and implement best practices to optimise operational efficiency and effectiveness.
- Collaborate with the team to develop and monitor project budgets.
- Support decision-making through insightful financial analysis.
Operational Support (40%)
- Be the first point of contact for all enquiries from the campaigns and fundraising teams in the UK and EU.
Contracts Lifecycle Management (30%)
- Oversee the lifecycle of all supplier contracts: creation, submission and signing. (Legal contract knowledge is not required.)
About you
You will be a dynamic individual with a can-do attitude who has a proven track record of juggling competing priorities and meeting deadlines in a fast-paced environment. The role is varied and has a significant financial element so strong numeracy skills, a solid knowledge of financial management principles paired with good communications skills are important. This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. It is specifically expected that the role will allow for flexible scheduling to accommodate other responsibilities, including caring.
The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. To fulfil this mission, the Circuit fosters a broad spectrum of ministry within its congregations, focusing on worship but also engaging in outreach to the homeless, asylum seekers, new parents, and various other groups. As Finance Officer with Clean Air Fund you will support the finance team with a growing organisation and complexity, helping to ensure that the financial processes and procedures of the Clean Air Fund run smoothly, efficiently and effectively, enabling other team members to be effective.

Process supplier invoices and staff expenses and prepare weekly payment runs in Sage 50 Accounts software.
Send remittance advice to suppliers.
Import staff expenses transactions from Expense's into Sage and reconcile staff accounts to Purchase Ledger in Sage.
Reconcile supplier records within the Purchase Ledger ensuring it is accurate and up to date.
Working with the Database & Insights Officer, post monthly bank receipts and income journals to Sage 50.

Reconcile credit card statements monthly.
Prepare and post monthly prepayment journals to Sage.

Job Purpose
To manage the day-to-day accounting and financial tasks, ensuring accurate recording of financial transactions, and providing support in the preparation of financial reports. This includes processing of both purchase and sales invoices and the reconciliation of the books of prime entry. You will assist senior members of the finance team at month end and year end.
Main Duties
1. Go through relevant financial procedures as necessary with new staff.
2. Set up and train new starters on the purchase order system.
3. Review and post all monthly petty cash and prepaid card returns per the management accounts timetable.
4. Maintain the Purchase Ledger making any changes necessary such as name and bank details with the necessary correct documentation.
