Purpose of the role:

The Volunteer Instructional Designer supports our mission by designing engaging, effective and learner-centred educational materials. In this role, you will collaborate with subject matter experts, program staff and other volunteers to transform ideas and content into structured learning experiences that are accessible, inclusive and impactful.

About the Role:

As Instructional Designer, you will work closely with the Membership Director, Book Club Coordinator, and Social & Digital Media Education Lead to develop structured learning pathways, modules, and resources for our membership programmes. Your work will ensure that all learning experiences are engaging, accessible, and aligned with our anti-capitalist, community-driven, and survivor-centred mission. This is a hands-on, impactful role combining strategy, creativity, and operational delivery.

Experience Qualification and Requirements

Essential Technical Competencies:

• Experience in instructional design, curriculum development or educational programme creation in formal or informal learning environments.
• Proven experience designing and delivering community-based education, training or learning programmes.
• Experience using content creation tools (e.g., Microsoft PowerPoint, Google Workspace, Canva).
• Basic familiarity with e-learning tools, learning management systems or content creation software is a plus.
• Ability to develop structured learning pathways with clear outcomes and assessments.
• Ability to translate complex or technical information into clear, accessible and inclusive learning materials.
• Knowledge of accessibility and inclusive design best practices.
• Hands-on experience contributing to open-source projects.
• Implementing security, accessibility or system optimisation practices in real-world projects.

Desirable / Can Be Developed:

• Experience in instructional design, learning design or educational content creation.
• Developing skills in structuring learning objectives, activities and simple assessments.

Main Responsibilities/ Key Duties

• Design and develop educational programmes, courses and learning resources for members and volunteers.
• Collaborate with subject matter experts, facilitators and leadership to ensure content is accurate, relevant and impactful.
• Structure learning experiences with clear objectives, assessments and progression pathways.
• Integrate digital platforms, multimedia resources and interactive tools to enhance accessibility and engagement.
• Evaluate learning outcomes and gather participant feedback to continuously improve programmes.
• Ensure all learning programmes comply with safeguarding, accessibility and data protection standards.
• Ensure all integrations follow best practices for security, data privacy and performance, maintaining
• compliance with GDPR and other relevant standards.
• Facilitate knowledge transfer by providing clear resources for onboarding new volunteers, team members and technical contributors.
• Maintain documentation of course materials, learning pathways and instructional guides for internal use.
• Support capacity-building by training facilitators, volunteers and community members in programme delivery.
• Collaborate with leadership, technical teams and stakeholders to define the long-term vision and goals for digital platforms and systems.
• Identify opportunities for innovation, including new features, technologies, tools or workflows that improve platform functionality, user experience and operational efficiency.
• Continuously monitor the open-source platform to ensure optimal performance, uptime and reliability, using monitoring tools, analytics, and performance metrics.
• Identify and diagnose technical issues, bugs, or system errors promptly, assessing root causes and prioritising fixes based on impact and urgency.

Chair of Trustees role:

You will be chairing the Board of Trustees, ensuring that we have minimum representation required for decisions to be made, keeping the board aligned in decision-making, ensuring all minutes are recorded and that all decisions by trustees are made with the appropriate context provided.

This is a great opportunity to develop further governance skills and experience, and help steer an important charity in the right direction.

Trustees meetings are usually held every six weeks, plus there is an AGM, away days, and any sub-committee meetings that trustees may be involved in. Most meetings will remain virtual but there will from time to time be a need to attend key meetings and events in Nottingham. The time commitment is approximately 4hours per month, but there may be occasions when more time is required for a short period.

• Previous chairing experience
• Relevant experience in any of the following financial management, HR, charities, fundraising, social prescribing, NHS, health inequalities (including deaf community), local authorities, marketing, business development, governance, strategy or legal
• A willingness to devote the necessary time and effort
• Good, independent judgement
• The ability to challenge and ask questions
• An understanding and acceptance of the legal duties, responsibilities and liabilities of trusteeship

Our mission is to empower individuals and communities by embedding peer support principles into health and wellbeing initiatives. The Volunteer Operations Analyst ensures that this contribution is organised, visible and aligned with the organisation’s mission, safeguarding responsibilities and growth.

You will play a key role in connecting people, systems and structure—ensuring that volunteer engagement is consistent, well-managed and sustainable as the C.I.C grows.

This is not a purely administrative role. It is insight-driven, systems-focused and central to how the organisation operates effectively behind the scenes.

Role Summary

The Operations Analyst is responsible for measuring, analyzing, and optimizing the organization’s
internal operations to improve efficiency, accountability, and overall performance. This role focuses on operational systems development, process evaluation, workflow optimization, and organizational effectiveness, enabling leadership to make informed decisions and ensuring that the organization’s activities are structured, scalable, and effective.

While analytical skills are essential, this is not a traditional Data Analyst role. The emphasis is on understanding how systems, teams, and workflows function, and using insight to design and improve operational structures, not just analyze datasets.

The Operations Analyst does not execute or enforce tasks, but plays a critical role in diagnosing
operational challenges and recommending actionable, system-level solutions.

REQUIRED SKILLS AND COMPETENCIES:
Technical Skills

KEY RESPONSIBILITIES:

1. Data Tracking & Performance Monitoring

• Develop and maintain centralized tracking systems (e.g., Google Sheets, Airtable) to support operational visibility
• Monitor key operational metrics across departments, including:
  • Volunteer recruitment and onboarding timelines
  • Task completion rates across teams
  • Program and project delivery timelines
• Ensure data is accurate, relevant, and structured to inform operational decisions (not just reporting)

2. Reporting & Operational Insights

• Prepare weekly or bi-weekly operational reports for leadership
• Go beyond reporting by clearly highlighting:
  • Root causes of inefficiencies
  • System and workflow gaps
  • Operational risks
• Translate data and observations into clear, actionable, system-focused recommendations

3. Process Analysis & Workflow Design

• Document and map existing workflows across functions (HR, Programs, Operations, etc.)
• Analyze how work actually flows across teams—not just what is recorded in data
• Identify bottlenecks

6. Cross-Functional Collaboration
● Work closely with:
○ HR Team (for recruitment and onboarding systems)
○ Team Leads (for workflow and delivery structures)
○ Operations Coordinators / Executive Assistants (for execution visibility)
● Bridge the gap between how work is designed and how it is executed

SCOPE AND BOUNDARIES FOR THE ROLE:
To ensure clarity and proper role alignment:

• Analyze workflows, systems, and operational performance
• Design and recommend process and system improvements
• Provide structured insights that inform operational decisions
• Function as a Data Analyst focused solely on datasets and reporting
• Be limited to producing reports without contributing to process improvement and system design
• Manage or supervise team members
• Enforce task completion or handle administrative coordination

WORKING RELATIONSHIP:
The Operations Analyst will:

• Report directly to the Director of Central Operations & Executive Coordination
• Support decision-making but will not replace leadership authority
• Work collaboratively across all teams while maintaining objectivity and independence

Success in this role will be measured by:

• Quality and impact of operational insights and recommendations
• Measurable improvements in workflow efficiency and system effectiveness

What Success Looks Like in This Role:
Within the first 60–90 days, the Operations Analyst should:

• Establish a functional and structured operations tracking system
• Deliver insight-driven reports that highlight system-level issues (not just data summaries)
• Identify and recommend improvements to at least 2–3 key operational workflows
• Provide leadership with clear visibility into how operations actually function and where improvements are needed
